  • Assign, snooze, tag and reply as one team
  • Meta-approved WhatsApp templates and tracked broadcasts
  • Any conversation becomes a CRM lead in one step

What is Omnichannel Inbox in Flowyana?

Flowyana’s omnichannel inbox is one shared inbox for WhatsApp Business, Instagram, Facebook Messenger, Telegram, email and website live chat. It is built for small and growing businesses, in the GCC and beyond, whose customers write on every channel. Your team answers from one screen, and every enquiry can become a lead on the same platform that runs your sales, stock and books.

Most businesses start with a phone on the counter running WhatsApp, a manager who checks Instagram at night, and an email inbox nobody owns. Messages get answered twice or not at all, and the enquiry never reaches the sales pipeline. A shared WhatsApp inbox for business fixes the first problem. Flowyana fixes the second one as well.

Because the inbox is part of the platform, the customer who writes on WhatsApp can be linked to their client record, turned into a lead, quoted, invoiced and paid, all in Flowyana. Messaging tools end at the reply. Here the reply is the start of the sale, the delivery and the entry in your books.

What it does

Omnichannel Inbox, in practice.

Every channel, one list

WhatsApp Business, Facebook Messenger, Instagram direct messages, Telegram, your business email and your website’s live chat arrive in one shared conversation list.

Many people, one WhatsApp number

The whole team works the same number from the same inbox, each signed in as themselves. Every conversation shows who owns it, so no customer gets two answers, or none.

Assign, snooze, tag

Hand a conversation to a teammate, snooze it until the customer gets back to you, tag it, mute it, and move it from open to pending, resolved or closed.

Quick replies

Saved answers for the questions you get every day (opening hours, delivery areas, bank details) go into a reply in a click.

WhatsApp templates, approved by Meta

Write a template in Flowyana, submit it to Meta and follow its approval status. Approved templates open new WhatsApp conversations and drive broadcasts.

Broadcasts you can follow

Send an approved WhatsApp template to a contact list, now or on a schedule, and see each recipient as sent, delivered, read, replied or failed.

Replies become leads

A reply to a broadcast creates a CRM lead by itself. Any other conversation becomes a lead in one step, matched to the client or contact you already have.

Email that sorts itself

Newsletters and bounces are filed on their own, and your own rules sort the rest into lead enquiries, support, spam and other.

Live chat with a rating

A chat widget for your website with business hours, an offline form, file upload, visitor details and a 1–5 rating with comment when a chat is resolved.

On your dashboard

Inbox tiles sit on the dashboard beside sales and stock, so the owner sees how busy the inbox is without opening it.

How you get it

The omnichannel inbox comes with CRM, Support and Bookings plans from Growth and with Rentals Business, and other plans can add it. Website live chat works on its own; WhatsApp, Instagram, Messenger, Telegram and email also need Integrations, which those plans include. Support Starter has website chat only.

How it works

Omnichannel Inbox, step by step.

  1. 1

    Connect your channels

Link your WhatsApp Business number, Facebook Page, Instagram account, Telegram bot and business mailbox. Add the live-chat widget to your website by pasting one short snippet.

  2. 2

    Prepare the team

Invite your agents, save quick replies and write the WhatsApp templates you’ll need. Submit templates to Meta from Flowyana and see when they are approved.

  3. 3

    Answer and assign

New messages arrive in one list, live. Assign each conversation to a teammate, tag it, snooze it while you wait, and resolve it when it’s done.

  4. 4

    Turn chats into business

Create a lead from any conversation, or let broadcast replies create leads on their own. The lead moves through your CRM pipeline to a quotation, an invoice and a payment.

In depth

A closer look.

What is a shared WhatsApp inbox for business?

A shared WhatsApp inbox lets several people answer one WhatsApp Business number from their own login, instead of passing a phone around the office. Each conversation has an owner, a status and a full history the team can read, so a colleague can pick up where someone else left off. In Flowyana the same inbox also holds Instagram, Messenger, Telegram, email and website chat, so nobody switches between five apps to find what a customer said last week.

  • One number, many agents, each signed in as themselves
  • Status on every conversation: open, pending, snoozed, resolved or closed
  • Unread counts, tags, mute and block to keep the list under control
  • Filter by channel, by status, or by email category

Channels in the unified inbox (as of October 2026)

Each channel connects to your own account, so customers keep writing to the number, page or address they already know. Website live chat is Flowyana’s own widget and needs nothing else. The other channels connect through the Integrations in your plan. You can also start a new conversation from the inbox; on WhatsApp, Meta requires the first message to a customer to be an approved template, while replies inside the customer-service window are free text.

  • WhatsApp Business, on Meta’s official WhatsApp Business Platform
  • Facebook Messenger, for messages to your Facebook Page
  • Instagram direct messages to your business account
  • Telegram, through a bot for your business
  • Email from your own mailbox, with replies kept in the same thread
  • Website live chat with Flowyana’s widget

Website live chat that shows who is visiting

Add the widget to your website and choose its colour, position, title and light or dark look. Set business hours in your own time zone; outside them, visitors leave a message with their email instead of waiting. A pre-chat form can ask for a name, email or phone first. While you chat, the side panel shows the page the visitor is on, the pages they have seen, their location, device, language and the campaign that brought them. The conversation also shows the leads and contact it is linked to.

  • Greeting and welcome messages you write
  • File upload with the size and types you allow
  • Runs only on the website addresses you list
  • A 1–5 rating with a comment once the chat is resolved

WhatsApp templates and broadcasts

WhatsApp only lets a business open a conversation with a template Meta has approved. Flowyana handles that for you: write the template with its header, body and category (marketing, utility or authentication), submit it to Meta, and see it approved or rejected in the template list. Approved templates start new WhatsApp conversations and power broadcasts. A broadcast sends one template to a contact list, now or at a scheduled time, filling the template’s fields per recipient or with a default.

  • Contact lists added by hand or imported from a spreadsheet
  • Each recipient tracked as sent, delivered, read, replied or failed
  • A reply within 30 days of a broadcast creates a CRM lead automatically
  • The lead records the channel it came from

Email that sorts itself before your team reads it

Connect your business mailbox and incoming mail arrives as conversations, with replies kept in the same thread. Built-in checks file newsletters, bounces and auto-replies on their own, and rules you write sort the rest into lead enquiry, support, spam or other. Your team opens the inbox and finds the enquiries, not the newsletters.

  • Your own sorting rules for leads, support and spam
  • Newsletters and bounces kept apart from real enquiries

One business behind every channel

This is where Flowyana differs from an inbox-only tool. Turn a chat into a lead and it lands on your CRM pipeline with its channel as the source, linked to the client or contact if they already exist. Convert it to a deal, send a quotation, raise the invoice and share it by WhatsApp or email with a payment link. The sale posts to your books and moves your stock, and the till in your shop sells from the same product list. One customer record, one platform.

  • Conversation to lead in one step, without duplicate clients
  • Each conversation shows the leads and contact it is linked to
  • Automations can send a WhatsApp message or email when a record changes in any module
  • Quotations and invoices shared as a link by WhatsApp or email
  • POS and web sales post to the same books and stock

Built for GCC teams that work in two languages

Customers in the UAE, Saudi Arabia, Qatar, Kuwait, Oman and Bahrain live on WhatsApp and Instagram, and many write in Arabic. Each Flowyana user picks their own workspace language (English, Arabic right to left, Hindi, French, German or Spanish), so an Arabic-speaking agent and an English-speaking manager work the same inbox comfortably. Quick replies and templates are yours to write in whichever languages your customers use.

  • Workspace in six languages, chosen per user
  • Live-chat business hours in your own time zone
  • WhatsApp numbers, pages and mailboxes from any country

What the omnichannel inbox does not do (as of October 2026)

We would rather you knew before you buy. There is no SMS channel, no internal team chat, no automatic assignment of conversations and no SLA timers. Chats become leads in one step; support tickets and tasks are created on the client’s record rather than straight from the chat. Customer orders and invoices live on the client record rather than inside the conversation. Everything else described here works today.

Who it’s for

Businesses that run on Omnichannel Inbox.

Retail shops

Answer stock and price questions on WhatsApp and Instagram from one inbox, while the shop’s till sells from the same product list and stock.

Trading and distribution

Buyers send orders and price requests on WhatsApp. Turn the chat into a lead, quote from your price list and invoice on the same client record.

Real estate and rentals

Enquiries from WhatsApp, Instagram and the website land in one inbox, and every serious one becomes a lead with an owner and a follow-up date.

Clinics, salons and studios

Booking questions arrive on WhatsApp and website chat; the front desk answers from one screen and records the booking in the same workspace.

Service and support teams

Customers write on whatever channel they like. Agents share the load with assignment, tags and quick replies, and raise tickets in the support desk.

Restaurants and cafés

Questions about menus, opening hours and events reach one inbox instead of the manager’s personal phone, while the restaurant POS runs on the same platform.

Questions

Asked about omnichannel inbox.

What is an omnichannel inbox?

An omnichannel inbox puts customer messages from every channel (WhatsApp, Instagram, Messenger, Telegram, email and website chat) into one shared list your team works from. In Flowyana it sits on the same platform as your CRM, quotations, invoices and stock, so a chat can become a lead without copying anything across.

Can multiple agents use one WhatsApp number?

Yes. You connect one WhatsApp Business number and everyone with access answers from the same inbox under their own login. Each conversation is assigned by hand to a teammate, so everyone can see who is answering whom and nobody replies twice.

Does it use the official WhatsApp Business API?

Yes. Flowyana connects to your own WhatsApp Business account on Meta’s official WhatsApp Business Platform, the service often called the WhatsApp Business API. You link the number from your Meta business account. Flowyana doesn’t resell WhatsApp messages, so any charges Meta makes are between you and Meta.

Can I use a shared WhatsApp inbox in the UAE and Saudi Arabia?

Yes. The inbox works wherever your business can use WhatsApp Business, including the UAE, Saudi Arabia and the rest of the GCC. Each user picks their own workspace language, including Arabic laid out right to left, and your quick replies and templates can be written in any language.

Does Flowyana assign conversations automatically?

Not today. A manager or agent assigns each conversation to a teammate. Taking turns automatically (round-robin) is available for leads captured from Meta and LinkedIn lead forms, not for conversations. There are no SLA timers on conversations either.

Can I send WhatsApp broadcasts to my customers?

Yes. Pick an approved template and a contact list, added by hand or imported from a spreadsheet, then send now or schedule it. Each recipient’s status is tracked, and anyone who replies within 30 days becomes a lead in your CRM.

Is SMS included in the inbox?

No. As of October 2026 the inbox covers WhatsApp Business, Instagram, Facebook Messenger, Telegram, email and website live chat. SMS is not offered.

Can I put website live chat, WhatsApp and email in one inbox?

Yes, that is exactly what it does. Website chat works on its own; WhatsApp, Instagram, Messenger, Telegram and email connect through your plan’s Integrations. All of them land in the same conversation list with the same assignment, tags and quick replies.

How is this different from a dedicated WhatsApp inbox tool?

Dedicated messaging tools stop at the conversation. Flowyana is a whole business platform with the inbox built in: the lead a chat creates is the same record your team quotes, invoices and takes payment from. If you only need messaging and want automatic routing, a dedicated tool may suit you better.

What do I need to buy to get the omnichannel inbox?

The inbox comes with CRM, Support and Bookings plans from Growth and with Rentals Business, and other plans can add it. Website chat runs on any of these; the other channels also need Integrations, which those Growth and Business plans include.

Is there internal team chat?

No. The omnichannel inbox is for conversations with customers. Your team works together through comments with @mentions, notes and files on the records themselves, such as a lead, an invoice or a ticket.

Can a chat become a support ticket?

A chat becomes a CRM lead in one step, linked to an existing client or contact. There is no one-step chat-to-ticket or chat-to-task today; your team creates the ticket or task on the client’s record.

Does it show the customer’s orders next to the chat?

The conversation shows the leads and contact it is linked to, and live-chat visitors come with their page, location, device and campaign. Orders and invoices live on the client’s record, not inside the conversation.
