WhatsApp marketing

WhatsApp campaigns your customers welcome.

Send offers, new arrivals and reminders to your customers on WhatsApp from the Marketing app. Pick an approved message, choose who gets it from your own sales records, see the head count and the estimated WhatsApp charge, then send now or schedule it. Consent, unsubscribes, quiet hours and daily limits are handled for you.

  • Create a campaign in four steps, on a phone or a desktop
  • Message templates written, sent for approval and tracked in the app
  • Audiences from what customers bought, spent, where and when
  • Sent, delivered, read and replied for every campaign

What is WhatsApp marketing in Flowyana?

Flowyana’s WhatsApp marketing is a campaign tool inside the Marketing app. It sends approved WhatsApp messages from your business number to customers you choose from your own sales records, contact groups or a spreadsheet, with consent, unsubscribes and WhatsApp’s sending limits taken care of. It suits shops, restaurants and service businesses that already talk to customers on WhatsApp and want to send offers without risking their number.

Bulk WhatsApp messaging goes wrong in predictable ways: a message sent to people who never agreed, a number blocked after too many reports, a broadcast fired at midnight, or no idea who read it. Flowyana builds the guard rails into each step, so the safe way is also the easy way.

Because campaigns run on the same platform as your till, invoices and customer records, the audience comes from what really happened: who bought last month, who spent most, who shops at which branch. There is no list to export and re-import every week.

What it does

WhatsApp marketing, in practice.

Four steps, nothing hidden

Message, who gets it, when, and review. The review shows the WhatsApp number used, how many people, who is left out and why, and the estimated WhatsApp charge before you press send.

Templates approved inside Flowyana

Write a message, add an image, video or document header, and send it to WhatsApp for approval without leaving the app. Its status shows next to it; a rejection comes with the reason in plain words, and you can edit and resubmit.

Personal, not generic

Insert personalisation fields such as the customer’s name or your business name, filled in for each person when the message goes out.

Audiences from your sales

Pick customers who bought in the last so many days, spent over an amount, bought at a branch, carry a tag or have a birthday this month. Or use a saved contact group, upload an Excel or CSV list, or pick people by hand.

Consent and unsubscribe built in

Customers who agreed to WhatsApp offers are marked at the till and on their record. Marketing messages carry an Unsubscribe button, and STOP-style replies in six languages unsubscribe the sender.

Limits that protect your number

Quiet hours, a cap on how many campaigns one person gets, and awareness of your number’s daily WhatsApp limit: a large campaign is spread over several days, and sending pauses if WhatsApp lowers the number’s quality.

Results you can act on

A funnel from sent to delivered, read and replied, with every unsent message and its reason. Retry the failed ones, or send again to people who haven’t read it.

Replies in the shared Inbox

A campaign only appears in the Inbox when someone replies, so your team answers real conversations rather than scrolling past a thousand sent messages.

How you get it

WhatsApp campaigns come with the Retail plan, Restaurant + KOT, ERP Business, and the Business plans of CRM, Rentals, Bookings, Support and Repair, together with the WhatsApp inbox for replies. WhatsApp charges for messages are billed by Meta to your own account.

How it works

WhatsApp marketing, step by step.

  1. 1

    Message

Pick an approved message, or write a new one and send it to WhatsApp for approval. Fill in the personalisation fields and preview it as your customer will see it.

  2. 2

    Who gets it

Choose customers by what they bought or spent, a contact group, an uploaded Excel or CSV list, or people picked by hand. The live count shows duplicates, unsubscribed people and missing numbers left out.

  3. 3

    When

Send right away or schedule a date and time in your business’s time zone. Quiet hours and the daily limit are applied automatically.

  4. 4

    Review

Check the message, the number it goes from, how many people, who is skipped and why, and the estimated WhatsApp charge. Then send, or schedule, with one button.

In depth

A closer look.

WhatsApp template approval, handled in the app

WhatsApp only lets a business start a conversation with a message template it has approved. In Flowyana you write the template with a category (Marketing for offers, Utility for updates), a language, an optional header with text, an image, a video or a document, and a body with personalisation fields. Send it for approval and its status sits next to it. If WhatsApp rejects it, the reason is shown in plain words; edit it and resubmit. Templates you already have in WhatsApp Manager can be imported.

  • Image, video and document headers uploaded in the app
  • Customer name, your business name and custom fields as personalisation
  • Rejection reason in plain words, with edit and resubmit
  • Existing templates imported from your WhatsApp account
  • An Unsubscribe button added to every Marketing template

Audiences from your customers, groups and spreadsheets

Most campaigns start from people who already buy from you. Filter customers by purchases in the last so many days, spend over an amount, branch, tag or birthday month, and combine the filters. Save any audience as a contact group to reuse it. For lists from elsewhere, upload an Excel or CSV file and match its columns to phone number, name, consent and personalisation fields. Every count updates live, with duplicates removed and phone numbers checked.

  • Bought in the last N days, spent at least an amount
  • Branch, tag and birthday month
  • Contact groups you build once and reuse
  • Excel or CSV import with column matching
  • Hand-picked people for small, personal sends

Consent and unsubscribe, the way WhatsApp expects

WhatsApp requires that people agree to hear from you, and lets them report messages they didn’t want. Flowyana tracks “Agreed to WhatsApp offers” on each customer, and cashiers can tick it at the till when they take the customer’s number. Marketing campaigns leave out people who haven’t agreed unless you deliberately include them, with a warning about what that risks. Every Marketing template carries an Unsubscribe button, and a reply of STOP or its equivalent in English, Arabic, Hindi, French, German or Spanish unsubscribes the person everywhere. Writing START again subscribes them back.

  • Consent recorded at the till and on the customer record
  • Unsubscribed people never receive another campaign
  • STOP and START recognised in six languages
  • Utility updates still respect unsubscribes

Scheduling, quiet hours and daily limits

Schedule a campaign for the right moment, in your business’s own time zone. Quiet hours stop sending overnight (9 pm to 9 am unless you change them) and resume in the morning. A frequency cap limits how many marketing campaigns one person receives in a period, one a day by default. WhatsApp also limits how many people each number can reach per day; Flowyana reads your number’s limit and spreads a large campaign over the days it needs. If WhatsApp lowers your number’s quality rating or limits it, sending pauses on its own, and you can resume once things recover.

  • Send now or schedule in your time zone
  • Quiet hours you set, applied to every campaign
  • A cap on campaigns per person per period
  • Big campaigns spread across days within your WhatsApp limit
  • Automatic pause when the number’s quality drops

Results: sent, delivered, read, replied

Each campaign shows a funnel from sent to delivered, read and replied, as the numbers arrive. People who weren’t sent the message are listed with the reason, such as unsubscribed, no valid number or already messaged today. Retry the ones that failed, or send again to people who received the message but haven’t read it. Replies open straight into the shared Inbox.

  • Live funnel per campaign
  • Every message not sent, with its reason
  • Retry failed and resend to people who haven’t read it
  • Replies one tap away in the Inbox

WhatsApp marketing in the Gulf, India and beyond

WhatsApp is how customers in the UAE, Saudi Arabia and the rest of the GCC, India and many other markets prefer to hear from shops and restaurants. Write templates in the customer’s language, including Arabic and Hindi; WhatsApp’s charge per message varies by country, so the estimate uses your recipients’ numbers. The business rules (quiet hours, caps, consent) are settings, not assumptions about one market.

  • Templates in any language WhatsApp supports
  • Workspace in English, Arabic, Hindi, French, German and Spanish
  • Cost estimate based on where your recipients are

What it doesn’t do (as of October 2026)

Campaigns are for WhatsApp only: no SMS or email newsletters. Flowyana doesn’t resell WhatsApp messages or publish ads. Messages go from your own WhatsApp Business number, and WhatsApp bills its charges to your Meta account.

Who it’s for

Businesses that run on WhatsApp marketing.

Retail shops and supermarkets

Tell recent buyers about new arrivals, send a weekend offer to customers who spent over a set amount, or message one branch’s regulars about a store event.

Restaurants and cafés

Announce a new menu or a festive set menu to diners who agreed at the till, and send a birthday-month treat without anyone keeping a calendar.

Salons, clinics and studios

Remind lapsed clients who haven’t visited in 90 days, and fill quiet weekdays with a timed offer scheduled for the morning.

Repair and service businesses

Send service reminders and seasonal check-up offers to past customers, and answer replies in the shared Inbox.

Trading and distribution

Share new stock and price lists with a contact group of trade customers, imported once from your existing spreadsheet.

Rentals and bookings

Message past customers before peak season, and follow up the replies as bookings or leads.

Questions

Asked about whatsapp marketing.

What is WhatsApp marketing software?

Software that sends approved WhatsApp messages to many customers at once from your business number, keeps track of who agreed to receive them, and reports what happened to each message. Flowyana does this from the Marketing app, using the customers, sales and branches already in your workspace.

Do I need the WhatsApp Business API?

Yes. Campaigns are sent from a number on Meta’s official WhatsApp Business Platform, often called the WhatsApp Business API, connected from your own Meta business account. The free WhatsApp Business phone app can’t be used for campaigns from Flowyana.

How long does WhatsApp template approval take?

WhatsApp reviews every marketing template before its first use. Many are decided within minutes, and Meta says reviews can take up to 24 hours. Flowyana shows the status next to each message, and if it is rejected you see why, change it and resubmit.

How much does each WhatsApp message cost?

WhatsApp charges per delivered template message, at a rate that depends on the message category and the recipient’s country. Flowyana shows an estimate before you send, and WhatsApp bills your Meta account directly. Flowyana doesn’t resell messages or add a charge per message.

Do customers have to opt in?

Yes. WhatsApp’s rules require that people agree to receive your messages. Flowyana records “Agreed to WhatsApp offers” on the customer and at the till, leaves out people who haven’t agreed unless you deliberately include them, and never sends to anyone who unsubscribed.

Can I import my customer list from Excel?

Yes. Upload an Excel or CSV file, match its columns to phone number, name, consent and any personalisation fields, and send to it once or save it as a contact group.

How many WhatsApp messages can I send per day?

WhatsApp sets a daily limit on how many people each number can start conversations with, and raises it as you send messages people want. Flowyana knows your number’s limit: a campaign bigger than today’s room is spread over the following days, and the review tells you how many days it will take.

What happens when customers reply?

The reply arrives in the shared Inbox, where anyone on your team can answer it. Campaigns that get no replies stay out of the Inbox. On plans with CRM, a reply can also become a lead.

Can I send WhatsApp campaigns in Arabic or Hindi?

Yes. Templates are written per language, including Arabic and Hindi, and the app itself runs in English, Arabic, Hindi, French, German and Spanish. Unsubscribe replies are recognised in all six languages.

Which Flowyana plans include WhatsApp campaigns?

The Retail plan, Restaurant + KOT, ERP Business, and the Business plans of CRM, Rentals, Bookings, Support and Repair. Each includes the WhatsApp inbox where replies land.
