For Event Venues & Halls

Every hall booked once, every deposit on record.

Venue booking software that books each event against the hall it uses, so a second event on the same hall and time is refused. Add the package, catering and extras as lines, take a deposit, record the payments, and see the balance before the doors open.

  • Halls and rooms that cannot be double-booked
  • Packages, catering and extras as booking lines
  • Deposits by percentage or fixed amount
  • A month calendar and a statement per booking

What a Event Venues & Halls setup on Flowyana covers.

Flowyana is venue booking software for wedding and banquet halls, event spaces, conference rooms, community halls and studios, covering hall booking, event space rental and the money that goes with them. Each event is a booking with a client, a hall, a start and end time, the package and extras as lines, a deposit and payments. A hall cannot be booked twice for overlapping hours, and every payment lands in the same books as the rest of your business.

Venues usually run on a diary, a WhatsApp group and a receipt book. That is how two families are promised the same Saturday, a deposit is agreed and never recorded, or the extra hour on the night is never billed. Flowyana keeps the booking, the hall and the money on one record, with a balance that tells your team exactly what is still owed.

It suits a banquet hall in Dubai, a wedding venue in Jeddah, a conference centre in Kochi or a studio in Nairobi. Booking lines and charges carry VAT or GST at your rate, amounts follow your currency, and confirmations and receipts print with Arabic and English labels if you want them.

The workflow

How event venues & halls run on Flowyana.

  1. Enquire

    The client on record

Enquiries arrive by phone, WhatsApp or email and the client is recorded once, with their history.

  2. Hold

    The hall, held properly

The booking names the hall, the date and the hours. A clash on the same hall is refused before it is saved.

  3. Secure

    Deposit and package

Packages and extras go on as lines with tax, and the deposit is taken by percentage or fixed amount.

  4. Close

    Balance, charges, done

Extra hours, cleaning or damage are added as charges, the balance is collected, and the statement shows every payment.

In depth

A closer look.

Halls and rooms as bookable resources

In the Resources list you define what gets booked: the main hall, the garden, a meeting room, a studio. Each resource has a kind, an optional capacity and an active switch. Every booking can be assigned a resource, and Flowyana will not let two bookings overlap on it. The calendar filters by resource, the booking report groups by it, and the occupancy widget counts your active resources, so you can see which spaces earn and which sit empty.

  • Halls, rooms and spaces with optional capacity
  • Overlapping bookings on the same hall refused
  • Clash warning before saving, naming the booking
  • Calendar filter and report grouping by hall

Packages, extras and the booking total

Your packages, catering menus, decor and equipment are items in your catalogue with prices and tax. Add them to a booking as lines and the booking total is right before the client signs off. Each booking has its own booking type, such as wedding, conference or birthday, a participants count and notes for special requests. Statuses are draft, confirmed and cancelled, with who confirmed or cancelled it and why.

  • Booking types from a list you control
  • Packages and extras as lines with tax
  • Participants count and special requests
  • Draft, confirmed and cancelled, with who and why

Deposits, payments and the booking statement

Ask for a deposit as a percentage of the total or a fixed amount, then record the deposit and later payments against the booking. If a client pays more than the balance, the excess can be kept as a customer advance for a later booking or invoice. The booking statement brings deposits, service lines, extra charges and payments in and out together with the running balance, so a dispute is settled by reading one screen.

  • Deposit by percentage or fixed amount
  • Payment history with method and reference
  • Overpayments kept as a customer advance
  • A statement with the running balance

Enquiries, confirmations and the books

From the Team plan, one inbox lets your team answer WhatsApp, Instagram and email enquiries beside the client record, with saved replies for your usual quotes. Booking confirmations and payment receipts print on your own template. Pay links on invoices work from Team where a supported gateway is available. The Business plan adds accounting, so booking charges and payments post to your books, plus inventory for products and consumables you sell.

  • WhatsApp, Instagram and email inbox from Team
  • Booking confirmation and receipt documents
  • Pay links where a supported gateway is available
  • Accounting and product stock on Business

Questions

Asked by event venues & halls.

What is the best venue booking software in the UAE?

The best venue booking software for a UAE hall is one that stops double-bookings, takes deposits and keeps payments on the books, and Flowyana does all three on one platform with 5% VAT on booking lines. It does not offer online self-booking, seating plans or floor layouts as of October 2026.

Can Flowyana work as banquet hall management software?

Yes. Each event is a booking against a hall or room, with the package and extras as lines, a deposit, payments and a statement. A hall cannot be booked twice for overlapping hours.

Can one venue have several halls?

Yes. Each hall, garden or meeting room is its own resource, with an optional capacity. Clashes are checked per resource, so two halls can host events at the same time.

Can I take a deposit to hold a date?

Yes. Set the deposit as a percentage of the total or a fixed amount, record it as a payment, and the booking shows the balance still due.

Can I charge for an extra hour or damage after the event?

Yes. Add an extra hour, cleaning, damage or another charge to the booking, with tax if it applies. Waive a charge with a reason if you decide not to collect it.

Can clients check availability and book online?

Not as of October 2026. Bookings are entered by your team, which suits venues that take enquiries by phone, WhatsApp, email or a site visit.

Can I hire out chairs, tables and equipment too?

Yes. Items you include in a package can be booking lines. If you hire furniture or equipment out to other locations, Rentals tracks each item out and back with availability, deposits and late fees.

Does it plan seating, floor layouts or event run-sheets?

No. Flowyana handles the booking, the hall, the package and the money. Seating plans, floor layouts and run-sheets stay in the tools you use for them; from the Team plan, comments, notes and files can be attached to the booking.

Does hall booking software work the same in Saudi Arabia and India?

Yes, Flowyana works the same for venues in Saudi Arabia, India and beyond. Booking lines and charges carry VAT or GST at your rate, such as 5% UAE VAT or 15% Saudi VAT, amounts follow your currency, and confirmations can print in Arabic and English.

Which Flowyana plan fits an event venue?

Start on the Bookings plans. Bookings, deposits and payments come with every plan; the inbox, CRM and pay links come in on Team; and accounting comes in on Business. Rentals can be added if you also hire out furniture or equipment.
