For Training Institutes & Academies

Enquiries, classes and fees, in one place.

Training institute management software for the business side: follow every enquiry until it enrols, book classes and sessions against rooms and trainers without clashes, invoice term or monthly fees on schedule, and see who has paid and who still owes, on the same client record.

  • Enquiries on a pipeline until they enrol
  • Classes booked against rooms and trainers
  • Term or monthly fees invoiced on schedule
  • Advances and payments per student

What a Training Institutes & Academies setup on Flowyana covers.

Flowyana is training institute management software for coaching centres (coaching centers), language schools, music and art academies, skills academies and corporate trainers. Enquiries are followed up on a pipeline, classes and sessions are booked against rooms and trainers without clashes, fees are invoiced on schedule or taken as advances, and every payment lands in the same books.

Institutes usually run on a register, a spreadsheet of fees and a WhatsApp group. Enquiries go cold because nobody called back. A room is given to two batches on the same evening. A student falls three months behind on fees before anyone notices. Flowyana keeps the enquiry, the student, the classes and the money on one record, so the front office knows exactly who to call and what to collect.

As coaching centre software it suits a coaching centre in Dubai, a language school in Riyadh, a skills academy in Hyderabad or a corporate training firm in Lagos. Invoices carry VAT or GST at your rate where your courses are taxable, amounts follow your currency, and receipts print with Arabic and English labels if you want them.

In depth

A closer look.

Enquiries, counselling and enrolment

From the Team plan, each enquiry can be a lead with its source, the course it asks about in the notes, an owner and a stage on the pipeline. The shared inbox brings WhatsApp, Instagram, Messenger, Telegram, email and website chat into the workspace with saved replies for your usual answers about fees and timings. When an enquiry enrols, the student or the sponsoring company becomes a client, the same record that carries their bookings, invoices and payments.

  • Enquiries on a pipeline with source and owner
  • One inbox for WhatsApp, Instagram and email
  • Saved replies for fees and timings
  • One client record per student or company

Classes and sessions against rooms and trainers

Each class, workshop or one-to-one session is a booking with a booking type, a start and end time, a participants count, the services booked and notes. Rooms, labs and trainers are resources with an optional capacity, and a booking that clashes on the same resource is refused. A month calendar shows every session and can be filtered by room or trainer, and staff are notified of sessions starting today and tomorrow.

  • Booking types such as class, workshop or session
  • Rooms and trainers as resources
  • Participants count on every booking
  • Calendar filter and day-before reminders

Fees, advances and instalments

Course fees can be taken on the booking, with a deposit as a percentage or fixed amount and payments recorded with their method. Term or monthly fees can run as subscriptions, with weekly to yearly cycles, a trial if you offer one, pauses between terms and a credit for the unused period when a student leaves; Subscriptions can be added to your plan. Pay links on invoices work from Team where a supported gateway is available.

  • Deposits and payments on the booking
  • Term fees as subscriptions, as an add-on
  • Pause between terms, credit on cancellation
  • Pay links from Team

Staff, messages and the books

HR & Payroll can be added for trainer and staff attendance, leave and payroll. On the Business plan, WhatsApp campaigns send approved messages to chosen students with consent and results, for example to announce a new batch, and accounting posts fees and payments to your books. Reports total bookings and revenue by period and branch.

  • HR & Payroll as an add-on
  • WhatsApp campaigns on Business
  • Accounting on Business
  • Booking report by period and branch

Questions

Asked by training institutes & academies.

What is the best training institute management software in the UAE?

For a UAE institute that sells courses, the best fit is software that follows up enquiries, books classes without clashes and invoices fees on the same books, and Flowyana does that on one platform. It is not a learning management system and has no student attendance register, exams or portal.

Can Flowyana work as coaching centre management software?

Yes, for the business side of a coaching centre or academy: enquiries, students as client records, classes booked against rooms and trainers, fees, advances and payments, staff, and the books. It is not a learning platform.

Can I deliver online courses or host course content?

No. Flowyana is not a learning management system. It does not host videos, lessons, quizzes or online classes. Teach in the tools you already use and run enquiries, bookings and fees in Flowyana.

Does it track student attendance?

Not as a class register. Each booking has a participants count, but there is no per-student attendance sheet for classes. Staff and trainer attendance is covered by HR & Payroll.

Does it handle exams, grades or certificates?

No. There are no exam schedules, grade books, report cards or certificate generation.

Can I invoice term fees automatically?

Yes, with Subscriptions. Each student’s fee plan raises a tax invoice on every renewal, can be paused between terms, and credits the unused share if cancelled mid-term.

Can students or parents log in to see fees and timetables?

No. There is no student or parent portal and no self-booking page as of October 2026. Your team shares invoices by link, email or WhatsApp.

Can the same room or trainer be booked twice?

No. When a booking is assigned a resource, any other booking that overlaps in time on it is refused, even if two people save at the same moment.

Is there training institute software for Saudi Arabia and India too?

Yes, Flowyana works the same for institutes and academies in Saudi Arabia, India and beyond. Invoices carry VAT or GST at your rate where your courses are taxable, amounts follow your currency, and documents can print in Arabic and English.

Which Flowyana plan fits a training institute?

Start on the Bookings plans. CRM, the inbox and saved replies come in on Team; accounting and WhatsApp campaigns on Business. Subscriptions and HR & Payroll can be added.
