For Auto Workshops & Garages

Every vehicle in the bay, tracked to the invoice.

Garage management software that follows every vehicle from check-in to invoice: a work order with its number and the customer’s complaint, job cards for your mechanics, parts from your own store and labour by time. The next time the car comes in, its history is one search away.

  • Work orders with vehicle number and complaint
  • Job cards per mechanic, on a board
  • Parts from stock, labour by the hour
  • Advance, invoice and balance from the job

What a Auto Workshops & Garages setup on Flowyana covers.

Flowyana is garage management software for independent garages, car repair shops, auto service centres (service centers), tyre and quick-service shops, and body and paint workshops. Each vehicle that comes in becomes a work order with the customer, the vehicle number, a description and the reported complaint. Job cards give each piece of work to a mechanic, parts come out of your own stock, labour is logged by time, and the invoice is created from the same record.

Workshops leak money in familiar ways. A part goes on a car and never reaches the bill. A mechanic’s two hours are never written down. A customer comes back with the same noise and nobody can find what was done last time. Flowyana keeps the vehicle, the job cards, the parts, the labour, the advance and the invoice on one record, so the history of every car is a search away.

It suits a garage in Sharjah, a service centre in Riyadh, a tyre shop in Pune or a multi-branch vehicle workshop group. Invoices carry VAT or GST at your rate, amounts follow your currency, and work orders and invoices can print with Arabic and English labels.

The workflow

How auto workshops & garages run on Flowyana.

  1. Check in

    The vehicle on record

Customer, vehicle number, description and the complaint captured once, with a promised date and an advance if you take one.

  2. Work

A mechanic on every job card

Diagnosis, repair and testing as separate job cards, each with a mechanic, an estimate and a stage on the board.

  3. Parts

    The store stays counted

Parts fitted leave stock and join the bill with tax; unused parts go back with a reason.

  4. Deliver

    Invoiced and on file

The invoice comes from the work order, the advance is counted, and the job joins the vehicle’s history.

In depth

A closer look.

Job cards for every vehicle in the workshop

A work order holds the customer, the vehicle number and description, the complaint, the service address if you go out to the car, a scheduled date, a promised date and the service advisor who owns the customer conversation. Inside it, job cards split the work, for example diagnosis, brake service and road test, each with its own mechanic, estimated and actual time, and a stage on the job card board. When every job card is finished, the work order is complete. On the Business plan you can rename the equipment fields to Vehicle and Plate number and add your own fields, such as mileage, to the work order form.

  • Vehicle number, description and complaint on every job
  • Several job cards per vehicle, each with a mechanic
  • Job card board for the workshop floor
  • Your own field names and extra fields on the Business plan

Parts from your store, and buying them back in

Parts come from the same stock you count and sell over the counter. From the Growth plan, shop-supplied parts on a job card leave the warehouse you choose, and purchasing covers suppliers, purchase orders and bills so restocking is recorded in the same place. A fitted part can carry its own warranty months, dates and serial number, and on the Business plan you can move stock between warehouses and branches.

  • Parts out of stock when fitted, back when unused
  • Customer-supplied parts recorded separately
  • Suppliers, purchase orders and bills from Growth
  • Warranty months and serial number per part

Estimates, invoicing and payment

Labour and call-out charges go on the job as service lines, and each mechanic’s time is logged with a rate. Estimates and quotations are available from the Growth plan for jobs that need the customer’s approval first. Take an advance when the car comes in, generate the invoice from the work order in one step, and record the balance when the customer collects. The work order shows pending, partly paid, paid or refunded, so the counter knows what to collect before handing the keys back.

  • Labour by mechanic, with an hourly rate
  • Quotations for estimates from Growth
  • One-step invoice from the work order
  • Payment status on every job

Customers, messages and the books

The customer is one record across work orders, invoices and payments, so a fleet customer’s vehicles and bills sit together. From the Growth plan, one inbox lets your team reply on WhatsApp and email with saved replies for the usual updates, and accounting posts every invoice and payment to your books. On the Business plan, automation rules can message the customer when a work order is completed and flag jobs that pass their promised date.

  • One record per customer across every visit
  • WhatsApp and email inbox from Growth
  • Invoices and payments post to accounting
  • Automation rules on the Business plan

Questions

Asked by auto workshops & garages.

What is the best garage management software in the UAE?

The best garage management software for a UAE workshop is one that keeps job cards, parts stock, invoicing with 5% VAT and the books in one place, and Flowyana does all four on one platform. It suits independent garages, car repair shops and auto service centers; it does not include diagnostics, online booking or a customer app, so check those against your needs.

Can Flowyana run a car repair shop from check-in to invoice?

Yes. Each vehicle is a work order with its number, the complaint and job cards for your mechanics, with parts from stock, labour by time, and an invoice created from the same record.

Can I record the plate number and mileage?

The equipment number field holds the vehicle or plate number on every work order, and you can search by it. On the Business plan you can rename that field to Plate number and add your own fields, such as mileage, to the work order.

Can I see the service history of a vehicle?

Yes. Search work orders by vehicle number or customer and every earlier visit appears, with its job cards, parts and notes.

Do parts used on a job come out of stock?

Yes, from the Growth plan. Shop-supplied parts leave the chosen warehouse when added to a job card and return if unused. Parts the customer brought in are recorded without touching stock.

Can I give the customer an estimate before starting?

Yes. Quotations are available from the Growth plan. Send the estimate, and once the work is done, invoice from the work order.

Does it remind customers when the next service is due?

Not on its own. There is no service-interval or mileage reminder built in. On the Business plan, an automation rule can send a WhatsApp message or email a set number of days after a date on the work order.

Is there a customer app or online booking for the workshop?

No. Customers cannot book a slot or follow their car online. Your team enters work orders and shares updates by message or phone.

Does it connect to diagnostic scanners or parts catalogues?

No. Flowyana does not read diagnostic tools or look up parts from manufacturer catalogues. Parts are your own stock items, bought in through purchasing and counted in your warehouse.

Is there auto workshop software for Saudi Arabia and India too?

Yes, Flowyana works the same for vehicle workshops in Saudi Arabia, India and beyond. Invoices carry VAT or GST at your rate, such as 5% UAE VAT or 15% Saudi VAT, amounts follow your currency, and documents can print in Arabic and English.

Which Flowyana plan fits a garage?

Start on the Repair & Service plans. Work orders come with every plan; parts stock, purchasing, quotations and accounting come in on Growth; and Business adds more branches, stock transfers between them, automation and your own fields. Extra branches can be added to Starter and Growth.
