Sales & Invoicing

Quotation to cash, one unbroken flow.

Quotations become orders, orders become invoices, invoices get paid — and every step posts to stock and the books on its own. Returns run the same road in reverse.

  • Quotations, sales orders, invoices, payments, returns
  • Printable documents with your branding
  • Client credit tracked and reported
  • Every invoice posts stock and accounts automatically

What is Sales & Invoicing in Flowyana?

Flowyana Sales is invoicing software for businesses in the UAE, Saudi Arabia and the wider Gulf that sell on quotation, on account or over the counter. A quotation becomes a sales order, the order becomes a delivery and a VAT tax invoice, and payments settle the invoice. Every step updates stock and the books by itself, and every document prints in Arabic and English.

Most sales teams run this chain across a spreadsheet of quotes, a word-processor invoice template and a separate accounting file. Prices get re-typed, a delivered order never gets invoiced, an invoice goes out at the wrong VAT rate, and nobody is sure which customer still owes what.

In Flowyana each document is created from the one before it, so the lines, prices, tax and customer carry forward untouched. You can deliver part of an order and invoice part of it, and the system tracks what is still to deliver and still to bill. Returns and credit notes run the same road in reverse, putting stock back and reversing the VAT.

Because Sales shares one customer record with CRM, one product list with Inventory and one ledger with Accounting, the salesperson, the storekeeper and the accountant all see the same numbers.

What it does

Sales & Invoicing, in practice.

The full document chain

Quotation → order → invoice → payment, each created from the last — no re-typing, no copy-paste errors.

Paper that looks like you

Invoices and quotations render from templates with your logo and layout, ready to print or send as PDF.

Selling on account

Client balances, credit reporting, and payment tracking — retail or wholesale, cash or credit.

Returns without drama

Sales returns post back through stock and the books the same way sales post forward.

Posted, not exported

Every invoice writes its stock movements and its double-entry voucher the moment it’s confirmed.

Credit notes that settle properly

Correct an invoice line by line or issue a flat credit, apply one note across several invoices, refund the balance by any method — every step reversible and on the record.

Revisions, partials, and terms

Quotations revise into numbered versions; orders invoice in full or in part; payment terms, notes, and conditions carry per document with your defaults.

Numbered the way auditors expect

Every document type has its own sequential series with a prefix you choose — INV-000412, QT-000031 — and a VAT breakdown per rate on the tax invoice.

How it works

Sales & Invoicing, step by step.

  1. 1

    Quote

Build a quotation from your product list with prices, discounts and VAT per line. Revise it into numbered versions as the customer negotiates, and get a reminder before it expires.

  2. 2

    Confirm the order

Convert the accepted quotation into a sales order in one click. Confirmed orders reserve stock, so another salesperson cannot promise the same units twice.

  3. 3

    Deliver and invoice

Ship in full or in part with a delivery note, then raise the tax invoice for what was delivered. Stock moves and the sales voucher posts with its VAT.

  4. 4

    Get paid

Send the invoice by link, email or WhatsApp with an online payment link. Record cash, card, transfer or an advance against it, and the receivable clears.

In depth

A closer look.

Quotation to invoice without re-typing

Every sales document in Flowyana is created from the previous one: quotation to sales order, sales order to delivery note, delivery note or order to invoice, invoice to payment. The lines, prices, discounts, tax and customer come across exactly as agreed. A quotation can be revised into numbered versions, and you are notified before it expires. Quotation conversion shows on the dashboard, so you can see how many quotes turn into orders. You can also skip steps: a counter sale can start straight at the invoice.

  • Quotations with numbered revisions and expiry reminders
  • One-click conversion at every step
  • Payment terms, notes and conditions per document
  • Sequential numbering per document type, with your prefix

Sales orders, delivery notes and backorders

Delivery notes are optional. Switch them on if you deliver before you bill, and leave them off if you invoice at the counter. With them on, an order can go out over several deliveries, and the invoice can only bill what has actually been delivered and not yet billed, so you never invoice twice for the same goods. Confirmed orders reserve stock for that customer. The backorders and pending deliveries reports show what you still owe each customer, and the delivered-not-invoiced report shows goods that left the warehouse without a bill.

  • Partial delivery and partial invoicing
  • Billing capped at delivered minus already billed
  • Stock reserved for confirmed orders
  • Backorders, pending deliveries and delivered-not-invoiced reports

VAT tax invoices in Arabic and English

The tax invoice prints “Tax Invoice” and “فاتورة ضريبية” with paired Arabic–English labels, your tax registration number and your customer’s, a VAT breakdown per rate, and the tax amount in words. Amounts use your currency’s decimals, three for the Omani rial and Bahraini dinar. Choose from the template designs, add your logo, colours and branch letterhead, and print on A4, A5 or Letter. Keep billing and shipping addresses in each customer’s address book, and the invoice prints the right Bill To and Ship To.

  • Arabic–English labels on every sales document
  • Both tax numbers, VAT per rate and the amount in words
  • Customer address book with Bill To and Ship To
  • Your branding and branch letterheads

Send it, and get paid online

Share any invoice or quotation by link, by email or as a WhatsApp message. The customer opens it in the browser without signing in. Where your workspace has a payment gateway connected (Tap in the Gulf), the invoice carries an online payment link and a QR code, and the payment is recorded against the invoice when it goes through. Payments taken by cash, card or bank transfer are recorded by hand, and a customer can pay in advance and have that advance applied to a later invoice. Overdue invoices raise a reminder for your team.

  • Share by link, email or WhatsApp
  • Online payment link and QR code on invoices
  • Advances and customer credits applied to later invoices
  • Overdue-payment reminders

Returns and credit notes that reverse cleanly

A sales return brings goods back into stock and reverses the sales voucher and its VAT. Damaged goods do not have to go back on the shelf at full value: per line, you write them off or keep them at a reduced value, with a reason, and the loss posts to its own ledger. Serial-numbered goods are picked by serial, with their warranty. Credit notes correct an invoice line by line or as a flat amount, apply across several invoices, and refund the balance by one or more payment methods. Set a default return window for the workspace, then mark any category or product as returnable within a number of days or not returnable at all. Web returns enforce those rules, a manager can override with the override recorded, and the policy text prints on invoices, sales returns and credit notes.

  • Returns against the original invoice
  • Damaged lines written off or written down, with reasons
  • Credit notes applied across invoices
  • Refunds split across payment methods
  • Return policy per category and product, with a manager override on record

Sales reports and the numbers that matter

The Sales app has its own Reports group: sales, sales orders, delivery notes, pending deliveries, backorders, payments, sales returns, client, client credit and tax, plus AR aging. Reports filter by branch and export to Excel, CSV or PDF. On the dashboard, widgets show revenue over time, gross margin, average order value, quotation conversion, returns rate and what is still to deliver.

Questions

Asked about sales & invoicing.

Is Flowyana invoicing software for the UAE?

Yes. It issues VAT tax invoices at 5%, zero-rated or exempt per line, with paired Arabic–English labels, both tax registration numbers and a VAT breakdown per rate. Each invoice posts its VAT to the books automatically.

Can we start a sale as a quotation and convert it later?

Yes, that’s the designed flow. A quotation becomes an order, an order becomes a delivery and an invoice, and payments settle against the invoice, each step carrying the data forward.

Can we deliver and invoice part of an order?

Yes. With delivery notes switched on, an order can go out over several deliveries, and invoices bill only what has been delivered and not yet billed. Backorder and pending-delivery reports show what is still open.

Do invoices update stock and accounting?

Automatically. A confirmed invoice, or the delivery note before it, moves stock for every line, and the invoice posts a balanced sales voucher with VAT split out. There is nothing to export or re-enter.

Can I print Arabic–English invoices for Saudi Arabia?

Yes. Sales documents print paired Arabic and English labels with your logo and layout. Note that Flowyana does not clear invoices with ZATCA’s Fatoora platform, so it does not cover Phase 2 e-invoicing integration.

Can customers pay an invoice online?

Yes, when your workspace has a supported payment gateway connected. The invoice carries a payment link and a QR code, and the payment is recorded against it. You can also share the invoice by link, email or WhatsApp.

How do returns and credit notes work?

A sales return puts stock back and reverses the VAT. Damaged lines can be written off or kept at a reduced value. Credit notes correct an invoice by line or as a flat amount, apply across invoices, and refund by any method.

Can we invoice in US dollars as well as dirhams?

Not today. Documents are issued in your workspace’s home currency, with the correct decimals for it. Multi-currency invoicing is not available yet.

Can we customise how invoices look?

Yes. Documents render from templates with your branding: logo, colours, header and branch letterhead, on A4, A5 or Letter.
