What is Documents in Flowyana?

Flowyana Documents is the invoice and document template system behind every module. It prints 25 document types, from tax invoices and quotations to payslips and delivery notes, on 15 designs with your logo, colours and branch letterhead, in English or with Arabic and English labels side by side. Businesses in the UAE, Saudi Arabia and the Gulf get bilingual, branded paper without a designer.

Most small businesses end up with paper that looks like three different companies. The invoice comes from the accounting tool, the quotation from a word processor, the delivery note from a spreadsheet, and the Arabic labels were pasted in by someone who has since left. When the VAT number changes, nobody can find every template.

In Flowyana there is one place for branding and one template per document type. Change the logo once and every invoice, quotation, receipt and voucher follows. Each template is filled from the live record, so the totals, tax lines and balances on the page are the ones in the books, never a copy that drifted.

The same documents are what customers receive. Share an invoice as a link, by email or on WhatsApp, and the customer opens a clean page in the browser with the PDF to download, and a pay button where you take online payments.

What it does

Documents, in practice.

Every printable record

If it can be handed to a customer, a supplier or an employee, or filed for an auditor, it prints: 25 document types across the platform.

Fifteen designs to start from

Classic, Minimal, Modern, Corporate, Ledger, Letterhead and more, each available per document type, on A4, A5 or Letter.

Branding once, everywhere

Set your logo, colours and header in one place; every document follows, and each branch can carry its own letterhead and default template.

Arabic and English on one page

Print every label paired in Arabic and English, or English only, chosen per template.

Tax the way the authority wants it

The VAT or GST breakdown prints per component, item codes appear per line where the country uses them, and a tax-summary table is appended automatically.

Paid faster

Bank details, IBAN and a payment QR print on the document, and invoices can carry a pay-online QR where online payments are set up.

Shared without attachments

Send a document by link, email or WhatsApp; the customer opens it in the browser and downloads the PDF.

Copies, labelled

Print the original, duplicate and triplicate, or copies with your own labels, as one document instead of printing it three times.

Tied to real data

Documents render from live records, so what’s printed is what’s posted.

How you get it

Branding & document designs are included on every plan: documents print with your logo, brand colours and fonts on the design you choose, on every plan that issues them.

  3. 3

    Work as usual

Every invoice, order, receipt or voucher you save is ready to print or download as a PDF, filled from the record itself.

  4. 4

    Send it

Share by link, email or WhatsApp straight from the record, or print it with its labelled copies in one go.

In depth

A closer look.

Arabic–English invoice templates on one page

Every label on a document can print paired in English and Arabic: “Tax Invoice” beside its Arabic, “Quantity” beside its Arabic, and so on down the page. You choose per template whether Arabic is printed or the document stays in English only. Product names, customer names and notes print as you typed them. If you have renamed a field in your workspace, the document prints your name for it, so the paper speaks the same language as the screens your team uses.

  • Paired English and Arabic labels, or English only
  • Your renamed field labels print as you named them
  • Total amount written out in words
  • Formatted notes and terms with bold text and lists

Branded invoice templates, without a designer

Start from one of 15 designs: Classic, Minimal, Modern, Bold, Elegant, Compact, Bordered, Striped, Corporate, Soft, Outline, Ledger, Boxed, Letterhead and Spotlight. Then adjust it on screen: paper size (A4, A5 or Letter), margins, which line columns show and in what order, the label on each column, the date format and how amounts show their currency. A letterhead mode hides your logo and company block for pre-printed stationery, and each branch can have its own default design.

  • Fifteen designs per document type
  • Column order, labels and visibility you control
  • Pre-printed letterhead mode
  • Branch-specific letterheads and default templates

Tax invoices with VAT shown per component

A tax invoice prints the tax rate and tax amount per line where you choose, and a tax summary table that breaks the total down by component and rate. Your tax number and your customer’s print in the party blocks. Where a country uses item classification codes on invoices, they print per line. Optional extras include a status watermark for drafts, paid or cancelled documents, page numbers, a total-quantity row, and printed copies labelled such as “Original for recipient”.

  • Tax summary by component and rate
  • Your tax number and the customer’s
  • Status watermark, page numbers and copy labels
  • Batch numbers, expiry and serials under each item if you track them

Share invoices by link, email or WhatsApp

Customer- and supplier-facing documents, including invoices, quotations, orders, delivery notes, receipts, credit and debit notes, rental agreements, bookings and work orders, can be shared from the record. Flowyana creates a private link, sends it by email or opens WhatsApp with the message ready, and the recipient sees the document in the browser with a download button. Links expire after 30 days and can be withdrawn at any time, and the share is noted on the record’s timeline.

  • Link, email or WhatsApp from the record
  • A clean viewer page with PDF download
  • Links that expire and can be withdrawn
  • Shares recorded on the document’s timeline

Payment details and QR codes on the document

The payment details block prints the payment methods you accept, such as bank account and IBAN, so customers don’t have to ask. Where a payment method supports a QR scheme in the document’s currency, the QR prints beside it. Invoices can also carry a scan-to-pay QR for online card payment when your plan includes pay links and a payment gateway is connected. A sales invoice can show the customer’s outstanding balance under the totals.

  • Bank account, IBAN and other payment methods
  • Payment QR codes where the scheme supports them
  • Scan-to-pay on invoices with online payments
  • Customer outstanding balance on the invoice

Twenty-five document types across the business

Sales: tax invoice, quotation, sales order, delivery note, sales return, credit note and payment receipt. Purchasing: purchase order, goods receipt, purchase invoice, purchase return, debit note and payment voucher. Stock and production: stock transfer, stock adjustment and production order. Plus rental agreements, booking confirmations and booking receipts, work orders, subscriptions, payslips, expense vouchers, expense claims and accounting vouchers. Each prints only when its module is part of your plan.

  • Seven sales and six purchasing documents
  • Stock, production and accounting vouchers
  • Rentals, bookings, work orders, subscriptions and payslips
  • Original, duplicate and triplicate copies in one print

Questions

Asked about documents.

Can I print invoices in Arabic and English?

Yes. Every label on a document can print paired in English and Arabic on one page, or stay English only. You choose per template. Arabic is the second language documents support today.

Which documents can be customized?

All 25 printable types: invoices, quotations, sales and purchase orders, delivery notes, goods receipts, returns, credit and debit notes, receipts and payment vouchers, stock and production documents, rental agreements, bookings, work orders, subscriptions, payslips, expense and accounting vouchers.

How many invoice template designs are there?

Fifteen, from Classic and Minimal to Corporate, Ledger and Letterhead. Each document type can use any of them, and you adjust columns, labels, paper size and colours on top.

Do we need a designer?

No. Branding — logo, colours, header, layout choices — is configured in the workspace and applies across your documents. Pick a design and adjust it on screen.

Can I send an invoice on WhatsApp?

Yes. Share it from the record by WhatsApp, email or a copy-paste link. The customer opens the document in the browser and can download the PDF. Links expire after 30 days and can be withdrawn.

Does the invoice show VAT the way the UAE and Saudi Arabia expect?

The tax rate and amount print per line, with a tax summary by component and rate, and both tax numbers in the party blocks. As of October 2026, Flowyana does not submit e-invoices to the FTA or ZATCA; it prints and shares the documents.

Can each branch have its own letterhead?

Yes. Each branch can carry its own letterhead and its own default template, so documents show the right address and details for the branch that issued them.

Can I print on pre-printed stationery?

Yes. Letterhead mode leaves out the logo, company block and footer, so the document lines up on paper that already carries them.

Is this a separate module?

Document templates work across every module that prints. Each document type prints when its module is part of your plan.

One platform

Plays well with the rest.

Documents shares its records with every other module you switch on — no connectors, no re-typing.
