For Coworking & Business Centres

Offices, desks and rooms, billed on schedule.

Coworking space management software that lists your floors, offices and desks, puts each member on an agreement that raises its invoice every month, holds deposits properly, and books meeting rooms without clashes. Who is in, who is leaving and who owes money are always in view.

  • Offices and desks with enforced availability
  • Monthly invoices raised on schedule
  • Deposits, notice periods and renewals
  • Meeting rooms booked without clashes

What a Coworking & Business Centres setup on Flowyana covers.

Flowyana is coworking space management software for coworking operators, business centres (business centers), shared offices and serviced-office providers. Each centre is a property with its offices and desks, each member signs an agreement that bills itself every period, deposits are held as money you owe back, and meeting rooms are booked against resources that cannot be double-booked. It all posts to one set of books.

Flexible workspace runs on many small agreements that change every month. A company grows from four seats to six. A member serves notice. A deposit is due back. Parking and printing are added and never billed. Flowyana puts every office and desk on an agreement with its own rate, billing day, deposit and notice terms, so the space and the money stay in step.

As flexible workspace software it suits a coworking floor in Dubai, a business centre in Riyadh, a shared office in Bengaluru or a serviced-office group in Cairo. Invoices carry VAT or GST at your rate, amounts follow your currency, and agreements and invoices print with Arabic and English labels if you want them.

In depth

A closer look.

Centres, offices and desks on one register

Each centre is a property, and its private offices, dedicated desks and storage units are listed under it with their floor, area and rate. Hot desks can be one asset with a quantity, so thirty hot desks show how many are taken and how many are free. Every agreement is checked against the dates and quantities already promised, and the status of each office comes from its live agreements, not from someone remembering to update it.

  • Properties with offices and desks as units
  • Floor, area and rate per unit
  • Hot desks as a pool with a free count
  • Overlap check on dates and quantities

Member agreements and recurring billing

A member agreement names the company, the offices or desks, the rate, the billing day and the deposit. Billing runs monthly, quarterly or yearly, in advance or in arrears, with the first and last periods prorated. Grace days and a late fee apply when invoices are paid late, and rent reminders and a statement per member show what is owed. On Growth and Business plans, the agreement can be signed electronically before the member moves in.

  • Monthly, quarterly or yearly cycles
  • Proration and rent-free periods
  • Late fees, rent reminders and member statements
  • E-signed agreements on Growth and Business

Meeting rooms and day passes with Bookings

Meeting rooms, event spaces and phone booths are resources in Bookings, with an optional capacity. Book them by the hour for members or walk-in clients, add catering or equipment as lines, take a deposit or payment, and see every booking on a month calendar filtered by room. Bookings can be added to the Rentals plans as an add-on, and shares the same clients and books.

  • Rooms as resources with capacity
  • Hourly bookings with payments
  • Catering and equipment as booking lines
  • Calendar filtered by room

Memberships, requests and the books

Flexible memberships that are not tied to a specific desk can run as subscriptions, with weekly to yearly cycles, pauses and a credit for the unused period when a member cancels; Subscriptions is an add-on. Member requests, such as a broken chair or an access-card issue, can be tracked as support tickets with a priority and an owner when you add the Support Desk. From the Growth plan, accounting posts every invoice, payment and deposit to your books.

  • Memberships as subscriptions, as an add-on
  • Member requests as tickets
  • Accounting from Growth
  • Reports by period and branch

Questions

Asked by coworking & business centres.

What is the best coworking space management software in the UAE?

The best coworking software for a UAE operator is one that bills every member on schedule, holds deposits properly and stops double-booked rooms, and Flowyana does that with 5% VAT invoices and your books on one platform. It has no member app, self-booking or door-access connection as of October 2026.

Can Flowyana run a serviced office or business center?

Yes. Offices and desks are rental units with enforced availability, each member is on an agreement that invoices itself, deposits are held properly, and meeting rooms can be booked without clashes.

Can I sell hot desks as well as private offices?

Yes. A private office is a unit with its own availability, and hot desks can be a single asset with a quantity, so you see how many are free for any period.

How are meeting rooms booked?

With Bookings, each room is a resource. Bookings are entered by your team, and an overlapping booking on the same room is refused. Bookings can be added to the Rentals plans as an add-on.

Can members book rooms themselves?

Not as of October 2026. There is no member app or self-booking page; your front desk enters bookings.

Does it control door access or Wi-Fi?

No. Flowyana does not connect to access-control, door or Wi-Fi systems. It runs the agreements, bookings, billing and books.

Can I bill parking, printing or services on the same invoice?

Parking, services, utilities and maintenance can be itemised charges on the agreement and billed with it. Usage-based charges such as printing are added as a one-off charge when you know the amount; nothing meters usage automatically.

How are deposits and notice handled?

Deposits are held as a liability and settled when the member leaves. Record the notice date and period, and the agreement moves to a notice state so it stands out.

Is there shared office software for Saudi Arabia and India too?

Yes, Flowyana works the same for coworking spaces and business centres in Saudi Arabia, India and beyond. Invoices carry VAT or GST at your rate, such as 5% UAE VAT or 15% Saudi VAT, amounts follow your currency, and documents can print in Arabic and English.

Which Flowyana plan fits a coworking space?

Start on the Rentals plans. Agreements, recurring billing, deposits and late fees come with every plan; accounting, CRM and e-signed agreements come in on Growth; and Business includes more branches, so each centre can be its own property and branch. Bookings, Subscriptions and Support Desk can be added.
