Flowyana

For Contractors & Fit-out Firms

From quotation to handover and invoice.

Construction project management software with the books built in: quote the job and take an advance, run it as a project with jobs for each site team, buy and stock the materials, keep site expenses in check, and invoice the client from the same system. Budget against actual is on the project card, not in a spreadsheet.

  • Quotations with advances applied on the invoice
  • Projects and site jobs with budget against actual
  • Purchase orders, goods receipts and site stores
  • Expenses, claims and accounting in one place

What a Contractors & Fit-out Firms setup on Flowyana covers.

Flowyana is construction project management software for small and mid-sized contractors: fit-out companies, interior contractors, MEP, civil and finishing firms. Quotations, projects and site jobs, purchasing, site stock, expenses, invoicing and accounting run on one platform, so the project manager, the store keeper and the accountant work from the same numbers.

Contractors usually run each job on a spreadsheet, a WhatsApp group and an accountant who sees the costs a month later. The owner finds out a project lost money when it is already handed over. Flowyana gives every project a budget, estimated and actual hours and cost, and a progress figure, and keeps the purchases, expenses and invoices on the books as they happen.

As contractor software it suits a fit-out company in Dubai, an MEP contractor in Riyadh, an interiors firm in Mumbai or a finishing contractor in Doha. Invoices and bills carry VAT or GST at your rate, amounts follow your currency, and quotations and invoices print with Arabic and English labels if you want them.

In depth

A closer look.

Projects and site jobs on boards

From the Growth plan, each contract can be a project with its client, project manager, members, start and end dates, a hard deadline, a budget and estimated hours. Jobs inside the project are the scheduled work: a site survey, first-fix electrical, ceiling installation, a snagging round. Each job has assignees, a scheduled date and time, a due date, a location and estimated cost and hours. Time logged on a job with an hourly rate adds to its actual cost, and the project totals its jobs. Projects, jobs and tasks each sit on boards with stages you define.

  • Budget, cost, hours and progress per project
  • Jobs with assignees, schedule and site location
  • Time logged with a rate adds to job cost
  • Boards with your own stages

Purchasing and site stores

Purchasing covers suppliers and subcontractors, purchase orders, goods receipts, purchase bills, returns, debit notes and supplier payments. Materials received go into stock, and from the Growth plan you can run separate warehouses, such as the main store and each site store, and transfer stock between them. Low-stock alerts warn before a regular material runs out.

  • Purchase orders, receipts and bills
  • Subcontractors and suppliers on one list
  • Warehouses and transfers from Growth
  • AP aging and supplier payments

Expenses, claims and cost control

Day-to-day site costs, such as fuel, transport, tools and permits, are entered as expenses by category and post to the books. From the Growth plan, staff can claim what they spent and cash advances are settled against claims. On the Business plan, cost centres let your accountant read profit and loss by project, site or division, and budgets warn at the threshold you choose.

  • Expenses posted to the books at once
  • Expense claims and cash advances from Growth
  • Cost centres and budgets on the Business plan
  • Profit and loss by cost centre

Quotations, advances and invoicing

Quotations become sales orders and invoices without re-typing. Record a mobilisation advance on the quotation or order, and it is applied to the invoice automatically when the invoice is posted. Invoice the client in stages by raising each invoice in Sales when a stage is reached. Every invoice, payment and bill posts to double-entry books with VAT or GST, bank reconciliation and tax return reports.

  • Quotation to order to invoice
  • Advances applied automatically on the invoice
  • VAT and GST return reports
  • Bank reconciliation

Questions

Asked by contractors & fit-out firms.

What is the best construction project management software for small contractors in the UAE?

For a small UAE contractor, the best fit is software that keeps projects, purchasing, site expenses and VAT invoicing on the same books, and Flowyana does that on one platform. It is not a full construction ERP: there is no retention, BOQ billing, Gantt chart or automatic job costing from purchases.

Is Flowyana construction accounting software?

Partly. Purchases, expenses, invoices and payments post to double-entry books with VAT or GST, but purchases and expenses are not added to a project’s cost automatically.

Can Flowyana run a fit-out company’s projects?

It covers projects and site jobs on boards with budget against actual cost and hours, purchasing, site stock, expenses, invoicing and accounting on one platform. It is built for small and mid-sized contractors, not as a full construction ERP with estimating or scheduling engines.

Does it handle retention on invoices?

No. There is no retention calculation or retention release as of October 2026. If you hold retention, your accountant records it in the books by journal entry.

Can I bill by progress, BOQ or milestones?

Not automatically. There is no bill of quantities or progress certificate. You raise each stage invoice in Sales on the client, and advances taken on the quotation or order are deducted when the invoice is posted.

Do purchases and expenses add to the project cost automatically?

No. A project’s actual cost comes from its jobs, including time logged with an hourly rate. Purchases and expenses post to your books, and on the Business plan cost centres let your accountant read profit and loss by project.

Can I manage subcontractors?

Subcontractors are suppliers, with purchase orders, bills and payments. There is no subcontractor portal or separate subcontract agreement.

Can site teams use it on their phones?

Yes, in the phone’s browser. Flowyana runs in the browser on phones, tablets and computers; there is no separate site app.

Does it include Gantt charts or critical-path scheduling?

No. Work runs on boards and lists with dates and deadlines. There are no Gantt charts or dependency scheduling.

Can I pay site workers through it?

HR & Payroll covers attendance, shifts, leave and payroll with salary structures, and can be added to your plan or bought on its own.

Which Flowyana plan fits a contractor?

Start on the ERP plans. Sales, purchasing, stock, expenses and accounting come with every plan; projects, warehouses, expense claims and automation come in on Growth; and Business adds approvals and cost centres. HR & Payroll can be added.

Is there contractor software for Saudi Arabia and India too?

Yes, Flowyana works the same for contractors in Saudi Arabia, India and beyond. Invoices and bills carry VAT or GST at your rate, such as 5% UAE VAT or 15% Saudi VAT, VAT and GST return reports follow your country, and documents can print in Arabic and English.
