Common problems

What it fixes.

The same car is promised to two customers.
Availability is checked when the agreement is saved. A car that is reserved or out for an overlapping period cannot be rented again, and a turnaround buffer keeps a car free for cleaning between rentals.
Late returns are noticed but never charged.
Grace days and a late fee per day sit on the agreement, and the actual return time is stamped at check-in. Overdue rental invoices notify your team.
Damage is argued about after the customer has gone.
Record the condition going out and the condition coming back on the agreement, including fuel level or mileage written into the note. Damage and penalty charges go on the agreement and bill with it.
Security deposits get mixed up with income.
The deposit is booked when the car is handed over and held as money you owe back. At return it is refunded, or charges are deducted first and the rest refunded.
Monthly leases are invoiced by hand, and months go missing.
Recurring agreements raise a sales invoice each period, in advance or in arrears, with proration for part periods and auto-renewal when you want it.

The fleet on one register

Each car is a rental asset with a code you choose, such as its plate number, a name, a base rate with a rate unit such as per day or per month, a minimum charge and turnaround days between rentals. Its status comes from its live agreements: available, reserved or rented, with maintenance and retired set by your team when a car is off the road. On the Business plan, maintenance can be logged as work orders, and you can add your own fields to rental assets and agreements, such as registration expiry or the renter’s licence number.

Agreements, hand-over and return

An agreement names the customer, the car, the start and end dates, the rate and the deposit. It moves from reserved to checked out to completed, and can be extended or terminated early with a reason. At hand-over a condition note records the state of the car; at return the actual time back is stamped and the condition coming back is noted. On Growth and Business plans, e-signature can be made mandatory so check-out is blocked until the customer has signed the agreement.

Deposits, late fees and extra charges

Itemised charges sit on the agreement: insurance, service fees, damage, penalties and deposit deductions, one-off or recurring, each billed with tax. The refundable deposit is held as a liability until the rental closes and is then settled. Late fees apply after the grace days you set. Flowyana does not price damage for you or store photos of the car; your team records the condition and decides the charge.

Long rentals bill on a schedule: daily, weekly, monthly, quarterly or yearly, in advance or in arrears, with proration and auto-renewal. Each period raises a sales invoice with the right tax, and pay links work from the Growth plan where a supported gateway is available. Does it track cars with GPS or telematics?

No. Flowyana has no GPS, telematics or vehicle tracking. It records the rental, the hand-over, the return and the billing.

Does it handle traffic fines, tolls or Salik charges?

Not automatically. There is no connection to traffic authorities, toll systems or fine portals. When a fine or toll reaches you, add it to the customer’s agreement as a charge and it is invoiced like any other.

Can customers book a car online?

No. Agreements are entered by your team, and there is no public booking page. Invoices can carry a pay link from the Growth plan where a supported gateway is available.

Can I require a signed rental agreement before hand-over?

Yes, on Growth and Business plans. E-signature can be made mandatory, so check-out is blocked until the agreement is signed.

Is there rent-a-car software for Saudi Arabia and India too?
