For Pharmacies & Chemists

Every strip and bottle, sold before it expires.

With Flowyana pharmacy software you record the batch and expiry of every pack as it arrives, let the till pick the batch that expires first, stop near-expiry sales at the counter, and trace any batch when a supplier recalls it. Purchasing, stock per branch and the books run in the same place.

  • Batch and expiry on every receipt
  • First-expiry-first-out at the till
  • Near-expiry sales blocked or flagged
  • Batch trace when a supplier recalls

What a Pharmacies & Chemists setup on Flowyana covers.

Flowyana is pharmacy software for independent pharmacies, chemists and small pharmacy chains. Medicines arrive with batch numbers and expiry dates, the till sells the batch that expires first, near-expiry stock can be blocked or flagged at the counter, and any batch can be traced from the supplier to every customer sale. Purchasing, stock per branch and double-entry accounting run in the same system.

Pharmacies lose money and trust on expiry. A new delivery is shelved in front of older stock, a short-dated box is found by a customer, or a supplier recalls a batch and nobody can say which branch sold it. Flowyana records the batch once, when stock is received, and every sale, transfer and return then moves that specific batch. The system always knows how many days each batch has left and where it is.

It works for a neighbourhood chemist or medical store in Bengaluru, a pharmacy in Dubai or a group of branches in Riyadh. Bills carry GST or VAT at your rate, prices can include tax, amounts follow your currency, and documents can print in Arabic and English. Flowyana is retail and stock software: it does not manage prescriptions or check drug interactions, and we say so up front.

The workflow

How pharmacies & chemists run on Flowyana.

  1. Receive

    Batches from the first box

Each line of a goods receipt or supplier bill carries its batch number and expiry date, and labels can print them.

  2. Sell

    The right batch, scanned

The till scans the barcode and picks the batch that expires first, and a near-expiry rule blocks or warns before the sale.

  3. Watch

    Expiry seen in time

Each branch is alerted before its batches run out of time, and the expiry report lists what to pull or return.

  4. Close

    Books that agree

Sales, purchases and returns post with tax split out, and the day closes against the cash counted.

In depth

A closer look.

Batch and expiry tracking for medicines

Switch on batch and expiry tracking per product, or on a category so every product in it follows the same rule. On the goods receipt or supplier bill, enter each line’s batch number and expiry date, or the manufacture date and let the shelf life work out the expiry. From then on stock is held per batch in every branch. Six batch reports cover batch stock, expiry, the batch ledger, the batch trace, batch profit and sales that could not be matched to a batch.

  • Batch, manufacture date and expiry on every receipt
  • Tracking switched on per product or category
  • Stock per batch in every branch
  • Six batch reports, including trace and expiry

FEFO at the till and near-expiry rules

Each product picks how batches are chosen on a sale: first expiry first out, first in first out, or a batch the pharmacist chooses. The retail till follows the same rules as the office, so the counter and the back office share one batch stock. A near-expiry rule decides whether a sale close to the date is blocked, warned or allowed, and you can set a minimum number of days a batch must have left before it can be sold.

  • FEFO, FIFO or a hand-picked batch per product
  • Block, warn or allow near-expiry sales
  • Minimum days left before a batch can be sold
  • Override only with permission

Barcodes, pack sizes and a fast counter

Keep the manufacturer’s barcode and your own on the same product, and give each pack size its own code and quantity. Products that arrive without a barcode can get an EAN-13 code from your own prefix, and labels can print with the batch number and expiry date. The till is built for a queue: keyboard-first billing, several open bills at once, a customer display on a second screen, and the installed app keeps selling when the internet drops.

  • Several barcodes and pack sizes per product
  • Labels with batch and expiry
  • Keyboard-first billing and held bills
  • Keeps selling offline on the installed app

Purchasing, tax and the books

Purchase orders become goods receipts and supplier bills, stock alerts suggest a reorder quantity and the preferred supplier, and expired or damaged stock goes back to the supplier with a purchase return and debit note. Every sale and purchase posts to double-entry accounts with GST or VAT split out, including compound GST where it applies. As of October 2026, Flowyana prepares tax return figures but does not file returns or send e-invoices to a tax authority.

  • Purchase orders, receipts and supplier bills
  • Low-stock alerts per branch with a suggested quantity
  • Purchase returns and debit notes for expired stock
  • GST or VAT split on every bill and posted

Questions

Asked by pharmacies & chemists.

What is the best pharmacy software in the UAE or India?

Flowyana is a strong fit for pharmacies, chemists and medical stores in the UAE, Saudi Arabia and India that want batch and expiry tracking, barcode billing, purchasing and accounting in one system. It is not a clinical system: it does not manage prescriptions or check drug interactions.

Does the pharmacy till work offline?

Yes, on the installed Flowyana app. It keeps billing, picking batches and printing receipts when the internet drops, and the back office catches up when the line returns. Starter allows one offline device per branch and the Retail plan three, and an extra till adds one more.

Is Flowyana pharmacy software?

Yes, for the stock, billing and accounting side of a pharmacy. It tracks medicines by batch and expiry date, sells the batch that expires first, blocks or flags near-expiry sales, traces recalled batches, and posts every bill to your books.

Does it manage prescriptions or patient records?

No. Flowyana does not record prescriptions, doctors or patient histories, and it does not check drug interactions or dosages. Those stay with your pharmacist and any clinical system you use.

Does it connect to government drug registers or schedule systems?

No. Flowyana does not connect to government drug databases, controlled-drug registers or track-and-trace systems in India, the UAE, Saudi Arabia or elsewhere. If your licence requires those, keep the system that provides them.

Can the till stop us selling expired medicine?

Yes. A near-expiry rule per product blocks or warns on sales close to the expiry date, with a minimum number of days left that you set. Selling a blocked batch needs a separate permission.

Which plan includes batch and expiry tracking?

Batch and expiry tracking, low-stock alerts and transfers between branches are on the Retail plan. The Starter plan covers barcode billing, stock and purchasing without batch tracking.

Can we sell a strip as well as a full box?

Yes. Give the product pack sizes, each with its own barcode and quantity, so a strip and a box sell from the same stock. Units can also hold decimals.

How are recalls handled?

Put a batch on hold while you check it, or recall it so it cannot be sold. The batch trace shows where it came from, which customers bought it, where it was transferred, and what is still on hand per branch.

Does it work for pharmacies in India, the UAE and Saudi Arabia?

Yes. Bills carry GST or VAT at your rate, including compound GST, prices can include tax, and amounts follow your currency. Tax return reports are laid out for your country. As of October 2026, Flowyana does not file returns or send e-invoices to the tax authority.

Can we search medicines by their generic name?

Products are found by name, code or barcode. On the Retail plan you can add your own fields to products, such as a generic name or composition, but there is no built-in drug database.

Can we run several pharmacy branches?

Yes. Each branch holds its own stock and batches, expiry alerts go to each branch for its own stock, and transfers move stock between branches on the Retail plan. Extra branches can be added to any plan.
