For Hardware & Building Materials

From the trade counter to the building site.

Hardware store software to sell cable by the metre and screws by the box, quote a contractor, deliver an order to site over several trips, and invoice only what was delivered. Rates that move every day, customers on account and stock across yards stay on one set of books.

  • Decimal units and pack sizes
  • Daily prices for market-rate materials
  • Quotations, orders and part deliveries
  • Trade accounts with aging

What a Hardware & Building Materials setup on Flowyana covers.

Flowyana is hardware store software for hardware shops, building-materials suppliers, builders’ merchants, sanitaryware and electrical traders. It handles goods sold loose and in packs, prices that change by the day, quotations for contractors, orders delivered to site over several trips, and trade customers who buy on account. Stock per yard or branch, purchasing and double-entry accounting run in the same system.

A building-materials business sells two ways at once. Walk-in customers want a handful of fittings at the counter, while contractors want a quotation, a delivery to site next week and thirty days to pay. Spreadsheets and a cash register cannot follow both. In Flowyana a quotation becomes an order, the order goes out on delivery notes, and the invoice bills only what was actually delivered, so nothing is billed twice or forgotten.

It suits a hardware shop in Sharjah, a building-materials depot in Jeddah or a sanitaryware dealer in Pune. Documents carry GST or VAT at your rate, can print in Arabic and English, and amounts follow your currency. A counter till can be added for walk-in sales.

The workflow

How hardware & building materials run on Flowyana.

  1. Quote

    Price the job

A quotation lists materials in their own units, with today’s rate where prices move daily.

  2. Order

    Confirm and take an advance

The order reserves the stock, and an advance is deducted from the invoice automatically.

  3. Deliver

To site, in as many trips as it takes

Delivery notes ship the order in parts, and pending deliveries show what is still owed.

  4. Collect

    Bill what went out

Invoices bill only what was delivered, and AR aging shows which trade accounts are falling behind.

Common problems

What it fixes.

In depth

A closer look.

Units, pack sizes and barcodes

Every product has a unit, and units can hold decimals, so cable sells by the metre and sand by the tonne while taps and valves sell by the piece. Units can be defined from a base unit with a conversion, such as grams from kilograms. A product can carry several barcodes, including pack sizes such as a box of 100 screws that sells the right quantity on one scan, and labels print from the product or the goods receipt.

  • Decimal units for loose goods
  • Units defined from a base unit
  • Pack sizes with their own barcode
  • Labels from products or deliveries

Quotations, orders, advances and delivery notes

A quotation becomes a sales order, the order goes out on one or more delivery notes, and the invoice bills what was delivered. Lines, prices, tax and the customer carry across without re-typing. Take an advance on the quotation or order and it is deducted on the invoice automatically. Customers can keep several delivery addresses, so each delivery note goes to the right site.

  • Quotation to order to delivery to invoice
  • Advances deducted on the invoice
  • Part deliveries and pending-delivery reports
  • Billing and delivery addresses per customer

Prices that follow the market

Set a daily price for materials whose rate moves, for all branches or for one, and the documents pick it up for that day. Branches can keep their own prices for the rest of the catalogue. A minimum selling price per product stops an invoice going below your floor, and return rules per category decide what can come back and for how long, with damaged returns written off or kept at a reduced value.

  • Daily prices, per branch if needed
  • Branch prices for the rest of the catalogue
  • Minimum selling price enforced on invoices
  • Return rules per category and product

Purchasing, yards and the books

Purchase orders become goods receipts and supplier bills, and low-stock alerts suggest a reorder quantity. On the Growth plan, stock moves between warehouses and branches with transfers. Every sale and purchase posts to double-entry accounts with GST or VAT split out, bank reconciliation imports your statement, and the tax return report lays out the figures for your country.

  • Purchase orders, receipts and supplier bills
  • Low-stock alerts with reorder quantities
  • Transfers between yards on Growth
  • Accounting and tax returns included

Questions

Asked by hardware & building materials.

What is the best hardware store software in the UAE or India?

Flowyana is a strong fit for hardware shops and building-supplies traders in the UAE, Saudi Arabia and India that sell both over the counter and to contractors on account, with deliveries to site. It does not set credit limits or plan delivery routes today.

Can I sell some items by length or weight and others by the piece?

Yes. Units can hold decimals for loose goods and whole numbers for counted ones, and products can carry pack sizes with their own barcode and quantity.

Can I change prices every day for steel or cement?

Yes. Daily prices set the day’s selling price for chosen products, for every branch or one branch, and documents use that price for the day.

Can we deliver an order in several trips?

Yes. Delivery notes ship an order in parts, the invoice bills only what was delivered, and the pending-deliveries and backorder reports show what is still to go.

Can I set a credit limit for each contractor?

Not today. Flowyana shows each customer’s balance, the client credit report and AR aging, so you can see exposure before you sell, but it does not block a sale against a credit limit.

Can each customer have their own price list?

No. Prices are set per product, with branch prices, daily prices and a minimum selling price. Staff can adjust a line’s price on a document above the minimum.

Do I also get a counter till for walk-in customers?

A Point of Sale till can be added to your plan for walk-in sales, sharing the same stock and books. If most of your sales are over the counter, the Retail product may fit better.

Does it plan delivery routes or track lorries?

No. Delivery notes record what went out and to which address, but Flowyana does not plan routes, assign vehicles or track drivers.

Does it work in the UAE, Saudi Arabia and India?

Yes. Documents carry GST or VAT at your rate, including compound GST and place-of-supply rules, and can print in Arabic and English. As of October 2026, Flowyana does not send e-invoices to a tax authority.

Which plan do I need for several yards?

Transfers between warehouses and branches, and automation rules, start on the Growth plan. Business adds more branches and users, plus CRM, approvals and work orders.
