For Repair Shops & Workshops

Every repair tracked, from drop-off to hand-back.

Book each device in as a work order with its serial number and reported issue, give it to a technician, fit parts from your own stock, and invoice from the same record. The history of every device is a search away.

  • Work orders with device, serial and issue
  • Technician job cards with status
  • Parts from stock, warranty by serial number
  • Invoices and customer history in one place

What a Repair Shops & Workshops setup on Flowyana covers.

Flowyana is repair shop software for mobile, electronics, appliance and computer repair counters, workshops and service centres. Each repair is booked in as a work order with the device, its serial number and the reported issue, assigned to a technician, followed by status, fitted with parts from your own stock, and invoiced from the same record. It runs the counter and the books together.

Repair shops lose money in small, quiet ways. A part is fitted and never billed. A device sits on the shelf and nobody remembers who owns it. A customer returns with the same fault and nobody can find the last job. Flowyana keeps one record per repair, so the device, the parts, the labour, the advance and the invoice stay together, and the history is a search away.

It suits a phone repair counter in Dubai, an appliance workshop in Riyadh, a laptop service centre in Bengaluru or a multi-branch electronics chain. Invoices carry GST or VAT at your rate, amounts follow your currency, and documents print in Arabic and English if you want them.

The workflow

How repair shops & workshops run on Flowyana.

  1. Book in

    Device on the record

Customer, device, serial number and reported issue captured once, with an advance if you take one.

  2. Repair

    A technician on every job

Job cards carry the technician, the time and the stage, so progress is on a board.

  3. Parts

    Stock that stays true

Parts fitted leave your stock and join the customer total; unused ones go back.

  4. Hand back

    Invoiced and on file

The invoice comes from the work order, and the repair joins the customer’s history.

In depth

A closer look.

Work orders and job cards for every repair

A work order holds the customer, the equipment or device, its serial number, the service address if you go on site, the reported issue, the scheduled date and the promised date. Inside it, job cards split the work into diagnosis, repair and testing, each with its own technician, estimated and actual time, and stage on a board. When every job card is finished the work order is complete. Technicians use the same workspace in a browser, with no separate app. The device field is only a label, so a phone shop can call it Device and a garage can call it Vehicle.

  • Device, serial number and reported issue on every job
  • Several job cards per repair, each with a technician
  • Board view for the workshop floor
  • Labels you can rename to suit your trade

Parts from inventory, with serial numbers and warranty

Parts come from the same stock you count and sell. Adding a shop-supplied part to a job takes it out of the chosen warehouse at cost and charges the customer at price, with tax. Parts the customer supplied are recorded without a stock movement. On the Growth plan and above you can track serial numbers and warranty for what you sell, scan barcodes, and check a warranty by serial number, bill number or phone. Warranty months and dates can also be recorded on the parts you fit.

  • Parts leave stock when fitted and return when unused
  • Customer-supplied parts recorded separately
  • Warranty check by serial, bill number or phone
  • Barcode scanning on Growth and above

Estimates, invoicing and payment

Labour is logged per technician with start and end time and an hourly rate, and call-out or labour charges go on the job as service lines. Record an advance before work starts, then create the invoice from the work order in one step. Estimates and quotations are available from the Growth plan, and pay links on invoices work where a supported gateway is available. Invoices post to your books on the same platform, so the day’s repairs and the day’s accounts agree.

  • Technician time with rate
  • Advances counted against the final invoice
  • Estimates and quotations from Growth
  • Invoices post to accounting

Customer history and messaging

Customers are shared across the platform, so a client’s repairs, invoices and payments sit on one record. From the Growth plan, one inbox lets your team message customers on WhatsApp and email and keep saved replies for the usual updates. Messages are sent by your team; a change of repair status does not message the customer on its own. Business adds stock transfers between branches, service contracts with recurring billing, automation and approvals.

  • One record per customer across all repairs
  • WhatsApp and email inbox from Growth
  • Saved replies for common updates
  • Service contracts and branches on Business

Questions

Asked by repair shops & workshops.

Is Flowyana repair shop software for mobile and electronics repair?

Yes. Each repair is a work order with the device, serial number and reported issue, assigned to a technician and followed by status until you invoice and hand it back. It also suits appliance, computer and general workshop repair.

Can I track repair status for each device?

Yes. Job cards carry a stage and a technician and appear on a board, and the work order is complete when every job card is finished.

Do parts come out of my stock?

Yes. Shop-supplied parts leave the warehouse you choose when added to a job, and return if unused. Parts the customer brought are recorded without touching stock. Parts stock starts on the Growth plan.

Can I record serial numbers and check warranty?

Yes, from the Growth plan. Look up a unit by serial number, bill number or phone and see its warranty status. Flowyana does not manage warranty claims as a separate process; repairs themselves run as work orders.

Can I message customers on WhatsApp about their repair?

Your team can, from the shared inbox on the Growth plan and above, with saved replies. Flowyana does not send a WhatsApp message automatically when a repair status changes.

Does it work for repair shops in the UAE, Saudi Arabia and India?

Yes. Invoices carry GST or VAT at your rate, such as 5% UAE VAT or 15% Saudi VAT, amounts follow your currency, and documents can print in Arabic and English.

Can I take an advance when a device is dropped off?

Yes. Record the advance on the work order. The final invoice counts what was paid and leaves only the balance.

Can I run several branches?

Yes. The Business plan includes more branches and stock transfers between them. Starter and Growth are priced for a single branch, with extra branches available.

Is there a customer app or a public repair-tracking page?

No. Customers cannot look up their repair status online. Your team shares updates by message or phone.

Does it schedule repeat maintenance visits?

Not as automatic visits. Each work order has a scheduled and a promised date, and the Business plan adds service contracts with recurring billing.
