Resources, deposits & charges

Book the room, the court or the chair, and get paid for it.

Give each room, court, chair or staff member its own calendar so two bookings never clash, ask for a deposit up front, add extra charges when the session runs over, keep a cancellation fee, and hand the client a clear booking statement.

  • Rooms, courts, chairs and staff with clash checks
  • Deposits as a percentage or a fixed amount
  • Extra charges and cancellation fees
  • A statement of everything owed and paid

What is Resources, deposits & charges in Flowyana?

Flowyana booking resources let you take bookings for the things people actually reserve, such as rooms, courts, chairs and staff, and stop two bookings taking the same one at the same time. Deposits, extra charges, cancellation fees and a booking statement are built in, so the money side of a booking is as clear as the calendar. It is used by clinics, salons, sports venues, studios and guest houses in India, the UAE, Saudi Arabia and elsewhere.

A calendar alone does not tell you who has paid. A client books a court, pays half, stays twenty minutes over and then cancels the next one. Without a record of each of those, the front desk works it out from memory. In Flowyana each booking carries its own deposit, payments, charges and fees, and the statement adds them up.

Charges and fees are posted to your books as they are added, with the tax rate you choose. A cancelled booking owes only its cancellation fee, and the balance shown on the booking, in reports and on the statement uses the same figure.

What it does

Resources, deposits & charges, in practice.

Resources with their own calendars

Set up rooms, courts, chairs, staff, equipment or tables, each at a branch, and pick one on the booking.

No double booking

If a resource is already booked for any part of the time, Flowyana says so and names the booking in the way, including for repeated bookings.

Calendar by resource

Filter the booking calendar to one resource, or see all of them together.

Deposits

Ask for a deposit as a percentage of the total or as a fixed amount. The booking shows what is paid and what is still due.

Split payments

Record a payment in cash, card, bank transfer or other methods, or split it across several, with a reference and notes.

Extra charges

Add extra time, cleaning, damage or other charges to a booking, with a tax rate, as they happen.

Waive a charge

Waive a charge with a reason; it stays visible on the statement at nothing.

Cancellation fee

Cancel a booking and keep a fee. The cancelled booking then owes the fee only, and the client can pay it.

Booking statement

One statement per booking: items, charges, tax, payments, refunds, the deposit and the balance due or overpaid.

Excess kept as advance

If a client pays more than the balance, the excess can stay on their account for later invoices.

How it works

Resources, deposits & charges, step by step.

  1. 1

    Add your resources

Create the rooms, courts, chairs or staff people can book, and assign each to a branch.

  2. 2

    Take the booking

Create a booking, pick the resource and the time, add the services, and set a deposit as a percentage or an amount.

  3. 3

    Collect payment

Record the deposit and later payments from the booking, in one method or split across several.

  4. 4

    Add charges as they happen

Add extra time, cleaning or damage charges to the booking, with tax, or waive one with a reason.

  5. 5

    Cancel or complete

If the client cancels, keep a fee if you want one. Open the statement to see what was charged, paid and is still due.

In depth

A closer look.

Resources that cannot be double booked

A resource is anything you take bookings for: a room, a court, a chair, a staff member, a piece of equipment or a table. When you pick one on a booking, Flowyana checks it against the other bookings for the same time, and if it is taken, it tells you which booking is in the way. A resource with live bookings cannot be moved to another branch until they are dealt with.

  • Rooms, courts, chairs, staff, equipment and tables
  • Clash check on every booking, including repeats
  • Calendar filtered by resource
  • Inactive resources hidden from view when you want

Deposits and payments

Set a deposit on the booking as a percentage of the total or a fixed amount. The booking shows the deposit, what has been paid and what is still due. Payments are recorded from the booking itself, and a client who pays more than the balance can have the excess kept on their account as an advance.

  • Percentage or fixed deposit
  • Payment history with receipt and reference
  • Cash, card, bank transfer, wallet and other methods, or split
  • Overpayment kept as a customer advance

Extra charges and cancellation fees

Things change during a booking. Add a charge for extra time, cleaning, damage or anything else, with the amount before tax and a tax rate. Each charge is posted to your books. A charge can be waived with a reason, and it stays on the statement at nothing. When a client cancels, you can keep a cancellation fee, and from then on the booking owes the fee and nothing more.

  • Extra time, cleaning, damage, cancellation fee and other
  • Tax rate chosen per charge
  • Waive with a reason, and the posting is reversed
  • Cancelled bookings owe the fee only

The booking statement

The statement lists everything on a booking in order: the items, each charge, every payment and any refund, with a running balance. The totals show items, charges, tax included, grand total, paid, refunded and the balance due, or the amount overpaid. The figures come from the same place as the booking’s balance, so the statement and the balance always agree.

  • Items, charges, payments and refunds in date order
  • Tax included shown in the totals
  • Deposit required, paid and still due
  • Payment lines visible only to users who may see payments
