  • Stock, prices and document numbers by branch
  • Branch business day and tax registration
  • Every report for one branch or all branches

What is Multi-branch in Flowyana?

Flowyana multi-branch lets one business run several shops, offices, warehouses or outlets from a single workspace. Every sale, purchase, expense and stock movement belongs to a branch. Staff work inside the branches they are assigned to, and the owner can look at one branch or all of them together. It is for retail chains, restaurant groups, clinics, distributors and service firms with more than one location in India, the UAE, Saudi Arabia and elsewhere.

The usual problem with several locations is that you either keep a separate set of books for each, and rebuild the total by hand, or put everything in one pile and lose track of who sold what. Flowyana keeps one company with branches inside it. Each branch has its own stock, document numbers, business day and tax registration, and every report can be filtered to a branch or opened for the whole company.

Access follows the same lines. A cashier at the airport kiosk sees the kiosk’s records, a regional manager sees the branches assigned to them, and the owner sees everything. Customers, suppliers and products are shared on purpose, so a customer added at one branch can be served at another without a second entry.

Plans include a set number of branches, and more can be added.

What it does

Multi-branch, in practice.

Branches as part of the business

Create a branch for each shop, office or outlet. Records such as invoices, orders, expenses and stock movements belong to a branch, and a record cannot be saved without one.

Staff see their branches only

Assign each person to one or more branches. Roles can see every branch, only their branches, only their department or only their own records.

Switch branch or view all

Move between branches from the header, or look at all branches together. Lists, dashboards and reports follow your choice.

Stock by branch

Each branch has its own locations. Low-stock alerts, expiry alerts and reorder suggestions are worked out per branch, and stock moves between branches as transfers.

Prices by branch and by day

Set a price for a branch that differs from the shared price, and price products or menu items by the day. A branch price beats the shared one.

Numbering by branch

Document numbers can include a branch code, so each branch runs its own series, for example INV-DT-2610-0001.

Its own business day

Each branch sets the hour its trading day starts, so late-night shops and early bakeries close their day correctly. Sales are dated by the trading day.

Branch tax details

Record the tax registration of each branch, so the right GST or VAT number prints on that branch’s invoices.

Branch-wise opening balances

Enter the opening balance of each ledger branch by branch, so branch reports start from the right figures.

Customers and suppliers shared

Customers, suppliers and products are shared across the whole business, so one branch can serve a customer another branch added. Balances stay per customer.

Branches on every plan

Branches, staff access by branch and branch reporting come with every package. Each package includes a set number of branches and you can add more at any time. A few extras, such as stock transfers and daily prices, start at Growth on some products; each product’s comparison table shows where.

How it works

Multi-branch, step by step.

  1. 1

    Add your branches

Create each branch with its name, address, tax registration and business day start. Every branch gets a default location for stock.

  2. 2

    Assign people

Invite staff and pick the branches each person works in, with a role that says whether they see their branches only, their department, or everything.

  3. 3

    Set what differs

Choose document number patterns with the branch code, branch prices, and branch-specific product settings where a branch differs from the rest.

  4. 4

    Work and move stock

Each branch sells, buys and counts its own stock. Stock moves between branches through transfers.

  5. 5

    Read one branch or all

Switch the header between a single branch and all branches. Reports, dashboards and alerts follow.

In depth

A closer look.

Staff limited to their branches

People should see the branches they work in and nothing more. When you add a member you assign branches, and the member’s role sets the reach: every branch, their branches, their department, or only the records they created. An owner has access to every branch. A record cannot be saved without a branch, and a branch that still holds records cannot be deleted, so nothing ends up in no-man’s land.

  • Branches assigned per person
  • Role data access: every branch, their branches, their department or own records
  • Owners see every branch
  • No records without a branch, no deleting a branch that has data

Stock, prices and alerts by branch

Each branch keeps its own locations and the stock in them. Low-stock and expiry alerts are calculated for each branch’s own stock and sent to that branch’s people, so a shop that is running out hears about it even when the company as a whole has plenty. Prices can be set for a branch, and a branch price takes priority over the shared one. For businesses that reprice daily, products and menu items can carry a price for each day. Stock moves between branches as transfers, and moving a whole location to another branch carries its stock and value with it.

  • Own locations and stock per branch
  • Low-stock and expiry alerts per branch
  • Branch price over shared price, daily prices
  • Transfers between branches

Numbering, business day and tax details

Document numbers can carry a branch code, a year, a month or the financial year, so each branch runs its own series and a number tells you where it came from. Each branch also sets when its trading day starts, because a bar that closes at 3 am does not want sales split across two dates. The tax registration of each branch is stored on the branch, and prints on its invoices.

  • Branch code in document numbers
  • Trading day start per branch
  • Sales dated by trading day
  • GST or VAT registration per branch

One company, branch by branch

Reports and dashboards follow the branch you are viewing. Sales, stock, expenses, receivables and the financial statements can be looked at for one branch, several, or the whole business. Opening balances are entered branch by branch, so a branch’s books start from the right place. Customers and suppliers are shared across the business, with reports filtered by the branch of each document rather than the branch of the customer.

  • Reports for one branch or all branches
  • Branch-wise opening balances
  • Shared customers, suppliers and products
  • Reports follow the document’s branch

Questions

Asked about multi-branch.

What is multi-branch software?

Software that lets one business run several locations, such as shops, offices or warehouses, in a single system. Each location has its own stock, staff access and numbering, and the owner can still see the whole company together.

Does Flowyana support multiple branches?

Yes. Every sale, purchase, expense and stock movement belongs to a branch, and you can view one branch or all branches in lists, dashboards and reports.

Can staff be limited to their own branch?

Yes. Each person is assigned to branches, and their role decides whether they see every branch, only their branches, only their department or only their own records.

Can each branch have its own prices?

Yes. A branch can have a price that differs from the shared price, and the branch price is used at that branch. Products and menu items can also be priced by the day.

Can each branch have its own invoice numbers?

Yes. Document numbers can include a branch code, so each branch runs its own series, and you can also reset the series by month, year or financial year.

How does stock transfer between branches work?

Each branch has its own locations. You move stock between them with a transfer, and you can also move a whole location, with its stock and value, to another branch.

Are customers and suppliers shared between branches?

Yes. Customers, suppliers and products are shared across the business, so a customer added at one branch can be served at another. Reports still filter by the branch of each document.

Can I see all branches together?

Yes. Switch the header to all branches, and lists, dashboards and reports show the whole business. People whose access is limited cannot switch to branches they are not assigned to.

Does each branch have its own tax registration?

Yes. You record the tax registration of each branch, GST or VAT, and it prints on that branch’s invoices.

Can I use it for shops in the UAE and India?

Yes. Branches are not tied to one country, so a business can run branches in India, the UAE, Saudi Arabia or elsewhere, with GST or VAT set for each.

Is there a limit on the number of branches?

Each plan includes a set number of branches, and you can add more branches to a plan. The pricing page shows what is included and what an extra branch costs.

Can a branch close its day at a different time?

Yes. Each branch sets the hour its trading day starts, so a late-closing outlet dates its sales to the right day.
