What is Share by link, email & WhatsApp in Flowyana?

Flowyana document sharing lets you send invoices, quotations, orders, receipts and other documents to customers and suppliers by email, by WhatsApp or as a secure link, straight from the record. It is for businesses in India, the UAE, Saudi Arabia and elsewhere that would rather send an invoice on WhatsApp than print, scan and attach it.

Email sends the document with its PDF attached, to the customer and any of their contacts, under your business name, and replies come back to you. WhatsApp opens on your phone or computer with the message written and a secure link to the document included. Or copy the link and paste it wherever the conversation is happening.

A secure link opens a clean page with the document as it prints, your logo, payment details and payment QR codes. Where online payments are set up, a shared invoice can be paid from that page. Links expire, 30 days by default or a quotation’s valid-until date, and you can revoke every link to a document in one click.

Each email and WhatsApp share is noted on the document’s activity timeline, so anyone can see what was sent, when and to whom.

What it does

Share by link, email & WhatsApp, in practice.

Eighteen documents to share

Invoices, quotations, sales orders, delivery notes, receipts, credit notes, returns, purchase orders, goods receipts, purchase invoices, debit notes, payment vouchers, rental agreements, bookings, work orders and subscriptions.

Email with the PDF

Send to the customer or supplier and their contacts, with Cc, a copy to yourself, your own subject and message, and the document attached.

Replies come to you

Mail goes out under your business name, and replies go to your sender address.

WhatsApp in one tap

Pick the customer’s number or another one, edit the message, and WhatsApp opens with it ready to send, including a secure link.

Copy a secure link

Copy a private link to paste anywhere. It opens the document in the browser, with a download button.

Links that expire

Links last 30 days unless you set another default, up to a year. A quotation’s link runs to its valid-until date.

Revoke in one click

Withdraw every link to a document at once, and anyone holding one loses access.

A clean customer page

The shared page shows the same content as the printed document, with your logo, payment details and payment QR codes where you use them.

Pay or sign from the link

Where online payments are set up, a shared invoice can be paid from the page; documents sent for e-signature are signed there too.

On the timeline

Each email and WhatsApp share, and each revocation, is noted on the document’s activity timeline, with who did it and for whom.

In depth

A closer look.

Send invoices by email with the PDF attached

Email suggests the customer or supplier and their contacts as recipients, with Cc and a copy to yourself, and lets you write the subject and message. The document goes as an attachment. With your own email account connected, documents come from your address with no daily limit; otherwise they go through Flowyana’s shared mailbox, with a daily limit, under your business name and with replies going to you.

  • Customer, supplier and their contacts suggested
  • Cc and send me a copy
  • Your own email account, or the shared mailbox
  • Replies come to your address

Send invoices on WhatsApp

Choose the customer’s number, one of their contacts, or another number, and edit the message. Flowyana puts a secure link to the document into the message and opens WhatsApp with it ready, so you send it from your own WhatsApp. Numbers are formatted with the right country code from the number, the customer or your business. No WhatsApp Business connection is needed for this.

  • Customer, contact or any number
  • Editable message with the link included
  • Opens WhatsApp ready to send
  • Country codes handled

Secure links that expire

Every share uses a private link that cannot be guessed. It lasts 30 days unless you set a different default, from 1 to 365 days, and the sender can choose a date. A quotation’s link runs to its valid-until date. Revoke removes every link to that document at once. The page shows the document as it prints, from the same template, with a download button.

  • Thirty days by default, up to a year
  • Quotation links follow the valid-until date
  • Revoke all links at once
  • Same content as the printed document

Pay, sign and keep a record

A shared invoice shows its payment details and payment QR codes, and where online payments are set up, what is owed and a Pay button. A document sent for e-signature is signed on the same kind of page. Each email and WhatsApp share is recorded on the document’s timeline with the sender and recipients, as is revoking its links.

  • Payment details and QR codes
  • Pay online where it is set up
  • E-signature from the link
  • Shares on the timeline

Questions

Asked about share by link, email & whatsapp.

How do I send an invoice by WhatsApp in Flowyana?

Open the invoice, choose Share on WhatsApp, pick the number and check the message. WhatsApp opens with the message ready, including a secure link to the invoice, and you press send.

Can I email an invoice as a PDF?

Yes. Email sends the document with its PDF attached to the customer and any of their contacts, with Cc, your own subject and message, and an option to send yourself a copy.

Which email address do shared documents come from?

Connect your own email account in Integrations and documents go out from it without a daily limit. Without one, they go through Flowyana’s shared mailbox under your business name, with a daily limit, and replies still go to your address.

What is a secure document link?

A private web link to one document. Whoever has it can view the document in the browser and download it until the link expires or you revoke it. It cannot be guessed.

How long do shared links last?

Thirty days by default. You can change the default between 1 and 365 days, and the sender can pick another date. A quotation’s link lasts until its valid-until date.

Can I stop a link from working?

Yes. Revoke the document’s shared links and everyone you sent a link to loses access straight away.

Can customers pay an invoice from the link?

Yes, where online payments are set up. The shared invoice shows what is owed and a Pay button for your enabled payment methods.

Can I see that a document was shared?

Yes. Every email and WhatsApp share is noted on the document’s activity timeline with the sender and the recipients, and so is revoking its links.

Does WhatsApp sharing need the WhatsApp Business API?

No. Sharing a document opens WhatsApp on your phone or computer with the message filled in, and you send it yourself.

Can I change the wording of the share message?

Yes. The message is filled in for you and can be edited before sending; the link is placed where the message says.

Is this useful for businesses in the UAE and India?

Yes. Customers in the Gulf and India often prefer WhatsApp, so sharing a branded invoice or quotation link there, with payment details and QR codes on the page, saves printing and scanning.
