Customers & contacts

One customer record, shared by sales, accounts and every branch.

Keep customers, their contact people and their billing and delivery addresses in one place. Every branch uses the same record, documents copy the right address, and notes, files and credit sit on the customer.

  • Address book with default billing and delivery

What is Customers & contacts in Flowyana?

Flowyana contact management software keeps every customer, the people you deal with there and their addresses in one record that sales, accounts and support all use. It is customer management for small and mid-sized businesses in India, the UAE, Saudi Arabia and elsewhere that are tired of customer details living in phones, inboxes and old invoices.

A customer record holds the business or person you sell to: phone, email, country, industry, tax registration, an account manager and any fields of your own. Under it sit contact people, each with their own phone and WhatsApp number, and an address book of billing and delivery addresses with a default for each.

Because customers are shared across the business, a customer added at one branch is known at every other. The same phone number never makes a second customer, so the till and the office do not create two records for the same person. When a quotation, order or invoice is created, it copies the default address, and that copy stays with the document even if the customer moves.

The record also carries notes, comments, files and the activity history, and a Credit tab shows unused advances and credit notes before anyone quotes or bills.

What it does

Customers & contacts, in practice.

Customer records

Company or person, with phone, email, country, industry, company size, tax registration, account manager and your own fields.

Contact people

Each customer can have many contacts, each with their own phone, mobile and WhatsApp number.

Address book

Any number of billing and delivery addresses per customer, with a default for each and a contact name.

Addresses copied onto documents

Quotations, orders and invoices take the default address. The copy belongs to the document, so later edits never change past paperwork.

One record for every branch

Customers are shared across the business, so a customer of one branch is already known at the others.

No duplicate phone numbers

The same phone number never makes a second customer, whether the customer is added on the web or at a till.

Everything on the record

Activity, notes, comments and files on the customer, plus a Contacts tab, an Addresses tab and a Credit tab.

Credit in view

The Credit tab shows the customer’s unused advances and credit notes, so whoever sells to them sees what is available.

Tax details

Record the tax registration and tax status so the right tax rules apply on their documents.

Import and consent

Import customers from a spreadsheet, and record consent to WhatsApp offers on the customer.

In depth

A closer look.

Contact management with customers and their people

Customers are the businesses and people you sell to; contacts are the people at each customer. A customer can have any number of contacts, each with a phone, mobile and WhatsApp number. When you share a document by email or WhatsApp, the customer and its contacts are offered as recipients. Custom fields let you hold whatever else your business tracks.

  • Customer and contact records
  • Phone, mobile and WhatsApp per contact
  • Contacts offered when sharing documents
  • Your own custom fields

An address book that documents respect

Each customer, and each supplier, has an address book. An address can be for billing, delivery or both, with a default for each and a contact name. New sales and purchase documents copy the default billing and delivery addresses, and you can pick another or clear it. The copy belongs to the document: changing the customer’s address later never rewrites an invoice already issued.

  • Billing and delivery addresses
  • Defaults for each
  • Copied onto quotations, orders and invoices
  • Past documents never rewritten

Customers shared by every branch

Customers, contacts and suppliers are master data for the whole business, not for one branch. A customer who buys at one shop and is invoiced from head office is the same record. Their documents still belong to the branch that issued them. To keep the list clean, the same phone number never makes a second customer, whether it is entered on the web or at a till.

  • One record across branches
  • Documents stay with their branch
  • No duplicate customers by phone
  • Same rule on the web and at the till

History, files and credit on the record

The customer record has Activity, Notes, Comments and Files tabs, so calls, decisions and contracts live where the next person will look. The Credit tab lists unused advances and credit notes with the total available. Tax registration and tax status are kept on the customer, so their documents get the right tax treatment.

  • Activity, notes, comments and files
  • Credit tab with advances and credit notes
  • Tax registration and status
  • Account manager on the record

Questions

Asked about customers & contacts.

What is contact management software?

Contact management software keeps your customers, the people you deal with at each one and their details in one shared place. In Flowyana it is part of CRM and the same record is used for quotations, invoices and support.

What is the difference between a customer and a contact in Flowyana?

A customer is the business or person you sell to. A contact is a person at that customer, such as a buyer or an accountant, with their own phone and WhatsApp number.

Can a customer have several delivery addresses?

Yes. Add as many billing and delivery addresses as you need, and mark one of each as the default.

Do invoices use the customer’s address automatically?

Yes. A new quotation, order or invoice fills in the customer’s default billing and delivery address. You can change it on the document, and the document keeps its own copy.

If I change a customer’s address, do old invoices change?

No. Each document keeps the address it was created with, so past paperwork stays as it was issued.

Are customers shared between branches?

Yes. Customers, contacts and suppliers are shared across the whole business. Their documents still belong to the branch that issued them.

How does Flowyana stop duplicate customers?

By phone number. Adding a customer on the web with a phone number that already belongs to a customer is refused, and tills never create a second customer for the same number.

Can I import my customer list?

Yes. Import customers from a spreadsheet, matching existing ones by email, phone or name.

Can I add my own fields to customers?

Yes. Add custom fields to customers and contacts, such as a loyalty tier or a preferred delivery slot.

Do suppliers have an address book too?

Yes. Suppliers have the same address book, and purchase documents copy their addresses in the same way.

Is there simple customer management software for small businesses in the UAE and India?

Yes. Flowyana keeps customers, contacts, addresses and tax details for businesses in the UAE, Saudi Arabia, India and elsewhere, connected to sales and invoicing.
