Expense claims & staff advances

Staff expense claims and advances, approved and settled properly.

Employees claim back what they spent, line by line. Claims are approved before anything is paid, reimbursements clear any cash advance first, and an ageing report shows every advance still waiting to be settled.

  • Claims with one line per expense
  • Approval before payment, never self-approved
  • Reimbursement that offsets open advances first
  • Staff advance ageing report

What is Expense claims & staff advances in Flowyana?

Flowyana expense claim software lets employees claim back what they spent for the business, gets each claim approved, and pays it back with any cash advance taken into account. It is for small and mid-sized businesses in India, the UAE, Saudi Arabia and elsewhere whose staff pay for taxis, meals, supplies or site costs out of pocket, or carry a float.

A staff expense claim has one line per expense, each with its date, category and amount. The employee’s claim is a draft until submitted, then it is approved or rejected. Only approved claims can be reimbursed, and nobody can approve their own claim except the owner. If you use approval workflows, claims can go through several levels by branch, department and amount.

Approval books the expense: each line goes to its expense category, and the total is recorded as owed to the employee. Reimbursement pays it. If the employee still holds a cash advance, Flowyana offsets the advance first, oldest first, and pays only the rest, so floats do not sit forgotten in the books.

Advances that are not yet settled appear on the staff advance ageing report, by how long they have been out.

What it does

Expense claims & staff advances, in practice.

Claims line by line

Each line has its own date, expense category, amount and description, and the claim totals itself.

Draft, submit, approve

A claim is a draft until the employee submits it. Then it is approved or rejected, and only an approved claim can be paid.

No approving your own

Approval needs the approve permission, and nobody approves their own claim except the business owner.

Approval workflows

Route claims through multi-level workflows by branch, department and claim total, decided from the Approvals inbox.

Booked when approved

An approved claim posts each line to its expense category and records what the company owes the employee.

Reimburse in one step

Pay the claim by cash or bank. Any advance the employee still holds is offset first, oldest first, and only the rest is paid.

Cash advances

Record a float or travel advance against an employee with the amount and how it was paid, and track how much is settled.

Advance ageing

The staff advance ageing report lists advances not yet settled by how long they have been out.

Recover through payroll

A salary deduction can post against the employee’s advance account, so the books show money taken back from pay.

Printable claim

The expense claim prints as a branded document for the employee’s file or the approver.

In depth

A closer look.

Expense claim software with line-by-line claims

Each claim belongs to an employee and holds as many lines as needed, each with a date, an expense category, an amount and a description, so one trip becomes one claim. The claim totals itself. It prints as a branded document. Claims move from draft to submitted to approved or rejected, and finally reimbursed, and each step is on record.

  • One line per expense, any number of lines
  • Category on every line
  • Draft, submitted, approved, rejected, reimbursed
  • Printable claim document

Approval before anything is paid

Without a workflow, a submitted claim waits for someone with permission to approve claims, and nobody approves their own except the business owner. With a workflow, the claim goes to the Approvals inbox and moves on when the last level signs off. Workflows can apply by branch and by the employee’s department, with levels that depend on the total. A rejection ends the claim and keeps the reason.

  • Approve permission required
  • No self-approval, except the owner
  • Multi-level workflows by branch, department and amount
  • Rejections keep their reason

Reimbursement that settles staff advances

Reimbursing an approved claim pays what the company owes the employee. If that employee holds advances that are not yet settled, Flowyana uses the claim to settle them first, oldest first, and pays only the remainder in cash or by bank. Each advance shows its amount and how much has been settled, and becomes settled when nothing is left. The reimbursement and the advance settlement are recorded together, so a failure never leaves half of it done.

  • Open advances offset first, oldest first
  • Only the rest paid out
  • Settled amount tracked on each advance
  • All of it recorded together

Staff advance ageing

The staff advance ageing report lists every advance that is issued and not fully settled, with how long it has been out and how much is still to settle. Age counts from the advance date. It is the list to work through at month end, so floats do not stay open for months. Where you recover money through payroll instead, a salary deduction can post to the employee’s advance account.

  • Open advances by age
  • Amount still to settle
  • Grouped by who holds them
  • Payroll deductions can post to the advance account

Questions

Asked about expense claims & staff advances.

What is expense claim software?

Expense claim software lets employees claim back money they spent for the business, gets each claim approved and records the reimbursement. In Flowyana it is part of Expenses and posts to your books.

How do I submit an expense claim in Flowyana?

Create a claim for the employee, add one line per expense with its date, category and amount, and submit it. It then waits for approval.

Who approves expense claims?

Someone with permission to approve claims, or the people your approval workflow names. Nobody can approve their own claim except the business owner.

Can claims have different approvers by amount or department?

Yes. An approval workflow can apply by branch and by the employee’s department, with levels that depend on the claim total.

What happens when a claim is approved?

Each line is posted to its expense category and the amount is recorded as owed to the employee. Nothing is paid until you reimburse it.

How does reimbursement work with cash advances?

When you reimburse a claim, any advance the employee still holds is offset first, oldest first, and only the remaining amount is paid in cash or by bank.

What is a staff advance?

Money given to an employee before they spend it, such as a float for a trade fair or a site visit. Flowyana records it against the employee and tracks how much has been settled by their claims.

How do I see advances that are still outstanding?

Open the staff advance ageing report. It lists every advance not yet fully settled, by how long it has been out and how much is still to settle.

Can I recover an advance from salary?

Yes, in the books. Add a deduction to the employee’s salary structure and post it to their advance account. The advance record itself is settled through expense claims.

Can employees attach receipts to a claim?

Not as of October 2026. Each line has a description, and the original receipts are kept outside Flowyana.

Is there expense claim software for small businesses in the UAE and India?

Yes. Flowyana handles staff claims and advances in your own currency for businesses in the UAE, Saudi Arabia, India and elsewhere, and posts them to the same books as sales and purchases.
