What is Notifications & daily digests in Flowyana?

Flowyana notifications tell the right people when something needs their attention: an invoice is overdue, a task is due, a batch is about to expire, a quote is running out, a payment arrived or an approval is waiting. They appear in the app, and by email and on WhatsApp where the workspace has it connected. Daily digests collect the reminders into one email per person per section, so a manager gets one clear morning summary instead of a hundred messages.

Per-record reminder emails are a trap. A business with a few hundred overdue invoices or a store running low on many items can bury its owner in mail, and the one message that mattered gets lost, or the sending account hits its daily limit. Flowyana sends one digest per section instead: a table of the first rows in the email, with the full list attached as a spreadsheet when it is long.

Each person decides how they hear. In their notification preferences they switch app, email and WhatsApp on or off for every category, and owners decide whether activity emails such as orders, payments and stock alerts come as a daily summary at 6:00 or as they happen. Time-critical messages, such as approvals and assignments, always go straight out.

Notifications are part of the platform. Which alerts you see depends on the modules in your plan.

What it does

Notifications & daily digests, in practice.

Alerts in the app

A notification bell and inbox with All, Unread, Read and Archived tabs. Open a notification to go straight to the record.

One digest per section

Overdue invoices, overdue bills, tasks, bookings, expiring quotes, rentals, batch expiry and stock levels each arrive as a single daily email per person, not a message per record.

Big lists attached

A digest lists the first rows in the email itself and attaches the full list as a spreadsheet when there are many.

Activity summaries

Orders, payments, notes, deals, tickets and stock alerts can be gathered into a daily summary at 6:00, or sent as they happen. The owner chooses.

WhatsApp where connected

If your workspace has WhatsApp connected, people can receive notifications there too, alongside the app and email.

Each person’s own channels

Every member chooses, per category, whether to hear by app, email or WhatsApp.

Alerts per branch

Stock and expiry alerts go to the people at the branch that holds the stock, and to the owners.

Urgent things stay immediate

Approvals, task assignments, online payments needing attention and security emails arrive straight away and are never held back for a digest.

Editable wording

Notification messages come from templates you can edit, so the wording matches how your business speaks.

Your own automations

Workflows can send an email or a message when something you define happens, and bulk actions are gathered into one message per rule.

Part of the platform

Notifications and daily digests come with Flowyana. The alerts you receive depend on the modules in your plan, and WhatsApp delivery needs WhatsApp to be connected as an integration.

In depth

A closer look.

Daily digests that replace reminder floods

Recurring reminders are collected overnight and sent as one digest per person for each section. The sections cover overdue invoices, overdue supplier bills, tasks and jobs that are due or overdue, upcoming bookings, quotes about to expire, rentals, batches nearing expiry and low or out-of-stock items. Each digest shows the first fifty rows in the email, and attaches the complete list as a spreadsheet when there are more. The attachment is kept for seven days.

  • One digest per person and section
  • First fifty rows in the email, full list attached
  • Covers receivables, payables, tasks, bookings, quotes, rentals and stock
  • Alerts reach the branch that holds the stock

Activity alerts: summary or instant

Orders, payments, notes, deals, tickets, recalls and stock alerts still appear in the app the moment they happen. Their emails are the part you can choose. The owner switches them between a daily summary at 6:00 and one email per event. A business that gets many orders usually prefers the summary, while a small one may like to hear each order immediately.

  • In-app alerts are always immediate
  • Email summary at 6:00, or as they happen
  • Separate switches for activity and stock alerts
  • Owner decides for the workspace

Channels and preferences for each person

Every member has a preferences page with a row for each category and a column for each channel: the app, email and WhatsApp. WhatsApp appears only when the workspace has it connected. A whole channel can be switched off with one tap. Messages that need quick action, such as approvals, task assignments, online payments that need attention and security messages, are not held for a digest.

  • Category by channel switches
  • WhatsApp when connected
  • Approvals and assignments stay immediate
  • Security emails always sent

Templates and automation

The text of each notification comes from a template you can edit, so subject lines and wording suit your business. For rules of your own, workflows can send an email or a message when a record changes or a date arrives. When a bulk action triggers many sends, the messages are gathered into one per rule rather than one per record.

  • Editable notification templates
  • Workflow-triggered emails and messages
  • Bulk actions grouped into one message
  • Open a message to land on the record

Questions

Asked about notifications & daily digests.

What is a daily digest email?

One email that gathers many alerts of the same kind, such as all overdue invoices, into a single message instead of sending one email per invoice. In Flowyana each person gets one digest per section.

Can Flowyana send overdue invoice reminders to my team?

Yes. A daily digest lists overdue invoices for the people who should chase them, and a separate digest covers overdue supplier bills.

Which alerts does Flowyana send?

Overdue invoices and bills, tasks due or overdue, upcoming bookings, expiring quotes, rentals, batch expiry and recalls, low and out-of-stock items, new orders, payments received, deals, support tickets, approvals, task assignments and e-signature updates.

Does Flowyana send WhatsApp notifications?

Yes, where the workspace has WhatsApp connected. Members can then choose WhatsApp per category alongside the app and email. Without a connection only the app and email are offered.

Can I choose between a daily summary and instant emails?

Yes. The owner chooses, for activity emails and for stock alerts, between one summary at 6:00 and an email as each event happens.

Do urgent notifications wait for the digest?

No. Approvals, task assignments, online payments that need attention and security messages go out straight away.

Can each person choose how they are notified?

Yes. Each member switches the app, email and WhatsApp on or off for every category on their own preferences page.

What if a digest has hundreds of rows?

The email shows the first fifty rows and attaches the full list as a spreadsheet, which stays available for seven days.

Can I change the wording of notifications?

Yes. Notification messages come from templates you can edit.

Do alerts go to the right branch?

Stock and batch expiry alerts go to the people at the branch that holds the stock, and to the owners.

Does Flowyana send SMS or mobile push notifications?

No. Notifications go to the app inbox, email and WhatsApp where connected. SMS and phone push are not offered.

Does it work for Arabic-speaking teams in the UAE and Saudi Arabia?

The workspace is available in Arabic. Notification templates are written in English to begin with, and you can edit them to your own wording.
