Sales pipeline & deals

A sales pipeline that knows when a deal is really won.

Run deals on kanban boards across as many pipelines as you need, with your own stages, probabilities and rules. Quotations and orders link to the deal, the deal is marked won when the sale happens, and deal ageing shows what has gone quiet.

  • Several pipelines with your own stages
  • Won, lost and abandoned stages with rules
  • Quotations, orders and invoices on the deal
  • Deal report and deal ageing

What is Sales pipeline & deals in Flowyana?

Flowyana sales pipeline CRM shows every deal as a card on a kanban board, from first contact to won or lost, with the quotations, orders and invoices that belong to it. It is deal tracking software for small and mid-sized sales teams in India, the UAE, Saudi Arabia and elsewhere that want the pipeline to match what was actually sold.

Each deal carries its value, win probability, expected close date, client, contact and the lead it came from. You can run several pipelines, for example one for new business and one for renewals, each with its own stages. A stage has a name, colour, probability and type, open, won, lost or abandoned, and can say which stages a deal may come from, so steps are not skipped.

Most pipelines drift from reality because someone has to remember to move the card. In Flowyana the sale moves the deal: depending on your setting, confirming the order, posting the invoice or receiving full payment marks the deal won, with the amount from the document. Losing a deal offers to close its open quotations, and a deal with a live order cannot be marked lost.

The Deal Report and Deal Ageing report then show win rate, pipeline value and which deals have gone quiet.

What it does

Sales pipeline & deals, in practice.

Kanban deal boards

Drag deals between stages. Each stage is a column of deal cards, and cards keep the order you put them in.

Several pipelines

Keep separate pipelines for different products, teams or kinds of sale, switch between them, and duplicate one to start the next.

Stages your way

Name and colour each stage, give it a win probability, and mark it open, won, lost or abandoned.

Stage rules

Say which stages a deal may enter a stage from, so nobody skips qualification, and set a soft work-in-progress limit per column.

Deals with the details that matter

Value, probability, expected close date, client, contact, the lead it came from, tags, and a lost reason when it does not close.

Quotations from the deal

Create a quotation straight from the deal, and see its quotations, orders and invoices on the deal’s Documents tab.

Won by the sale itself

Choose when a deal is won: when the order is confirmed, the invoice posted, the invoice paid, or only by hand. The won amount comes from the document.

Clean losses

Losing a deal offers to close its open quotations as lost. A deal with a live order or posted invoice cannot be marked lost.

Deal report

Won value, lost deals, win rate, open pipeline and new deals, by day, week or month, on close or created date.

Deal ageing

Open deals by age, which have gone quiet, and which are past their expected close date, with who holds them.

In depth

A closer look.

Sales pipeline boards and stages

Deals sit on a kanban board, one column per stage, and move by drag and drop. Each pipeline has its own stages with a name, colour, win probability and type: open, won, lost or abandoned. A stage can accept deals only from the stages you list, and can carry a soft work-in-progress limit. Pipelines can be duplicated, and the Deals page switches between them.

  • Several pipelines, each with its own stages
  • Probability and colour per stage
  • Allowed previous stages
  • Soft limit per column

Deals tied to quotations, orders and invoices

A quotation can be created straight from the deal, and the deal’s Documents tab lists its quotations, orders and invoices. In CRM settings you choose what wins a deal: a confirmed sales order (an invoice posted without an order counts too), a posted invoice, a fully paid invoice, or only a person. When it happens, the deal moves to the first won stage with the document’s date, total and currency. If the order is later cancelled, the deal stays won and its owner is told.

  • Create quotation from the deal
  • Documents tab on every deal
  • Won trigger chosen per workspace
  • Won amount taken from the document

Losing a deal cleanly

A lost or abandoned deal keeps its lost reason. When you lose a deal that still has open quotations, Flowyana lists them and offers to close them as lost. A deal that has a live sales order or a posted invoice cannot be marked lost or reopened, because the sale is real. Moving a deal into a won stage by hand clears any won amount, since only a document records one.

  • Lost reason on every lost deal
  • Open quotations closed with it
  • No losing a deal that has sold
  • Won amounts only from documents

Deal report and deal ageing

The Deal Report shows won value, lost deals, win rate, open pipeline value and new deals, grouped by day, week or month, on close date or created date, with the deals listed below. The Deal Ageing report lists open deals by age, shows each one’s last activity, flags those past their expected close date and groups them by who holds them, so stale deals are found before the quarter ends.

  • Win rate and won value
  • Open pipeline and new deals
  • Open deals by age and last activity
  • Past expected close date flagged

Questions

Asked about sales pipeline & deals.

What is a sales pipeline CRM?

A sales pipeline CRM shows every open deal as a card in a stage, from first contact to won or lost, so you can see what is likely to close and what needs attention. In Flowyana it is part of CRM and connected to quotations and invoices.

Can I have more than one pipeline in Flowyana?

Yes. Create as many deal pipelines as you need, each with its own stages, switch between them on the Deals page, and duplicate one to start another.

How do I customise deal stages?

Edit the pipeline: name, colour and order each stage, set its win probability, mark it open, won, lost or abandoned, and optionally limit which stages a deal may come from.

When is a deal marked as won?

You choose in CRM settings: when its sales order is confirmed (the default), when its invoice is posted, when the invoice is paid in full, or only when someone moves it. The deal moves to the pipeline’s first won stage with the document’s date and total.

Can I create a quotation from a deal?

Yes. Use Create quotation on the deal. The deal’s Documents tab lists its quotations, orders and invoices.

What happens to quotations when a deal is lost?

Flowyana offers to close the deal’s open quotations as lost at the same time, so they do not stay in play.

Can a won deal be moved back by mistake?

A deal with a live sales order or a posted invoice cannot be marked lost or reopened. Cancelling the order does not reopen the deal on its own; the deal owner is told instead.

How do I find deals that have gone quiet?

Open the Deal Ageing report. It lists open deals by age with their last activity, flags those past their expected close date, and shows who holds them.

Does it show win rate?

Yes. The Deal Report shows won value, lost deals, win rate, open pipeline value and new deals for the range you choose.

Can I record why a deal was lost?

Yes. Each deal has a lost reason, such as price, timing or a competitor, for later review.

What is the best sales pipeline software for small businesses in the UAE or India?

One where the pipeline is tied to your quotations and invoices, so won deals reflect real sales. Flowyana does this for small and mid-sized businesses in the UAE, Saudi Arabia, India and beyond.
