What is Stock ageing & low stock in Flowyana?

Flowyana stock ageing and low-stock alerts show you the two ends of your inventory problem: stock that has sat too long, and stock about to run out. The stock ageing report tells you how old your stock is and which products have stopped selling; the low-stock alerts tell each branch what to reorder. They are for retailers, distributors, restaurants and any business that holds stock in India, the UAE, Saudi Arabia and elsewhere.

Slow stock is cash on a shelf. Most owners know it in their gut but not in numbers: how much of the stock value is older than 90 days, which products have not sold in six months, which location is carrying it. The report ages your stock by when it arrived and shows quantity and value in each age band, with a dead-stock cut-off you choose.

The other end is running out. A product is low when a branch’s total stock of it falls to the reorder level, judged on the whole branch rather than one shelf or store room, so moving goods between locations in a branch causes no false alarms. Each low item comes with a suggested order quantity, worst shortfall first, and a purchase order is one click away.

Together they let you buy what you need and stop buying what you do not.

What it does

Stock ageing & low stock, in practice.

Age of every unit on hand

Stock is aged by when it came in: purchases, returns and transfers in. The oldest stock is assumed to sell first, so what is left is your most recent stock-in.

Five age bands

Quantity and value in 0–30, 31–60, 61–90, 91–180 and over 181 days, with the share of stock value in each.

Dead stock

Products held but not sold for 60, 90, 180 or 365 days, your choice, flagged with when each was last sold.

Filter by location, category and brand

Narrow the report to one location, category or brand, or search by name or SKU, and view all stock, over 90 days, over 180 days or dead stock.

Average age and value at a glance

Stock value, average age weighted by units, the share over 90 days and the dead stock count sit at the top of the page.

Low-stock alerts per branch

A product is low when its total across the branch’s locations is at or below the branch’s reorder level, so moving stock inside a branch does not raise false alarms.

Suggested order quantity

The suggestion comes from the reorder quantity, or the gap up to the maximum stock level, or the shortfall to the threshold. Worst shortfall first.

Straight to a purchase order

Create a purchase order from the low-stock list, or load low-stock products into a new order.

Expiring stock beside it

The Stock Alerts page also lists stock that has expired or expires soon, so ageing and expiry are watched in one place.

Sales that could not deduct stock

A third list catches sales whose stock was not deducted, explains why, and lets you deduct once the cause is fixed.

In depth

A closer look.

Stock ageing by band

The report ages the units on hand by when they came in. It assumes the oldest units sell first, so what remains is your most recent stock-in, whether from purchases, customer returns or transfers in. Quantity and value are shown in five bands, 0–30, 31–60, 61–90, 91–180 and over 181 days. Value is the stock’s average cost, shared out pro rata. Open any row to see its quantity and value in each band, its average age, its oldest unit and when it last sold.

  • Five age bands with quantity and value
  • Average age weighted by units on hand
  • Oldest unit and last-sold date per product
  • Filter by location, category, brand or SKU

Dead stock

Dead stock is held and unsold for a period you choose: 60, 90, 180 or 365 days, with 90 as the default. The top of the report counts them, and a Dead stock badge marks each product, including products that have never sold. The summary always covers your whole scope, while the view selector narrows only the list to all stock, over 90 days, over 180 days or dead stock. Expiry is separate: the batch expiry reports handle shelf life.

  • Cut-off of 60, 90, 180 or 365 days
  • Never-sold products flagged
  • Summary stays whole; the list narrows
  • Expiry kept in the batch reports

Low-stock alerts for each branch

A product is low when its stock at a branch, added up across that branch’s locations, is at or below that branch’s threshold. The Stock Alerts page lists low items with on hand, reorder level, status (low or out of stock) and a suggested order quantity, worst shortfall first. A notification goes out when stock crosses the threshold, once, rather than on every sale. The same page lists expiring stock and any sales that could not deduct stock.

  • Judged on the branch total
  • Low and out-of-stock status
  • Suggested reorder quantity
  • Expiring and not-deducted lists on the same page

From alert to purchase order

Low stock is only useful if someone orders. From the low-stock list you can create a purchase order, and on a new purchase order you can load every product below its threshold at once, ready to enter quantities. The order then follows the usual path of approval, receipt and bill.

  • Create a purchase order from the list
  • Load low-stock products into a new order
  • Quantity suggested from reorder or maximum level
  • Approval, receipt and bill follow on

Questions

Asked about stock ageing & low stock.

What is a stock ageing report?

A report that shows how long the stock you hold has been sitting, grouped into age bands such as 0–30 and over 181 days, with the quantity and value in each. It shows where cash is tied up in slow stock.

What is dead stock?

Stock you hold that has not sold for a long time. In Flowyana you choose the cut-off, 60, 90, 180 or 365 days, and the report flags every item held and unsold for at least that long, with the date it last sold.

How is the age of stock worked out?

From when it arrived. Flowyana assumes the oldest units sell first, so the units on hand are your most recent stock-in: purchases, returns and transfers in. Stock with no traced history is aged from when its record was created.

Can I see stock ageing by branch or location?

Yes. Filter the report by location, category or brand, or search by name or SKU, and switch between all stock, over 90 days, over 180 days and dead stock.

Does it show how much money is tied up in old stock?

Yes. The report shows total stock value, the share of value older than 90 days, and the value in each age band, so you can see how much is in slow stock.

How do low-stock alerts work?

Each product has a reorder level. When its stock at a branch falls to that level, it shows on the low-stock list and a notification goes out. A branch is judged on its total across its locations, so a transfer inside the branch does not trigger a false alert.

Can the system suggest how much to reorder?

Yes. It uses the reorder quantity if you set one, otherwise the gap up to the maximum stock level, otherwise the shortfall to the threshold. If none is set it shows no suggestion.

Can I turn low-stock alerts into purchase orders?

Yes. From the low-stock list you can create a purchase order, or load the products that are below their threshold into a new purchase order.

Does it track expiry as well as age?

Expiry is tracked by batch. The Stock Alerts page lists expired and expiring stock beside low stock, and the batch reports go deeper. Age here means time on the shelf, not shelf life.

Does changing a reorder level trigger an alert?

No. Alerts fire when stock moves. Changing a threshold updates the low-stock list but does not send a notification by itself.

Is stock ageing available for retail and restaurants in the UAE and India?

Yes. It works on any stock-tracked product, for retailers, restaurants and distributors in the UAE, Saudi Arabia, India and beyond.
