Best appointment booking software for small business (2026): 3 options compared

Published

In short

The best booking software depends on who takes the booking. Flowyana is the best fit when staff record bookings by phone or chat and you want rooms, courts and chairs that cannot clash, deposits and extra charges on each booking, and the accounts and stock in the same system, with no commission. Fresha suits salons and spas that want a marketplace and client self-booking, and Zoho Bookings suits teams that want a shareable booking page synced with Google or Outlook calendars.

The short answer

Booking software comes in three shapes: a salon marketplace (Fresha), a scheduling link (Zoho Bookings) and a staff-run booking calendar inside a business platform (Flowyana). Flowyana is the best fit when your team takes the bookings and the money, resources and stock around each booking matter: deposits, extra charges, statements and the accounts sit on the same records, with no commission. If clients must find and book you themselves at any hour, Fresha or Zoho Bookings is stronger.

How we compared

Flowyana is our product, so treat this as a vendor’s honest roundup. Every competitor fact comes from the vendor’s own pages as of October 2026, linked in Sources; anything we could not verify is left out. We quote no competitor prices and give no scores or popularity rankings. Criteria:

  • Who books: staff or clients.
  • Resources and clash checks.
  • Deposits, extra charges and payments.
  • Calendar and reminders.
  • Accounting, stock and mobile apps.

Flowyana

Best for: appointments, court and room hire, sessions and events taken by staff, where deposits, extra charges and accounts matter.

What it does well: you define your own booking types, such as appointment, court hire, room hire, session or event, on a month calendar filterable by resource. Each resource has a clash check and optional capacity. Deposits can be a percentage or a fixed amount with the balance due shown, payments are recorded as cash, card, bank transfer or split, and extra charges with tax can be waived with a reason. Staff are notified of bookings starting today and tomorrow. Retail and restaurant POS and inventory are on the Business plan, double-entry books and payroll are available on the platform, and there is no commission. The workspace runs in six languages.

What to check: no customer-facing booking page, no marketplace, no video-meeting links and no separate mobile app. See bookings and booking resources.

Fresha

Best for: salons, spas and wellness businesses that want a marketplace and online self-booking.

What it does well: clients self-book 24/7, a marketplace where clients discover businesses, a calendar with unlimited bookings, clients and locations, deposit and prepayment options, a point of sale and inventory, marketing campaigns and referrals, and an iOS and Android business app.

What to check: resources, extra charges, accounting and HR were not described on the pages we checked, and only English appeared there. See Flowyana vs Fresha.

Zoho Bookings

Best for: teams that want customers to pick a slot on a booking page, synced with Google or Outlook, and that already use Zoho apps.

What it does well: a shareable booking link or embedded widget, one-on-one, group, collective and resource-based event types, payments at booking through Stripe, PayPal or Razorpay, reminders, Zoom and Teams links, iOS and Android apps, and connections to Zoho Books, Zoho CRM and Bigin. After a 15-day premium trial a free plan is available.

What to check: extra charges and fees were not listed on its page. See Flowyana vs Zoho Bookings.

How to choose

  1. Who books? Clients themselves, or your staff.
  2. Do you have rooms, courts or chairs? Check clash checks.
  3. Do you take deposits or charge extras?
  4. Do you need a marketplace? Only Fresha lists one here.
  5. Where do payments go? Into the accounts, or a payment provider.
  6. What is the full cost? Per staff member, commission and add-ons.

Questions

Asked alongside this guide.

Which is the best appointment booking software?

It depends on who books. Flowyana is the best fit for staff-run bookings with resources, deposits and accounting in one system. Fresha and Zoho Bookings both list client self-booking online, which Flowyana does not have.

Can customers book themselves online?

Fresha lists clients self-booking 24/7, and Zoho Bookings lists a shareable booking link or embedded widget. Flowyana has no customer-facing booking page; staff record each booking.

Is there a commission on bookings?

Flowyana charges no commission on any booking; you pay the plan price. Fresha’s business page says no hidden costs, with payment processing and marketing tools as optional add-ons. Zoho prices per staff member.

Can the software stop double-booking a room or court?

Flowyana treats rooms, courts, chairs, staff, equipment and tables as resources, each with a clash check and optional capacity. Zoho Bookings lists resource-based event types.

Can I take deposits and charge extras?

Flowyana takes a deposit as a percentage or a fixed amount, with the balance due shown, and supports extra-hour, cleaning, damage and cancellation fees with tax, which can be waived with a reason. Fresha lists deposit and prepayment options; extra charges were not described on the pages we checked.

Is this comparison independent?

No. Flowyana is our product. Competitor facts come only from each vendor’s own pages as of October 2026, linked below, and we say where a competitor does something we do not. Confirm important points with the vendor.
