What is Accounts receivable in Flowyana?

Flowyana accounts receivable software tracks the money customers owe you, your debtors, from the invoice to the payment in the bank. Payments are recorded on the invoice, overpayments become customer credit, and receivables ageing shows who is late. It is for distributors, service firms, contractors and any business that sells on credit, in India, the UAE, Saudi Arabia and beyond.

Receivables slip when the picture is scattered: a payment recorded in one place, a credit note in another, a customer who overpaid last month and is chased this month. Flowyana keeps it on the customer. The Credit tab shows unapplied payments and open credit notes, every invoice shows paid, credited and balance, and the customer’s ledger carries it all.

Collection does not stop at the till or the payment link. Card, QR, wallet and online takings sit as unsettled until the provider pays out, so you can see the fee and the net that reached the bank.

What it does

Accounts receivable, in practice.

Payments on the invoice

Record a payment from the invoice with the method, date and reference. The invoice shows total, paid, credited and balance.

Split across methods

Take part in cash and part by card or transfer on one invoice, each part on its own method.

Payment terms

An invoice is paid on issue, on net terms with a due date, or split, and its due date drives the ageing.

Overpayments become credit

Anything paid beyond the balance is kept as customer credit, shown on the customer and offered on their next invoice.

Apply credit and credit notes

Set a payment’s unapplied credit, or an open credit note, against the customer’s open invoices, and reverse it if needed.

Refund unapplied credit

Pay a customer back what is left on their credit, with the date and amount on record.

A/R ageing

Customer balances in current, 1–30, 31–60, 61–90 and over 90 days past due, as of any date, by branch.

Customer credit report

Customers with an outstanding balance, how overdue they are, and any credit they hold.

Settlements to the bank

Card, QR, wallet and online takings wait as unsettled until you record the provider’s payout and its fee.

A ledger for every customer

Each customer gets its own ledger when money first moves, and every invoice, payment, return and note posts to it.

How it works

Accounts receivable, step by step.

  1. 1

    Invoice with terms

Issue the invoice paid on issue, on net terms with a due date, or split across methods.

  2. 2

    Record the payment

Record Payment on the invoice, or let an online payment record itself.

  3. 3

    Use the credit

Apply overpayments, advances and credit notes to open invoices before asking for more money.

  4. 4

    Chase what is late

Read A/R ageing and the customer credit report, and follow up the oldest balances first.

  5. 5

    Settle to the bank

Record card and online payouts with their fees so the bank and the books agree.

In depth

A closer look.

Customer payments and receipts

Record a payment from the invoice with the method, date and a reference such as a cheque or transaction number. One invoice can be paid in parts over time, or split across several methods at once. Each payment shows how much was applied to the invoice, applied to other invoices, refunded and still unapplied. A payment receipt can be printed or shared with the customer.

  • Record Payment on the invoice
  • Part payments and split payments
  • Applied, refunded and unapplied
  • Printable payment receipt

Customer credit and settlements

An overpayment, an advance or an open credit note is the customer’s credit, listed on their Credit tab and offered on their next invoice. Set it against any open invoice, reverse it if it went to the wrong one, or refund what is left. Applications and refunds keep a reason and a date, and the invoice balance follows.

  • Credit tab on every customer
  • Offered on the next invoice
  • Applied, reversed or refunded
  • Advances and credit notes alike

Accounts receivable ageing (AR aging)

A/R ageing groups what each customer owes into current, 1–30, 31–60, 61–90 and over 90 days past the due date, as of any date, for one branch or all. Payments are set against the oldest items first, and opening a customer shows the open invoices and entries behind the figure. The customer credit report lists customers with a balance and any credit they hold, and dashboard widgets show receivables ageing, collections and overdue invoices.

  • Five buckets by due date
  • As of any date, by branch
  • Open items behind every row
  • Customer credit report and widgets

Card and online takings to the bank

Money taken by card, QR, wallet or online payment does not reach the bank the same day. Flowyana holds it as unsettled under each payment method. When the provider pays out, record the settlement with the amount, fee, date and bank account; the fee is booked and the net goes to the bank. Cash waiting to be banked works the same way.

  • Unsettled takings per method
  • Payout, fee and net to bank
  • Cash to bank as well
  • Settlements can be cancelled with a reason

Questions

Asked about accounts receivable.

What is accounts receivable?

Accounts receivable is the money customers owe your business for invoices they have not paid yet. Managing it means recording what comes in, knowing what is overdue, and chasing it.

How do I record a customer payment in Flowyana?

Open the invoice and choose Record Payment. Enter the amount, method, date and reference; the invoice balance goes down and the payment posts to the books.

Can a customer pay one invoice with several methods?

Yes. Use a split payment to record part in cash and part by card, transfer or another method, each on its own method and ledger.

What happens if a customer pays too much?

The extra is kept as the customer’s credit. It shows on the customer’s Credit tab, is offered when you next invoice them, and can be applied to any open invoice or refunded.

What is an AR ageing (accounts receivable aging) report?

It is a report of what each customer owes, grouped by how far past the due date it is: current, 1–30, 31–60, 61–90 and over 90 days. It is sometimes called a debtors ageing report. Open a customer to see the invoices and entries behind the row.

How does Flowyana work out what is overdue?

From each invoice’s due date. Payments and credits are set against the oldest items first, and items with no due date, such as opening balances, are aged from their own date.

Can I see receivables for one branch?

Yes. A/R ageing reads one branch or every branch, as of any date you choose.

How do I track card payments until they reach the bank?

Card, QR, wallet and online takings are held as unsettled. When the provider pays out, record the settlement with the amount, fee and bank account, and the net reaches the bank.

Can customers pay invoices online?

Yes, where you have connected a payment gateway. Customers pay from a payment link or a QR code on the invoice, and the payment is recorded on the invoice by itself.

Does Flowyana send automatic reminders for overdue invoices?

Not for ordinary sales invoices today. Use A/R ageing, the customer credit report and the overdue invoices dashboard widget to see who to chase, and share the invoice or its payment link by WhatsApp or email.

What is the best accounts receivable software for small businesses in the UAE or India?

Flowyana suits small and mid-sized businesses that sell on credit and want invoices, payments and customer ledgers in one place, with GST in India and VAT in the UAE, Saudi Arabia and elsewhere.
