What is Payment links & scan to pay in Flowyana?

Flowyana invoice payment links let customers pay an invoice online in a few taps, from a link you send on WhatsApp or email or from a QR printed on the invoice. Connect Razorpay in India or Tap in the UAE, Saudi Arabia, Kuwait and the rest of the Gulf, and every payment is recorded against its invoice the moment the gateway confirms it.

Most businesses that take online payments still reconcile them by hand: a card payment arrives, someone matches it to an invoice a day later, and the customer is chased for money they already paid. In Flowyana the link belongs to the invoice, so the payment knows where it goes. The receipt is booked, the balance drops, and the customer gets a payment receipt by email.

Not every customer pays by card. Where a gateway is not needed, a scan-to-pay QR for UPI, SEPA, PayNow, Pix or PromptPay can be printed on invoices, and your bank details print beside it.

What it does

Payment links & scan to pay, in practice.

Share a payment link

From any invoice, share a link by WhatsApp, email or copy and paste. The customer sees the invoice and chooses how to pay.

Pay QR on the invoice

Printed and PDF invoices carry a QR code that opens the same payment page for the amount due.

Pay button on the shared invoice

An invoice shared as a link shows a Pay button for the balance, alongside your bank details.

Booked by itself

When the gateway confirms, the payment is recorded on the invoice, and a payment receipt is emailed to the customer if email is connected.

Live link status

See whether the link is unopened, at checkout, held by the gateway, paid, failed, expired or refunded, with the full history.

QR at the till

Show a payment QR on the counter screen for the bill, issued by the gateway for that payment where it offers one.

Refund through the gateway

Refund all or part of an online payment from Flowyana; the money goes back the way the customer paid.

Needs attention

Payments paid twice, after a link closed, on a cancelled invoice or in a different amount are listed for a decision.

Scan-to-pay without a gateway

Print a UPI, SEPA, PayNow, Pix or PromptPay QR on invoices, with the amount and invoice number filled in for the customer.

Bank details that check out

Print your bank details on invoices and quotations, with IBAN, SWIFT and routing codes checked for typos as you enter them.

Pay links from the middle plan up

Card payment links and gateway QR codes come from the second plan up on each product. Bank details and scan-to-pay QR codes on invoices work on every plan.

In depth

A closer look.

Invoice payment links and pay QR codes

With online payment turned on, every invoice can be paid online in three ways: a QR printed on the invoice, a Pay button on the shared invoice page, and the Share payment link action that sends a link by WhatsApp or email. Each is for the balance still due, and a link stays open for the days you set. If a link expires or is cancelled while the invoice still has a balance, a new one can be issued.

  • QR on printed and PDF invoices
  • Pay button on the shared invoice
  • Links by WhatsApp or email
  • Always for the balance due

Recorded and receipted by itself

When the gateway confirms a payment, Flowyana records it on the invoice as a payment on the gateway’s method, shows how it was paid, such as card, UPI, netbanking, wallet or KNET, and posts it to the books. If you have connected email and the customer has an address, a payment receipt is emailed from your business. Each link keeps a history: opened, at checkout, held, paid, failed, refunded.

  • Payment booked on the invoice
  • How the customer paid
  • Payment receipt by email
  • Full history per link

Refunds, disputes and anything unusual

Refund an online payment from Flowyana, in full or in part, and the money goes back the way the customer paid; the receipt is reversed once the gateway confirms. Disputes are tracked as they open and close. Anything that needs a person, a customer who paid twice, a payment after the link closed, a payment on a cancelled invoice, or an amount that does not match, is listed under Needs attention, and the money is kept as customer credit until you decide.

  • Full or part refunds
  • Disputes tracked
  • Needs attention list
  • Unexpected money kept as credit

Scan to pay and bank details

Payment methods can carry your bank details and a scan-to-pay QR, printed on invoices and quotations in the currency they take. QR codes are built for UPI in India, SEPA transfers in Europe, PayNow in Singapore, Pix in Brazil and PromptPay in Thailand, with the amount and invoice number filled in. Bank details are checked as you enter them: IBAN length and check digits by country, SWIFT codes and routing numbers. At the till, a gateway can show a QR for each bill.

  • UPI, SEPA, PayNow, Pix, PromptPay
  • Amount and invoice number filled in
  • IBAN and SWIFT checked
  • QR at the till through a gateway

Questions

Asked about payment links & scan to pay.

What is a payment link?

A payment link is a web address you send a customer so they can pay an invoice online by card or another method their bank or wallet supports. In Flowyana each invoice can have its own link, shared by WhatsApp or email, for the amount still due.

Which payment gateways does Flowyana support?

Razorpay for businesses in India and Tap for businesses in the Gulf. You connect your own gateway account, and payments go straight to it.

How do I send a payment link for an invoice in Flowyana?

Open the invoice and choose Share payment link, then send it by WhatsApp or email or copy it. The link shows the invoice and lets the customer pay the balance.

Is the payment recorded automatically?

Yes. When the gateway confirms the payment, Flowyana records it against the invoice, posts it to the books and, if email is connected, emails the customer a payment receipt.

Can customers pay by scanning a QR on the invoice?

Yes. With a gateway connected, printed invoices carry a QR that opens the payment page. Without one, you can print a scan-to-pay QR for UPI in India, SEPA transfers in Europe, PayNow in Singapore, Pix in Brazil or PromptPay in Thailand.

Can I take QR payments at the counter?

Yes, where your payment gateway offers it. The till shows a QR for the bill; if the gateway has no QR of its own, the till shows a QR of its checkout page.

What happens if a customer pays twice?

The second payment is kept as the customer’s credit and listed under Needs attention, so you can refund it through the gateway or apply it to another invoice.

How do I refund an online payment?

Choose Refund on the payment and enter the amount, up to what was paid. The refund goes back through the gateway, and the receipt is reversed once the gateway confirms.

Do payment links expire?

Yes. A link stays valid for the number of days you set on the payment method. A new link can be issued while the invoice still has a balance.

How do gateway payouts reach the books?

Online takings wait as unsettled until the gateway pays out. Record the settlement with the amount and fee, and the net goes to your bank account.

What is the best way to collect invoice payments online in the UAE or India?

Send a payment link or print a pay QR on the invoice, so customers pay in a few taps and the payment books itself. Flowyana does this with Tap in the Gulf and Razorpay in India.
