Bank reconciliation

Bank statements, matched line by line.

Import your bank statement, accept the matches Flowyana suggests, and post bank charges straight from the statement line. The reconciliation statement then shows exactly why the bank and the books differ, and reconciled entries are protected from accidental edits.

  • Import Excel or CSV statements from any bank
  • Suggested matches, accepted in one step
  • Bank charges posted from the statement line
  • Reconciliation statement with outstanding items

What is Bank reconciliation in Flowyana?

Flowyana’s bank reconciliation matches your bank statement to the entries in your books. Import the statement from any bank as an Excel or CSV file, accept the matches Flowyana suggests, post bank charges straight from the statement, and print a reconciliation statement showing what is still outstanding. It is built for owners and accountants who want the bank agreed every month, not once a year.

Reconciling a bank by hand means two printouts, a ruler and a highlighter. Receipts that were banked together, a cheque that has not cleared, a bank fee nobody entered: each takes time to find, and by the time the difference is explained, the next month has started.

In Flowyana the customer receipts, supplier payments, expenses and transfers are already in the books, because each was posted when it happened. Reconciliation is just confirming that the bank saw the same thing. Exact matches are confirmed together, and you only look closely at what is left.

What it does

Bank reconciliation, in practice.

Statement import

Import the statement your bank lets you download as an Excel or CSV file, from any bank.

Map once, reuse

Map the date, description, reference and amount columns once; the mapping is saved for that bank account.

No duplicates

Import overlapping statements without worry: lines you already have are skipped.

Suggested matches

Each statement line gets suggested entries from the books, by amount, date and reference.

Accept exact matches together

Confirm every exact match in one step, and spend your time only on the lines that need thought.

One line, several entries

Match a single deposit to several customer receipts, as long as the totals agree.

Post from the statement

Bank charges, interest and other bank-only lines become a voucher and a match in one step.

Reconciliation statement

Book balance, deposits not yet credited, payments not yet presented, and the statement balance, ready to print.

Reconciled entries protected

A reconciled voucher cannot be changed until its reconciliation is undone.

How it works

Bank reconciliation, step by step.

  1. 1

    Import the statement

Download the statement from online banking and import it into the bank account. Map the columns the first time; the next import uses the saved mapping.

  2. 2

    Accept the suggestions

Flowyana suggests entries for each line. Accept every exact match in one step, then review the rest.

  3. 3

    Handle what is left

Match a line to several entries, or post a bank charge or interest straight from its line.

  4. 4

    Record the balance

Enter the closing balance from the statement and print the reconciliation statement for your records.

In depth

A closer look.

Bank statement import from any bank

Every bank in the Gulf exports statements a little differently. Flowyana handles that with a column mapping you set once per bank account: which column holds the date, the description and the reference, and whether amounts come as one signed column or as separate money-in and money-out columns. You also set the date format and decimal separator, and can flip the sign for banks that show withdrawals as positive numbers. If the file includes a running balance, that column can be mapped too. Save the mapping, and next month’s import is one step.

  • Excel or CSV statements
  • One amount column, or money in and money out
  • Day-month-year, month-day-year or year-month-day dates
  • Saved mapping per bank account

Suggested matches you can trust

For each statement line, Flowyana looks for unreconciled entries on that bank ledger with the same amount, dated within a week of the line. It ranks them by how close the dates are and whether the line’s reference or description mentions the entry’s reference, voucher number or party. When a line has exactly one clear match, it is an exact match, and you can confirm all exact matches at once. Everything else waits for you to choose.

  • Same amount, within seven days
  • Reference, voucher number and party name checked
  • All exact matches confirmed in one step

Several entries, one statement line

Banks often show one deposit for several cheques or a day’s card takings, and one debit for a batch of supplier payments. Select the entries that make up the line and match them together. Flowyana checks that their total agrees with the statement line, and tells you the difference if it does not. Undo a line’s match and every entry matched to it goes back to the unreconciled list together.

Bank charges and interest from the statement

Some lines exist only on the statement: monthly account fees, transfer charges, interest earned. Instead of writing a journal and coming back to match it, create the entry from the statement line. Choose the ledger it belongs to, such as bank charges, and the branch, and Flowyana posts the voucher and matches it to the line in one step. If either part fails, neither is saved.

The reconciliation statement

Record the closing balance printed on your bank statement, and Flowyana produces the bank reconciliation statement for that date. It starts from the balance in your books, lists deposits not yet credited by the bank and payments not yet presented, and arrives at the statement balance. Your accountant or auditor can see at a glance why the two balances differ, entry by entry. Each bank account also shows when it was last reconciled and how many statement lines are still unmatched.

  • Book balance to statement balance
  • Deposits not yet credited
  • Payments not yet presented
  • Last reconciled date per bank account

Reconciled means protected

Once an entry is reconciled with the bank, its voucher cannot be changed. Anyone who tries is told the date it was reconciled, and must undo the reconciliation first. Together with close and lock dates, this keeps months you have already agreed with the bank exactly as they were. Because a bank account holds entries from every branch, reconciliation is done by someone with access to all branches.

Questions

Asked about bank reconciliation.

Does Flowyana do bank reconciliation?

Yes. Each bank ledger can be reconciled against your bank statement. Import the statement, match its lines to entries in your books, post bank-only items such as charges, and record the statement balance.

Can I import bank statements from UAE and Saudi banks?

Yes, from any bank that lets you download a statement as an Excel or CSV file. You map the columns once, including date format, decimal separator and whether money in and out are in one column or two, and the mapping is saved.

Does Flowyana connect directly to my bank?

No. There is no live bank feed. You download the statement from online banking and import it, which works the same way for every bank.

What if I import the same statement period twice?

Lines you have already imported are recognised and skipped, so overlapping statements do not create duplicates.

How are matches suggested?

For each statement line, Flowyana looks for unreconciled entries with the same amount within a week of the line’s date, and ranks them by how close the date is and whether the reference or description matches.

How do I record bank charges that are only on the statement?

Create the entry straight from the statement line. Choose the expense or income ledger it belongs to, and Flowyana posts the voucher and matches it to the line together.

Can one deposit match several receipts?

Yes. Select the entries that make up the statement line, and Flowyana matches them together once their total agrees with the line.

Can I undo a reconciliation?

Yes. Undo returns the entries to the unreconciled list. While an entry is reconciled, its voucher cannot be edited, which protects periods you have already agreed with the bank.

Who can reconcile a bank account?

Someone with access to all branches, because one bank account holds entries from every branch. Give your accountant a role with that access.
