Custom fields

Your fields, your statuses, your words.

Add the fields your business tracks, the statuses your team works through and the names your staff already use — on clients, products, invoices, tickets and dozens more. Set up in a few clicks, no developer, and nothing breaks when Flowyana updates.

  • Your own fields, in the section and order you choose
  • On forms, lists, filters and exports
  • Your own statuses, colours and names
  • Document numbers that read your way

What is Custom fields in Flowyana?

Flowyana lets a business add its own fields, sections and statuses to the modules it uses, rename modules and fields in its own words, and choose how document numbers read. A trading company records a trade licence number on every client; a clinic adds a referral source to bookings; a workshop adds a mileage field to work orders. The fields appear on forms, in lists, in filters and in exports straight away.

Most small-business software makes you choose: fit your process to the screens you are given, or pay a developer to change them and then pay again every time the software updates. Flowyana takes a third route. Customization is configuration in the workspace settings, so there is nothing to rebuild when the product moves forward.

Customization is included in Business plans, and in Growth on Retail and Restaurant.

What it does

Custom fields, in practice.

Fields of every kind

29 field types — text, numbers, money, dates, dropdowns, checkboxes, files, links to other records and more — with required rules, default values, help text and placeholders.

Placed where they belong

Put a field in Details, in More details, or in a section of your own, in the order you set. Sections can start collapsed.

Everywhere the record goes

Your fields show on the form and the record, as columns in lists, in the filter bar and in exports, the same way built-in fields do.

Statuses your team uses

Add statuses with their own names and colours, and say what each one means: active, in progress, completed, on hold or cancelled.

Your words on screen

Rename modules and fields — clients to guests, jobs to work orders — and menus, forms and lists use your names.

Numbers that read your way

Set how document numbers look: a prefix, the year and month, the financial year or a branch code, and how many digits the running number has.

Safe by design

Fields and statuses the system relies on, such as an approved status, can be renamed but not deleted, hidden or switched off, so your workflows and reports keep working.

No code, no fork

All of it is set up in the workspace settings. There is no custom version of the software to maintain, so every update reaches you.

Included in Business plans

Custom fields, statuses, renaming and document numbering come with every Business plan, and with Growth on Retail and Restaurant.

How it works

Custom fields, step by step.

  1. 1

    Pick a module

Open Settings, then Modules, and choose the one to shape: clients, products, invoices, tickets, employees or any other record your plan includes.

  2. 2

    Add your fields

Name the field, pick its type, say whether it is required and give it a default or help text. Place it in a section and set its place in the order.

  3. 3

    Add statuses and names

Add the statuses your team works through, rename the module or its fields, and set how its document numbers read.

  4. 4

    Use it straight away

The next time anyone opens the form or the list, the new fields, statuses and names are there, ready to filter and export.

In depth

A closer look.

Custom fields on forms, lists, filters and exports

A field nobody can find is a field nobody fills in. Every custom field in Flowyana behaves like a built-in one. It sits on the form in the section you chose, shows on the record, can be a column in the list, can be filtered on, and goes out in exports. Dropdown fields carry their own options and colours, and a field can be marked required so a record cannot be saved without it.

  • 29 field types, including money, dates, dropdowns and files
  • Required rules, default values, help text and placeholders
  • Sections of your own, in the order you set
  • List columns, filters and exports included

Statuses and names in your team’s language

Teams already have words for their work. Add the statuses your process actually has, each with a name, a colour and a meaning, so boards and reports group them correctly. Rename modules and fields so screens say what your staff say: guests instead of clients, outlets instead of branches, units instead of equipment.

  • Statuses with names, colours and meanings
  • Modules and fields renamed across the workspace
  • Built-in statuses stay in place for approvals and reports

Document numbering your way

Choose how invoice, order and other document numbers read. Start from a monthly, financial-year, branch-and-month or running-number pattern, or build your own from a prefix, the year, the month, the financial year, the branch code and the running number. Numbers stay unique and in sequence.

  • Ready-made patterns or your own
  • Year, month, financial year and branch codes
  • Each branch can run its own series

Questions

Asked about custom fields.

Which plans include customization?

Custom fields, statuses, renaming and document numbering are included in Business plans, and in Growth on Retail and Restaurant.

Which records can we add fields to?

Clients, contacts, leads, deals, products, quotations, orders, invoices, purchase documents, expenses, tickets, projects, bookings, rentals, work orders, employees and other records your team enters. Records the system creates on its own, such as kitchen tickets or POS sessions, and setup screens keep their fixed fields.

Do custom fields show in lists and exports?

Yes. A custom field can be a list column, a filter and part of an export, just like a built-in field.

Can we delete or hide built-in fields and statuses?

Optional built-in fields can be hidden. Fields and statuses the system relies on, such as status or an approved state, can be renamed but not deleted, hidden or switched off, so approvals, stock and reports keep working.

Do we need a developer?

No. Everything is set up in the workspace settings by someone with permission to change them.

Will updates overwrite our changes?

No. Your fields, statuses and names are settings in your workspace, not changes to the software, so updates keep them.

One platform

Plays well with the rest.

Automation shares its records with every other module you switch on — no connectors, no re-typing.
