What is CSV & Excel import in Flowyana?

Flowyana CSV and Excel import brings the lists you already keep into the system without retyping them. You upload a spreadsheet of products, customers, suppliers, leads or opening stock, tell Flowyana which column is which, check the result, and import. It is for businesses moving from spreadsheets or another system in India, the UAE, Saudi Arabia and elsewhere, and for anyone who adds hundreds of records at a time.

Spreadsheets are never clean. Titles sit above the header, columns come in any order, phone numbers have country codes in front, and a supplier appears twice. The import screen copes with this. It finds the header row, lets you move it, and shows your columns beside five sample rows so you can pick the field for each. Before anything is saved, a dry run checks every row and tells you which will be created, updated, skipped or rejected, and why.

Nothing is lost when rows fail. Flowyana imports the good rows, keeps the bad ones in a downloadable file with your original columns and a plain description of the error, and lets you correct them and import that file again. Imports run in the background, so you can keep working.

Import is included in every plan, and yearly plans include free assisted import.

What it does

CSV & Excel import, in practice.

Five things you can import

Products, customers, suppliers, leads and opening stock.

CSV or Excel

Upload a .csv or .xlsx file up to 50 MB. Older .xls files need saving as .xlsx first. Pick the sheet, the separator and the header row if Flowyana guessed wrong.

Template to start from

Download an Excel or CSV template whose column names match the fields, so they map by themselves. Your own file works too.

Map columns to fields

See your columns with sample rows, choose the field for each, and skip the ones you don’t need. Custom fields you have added can be mapped too.

Create, update or skip

Choose what happens to records that already exist: skip them, update them, or stop on a duplicate. Match on a field such as SKU, email or phone.

Check before you commit

A dry run checks every row without saving anything, and shows what would be created, updated, skipped or fail.

Plain-language errors

Each failed row says what is wrong in plain words, with the row number from your spreadsheet.

Failed-rows file

Download the failed rows with the original columns plus the error, correct them and upload again.

Branch-aware

For customers, suppliers and leads, add a Branch column or pick one branch for the whole file. Opening stock goes to the branch of its warehouse.

Import history

Imports run in the background. Close the panel and come back to the history to see what was created, updated, skipped and failed.

Included in every plan

Import from CSV and Excel comes with every package, and yearly plans include free assisted import.

How it works

CSV & Excel import, step by step.

  1. 1

    Choose what to import

Open the list you want to fill, such as products or customers, and choose Import. Start from the template or upload your own file.

  2. 2

    Map your columns

Pick the Flowyana field for each column. Mapped columns are matched automatically when names are close, and the rest can be skipped.

  3. 3

    Choose how duplicates behave

Pick the field to match on, and whether existing records are skipped, updated or stop the import.

  4. 4

    Check and review

Run the check. You see how many rows are ready and which have errors, with the reason for each.

  5. 5

    Import and fix failures

Start the import, let it run in the background, and download any failed rows to correct and upload again.

In depth

A closer look.

What you can import

Products come in with their details and optional opening batch information. Customers and suppliers take names, emails and phone numbers, including the country code, and can be matched on email or phone so repeat uploads update rather than duplicate. Leads can be matched on subject. Opening stock sets starting quantities per product and warehouse, with optional batch number and expiry date, and is matched on SKU and warehouse.

  • Products, customers, suppliers and leads
  • Opening stock by product and warehouse, with batch and expiry
  • Your custom fields can be mapped
  • Emails checked, phone numbers split into country code and number

Mapping that copes with messy files

Flowyana detects the header row even when the file starts with a title or blank lines, and you can override it. The separator of a CSV can be changed for files that use semicolons, tabs or pipes. Columns are shown with five sample rows so you can check what you are mapping. Required fields that have a sensible default, such as item type, are optional in the file.

  • Header row detected, and changeable
  • Comma, semicolon, tab or pipe separators
  • Sample rows beside every column
  • Reset to the suggested mapping in one click

Dry run, errors and failed rows

A dry run checks every row without saving it. Rows that would fail are listed with the spreadsheet row number and a plain reason, and a value that matches more than one record, for example two warehouses with the same name, fails the row with a hint rather than guessing. You can also let the import create missing lookup values. The failed rows are kept for seven days in a file with your original columns plus the row number and the error.

  • No changes saved during a dry run
  • Row numbers match your spreadsheet
  • Ambiguous matches fail with a hint instead of guessing
  • Failed-rows file kept for seven days

Branches and history

Customers, suppliers and leads belong to a branch, so the import lets you add a Branch column with the branch name or choose one branch for the whole file. Opening stock goes to the branch that owns the warehouse. Every import is listed in the import history with when it ran and how many records were created, updated, skipped and failed. The uploaded file is deleted once the import finishes.

  • Branch column or one branch for the file
  • Opening stock follows its warehouse’s branch
  • History of every import with its counts
  • Uploaded file removed after the run
