What is Resignations & exit in Flowyana?

Flowyana employee exit management takes a leaver from resignation to closed file. It records the resignation and notice, runs an exit checklist for the people involved, issues relieving and experience letters, and hands over to the final settlement. It sits in HR beside payroll, leave and employee documents, for businesses in the UAE, Saudi Arabia, India and elsewhere.

A resignation records the resignation date, notice period, last working day and reason, and is approved or rejected directly or through an approval workflow. The last working day goes on the calendar, and comes off again if the resignation is withdrawn or rejected.

Apply your exit checklist template and each step, such as returning the laptop, handing over clients or closing system access, gets an owner and a due date counted from the last working day. Owners are notified and complete their own steps, so HR is not chasing everyone by message.

At the end, generate the relieving letter and experience letter on your own branded template; both are filed in the employee’s documents. The final settlement starts from the same resignation, and paying it moves the employee to their exit status.

Final settlement

Start the full and final settlement from the approved resignation, with its dates already filled in.

Leave and pay stop at the right date

Leave accrues only for months in service, and payroll pays only up to the termination date.

In depth

A closer look.

Resignations with notice and approval

A resignation records the resignation date, notice period in days, last working day and reason. It starts as pending and is approved or rejected by someone allowed to decide, or by your approval workflow, with who approved it and when stamped on the record. It can later be marked withdrawn or completed. The last working day appears on the calendar.

  • Notice period and last working day
  • Pending, approved, rejected, withdrawn, completed
  • Approval directly or by workflow
  • Last day on the calendar

An employee exit checklist with owners

Exit checklist templates hold the steps every leaver goes through. Each step has an owner, a person or a role, a due day counted from the last working day, and a flag for whether it is required. Applying the template to a resignation copies the steps onto that leaver, where they can be adjusted. Owners are told about their steps and complete them from their own task list.

  • Reusable exit templates
  • Due days from the last working day
  • Owner by person or by role
  • Required or optional steps

Relieving and experience letters

Generate a relieving letter or an experience letter from the resignation, laid out on your own branded document template with the employee’s details and dates filled in. Each letter is filed in the employee’s documents, once per resignation, so it can be found again later without searching email.

  • Relieving letter from the resignation
  • Experience letter from the resignation
  • Your own branded template
  • Filed in the employee’s documents

From resignation to final settlement

The full and final settlement starts from the approved resignation, so its notice period and last working day are already filled in. It works out unpaid salary, leave encashment, notice pay or recovery and open advances, and is approved, posted to your books and paid. Payment moves the employee to their exit status. As of October 2026 there is no end-of-service gratuity calculation.

  • Settlement from the resignation
  • Salary, leave, notice and advances
  • Exit status on payment
  • No gratuity calculation

Questions

Asked about resignations & exit.

What is employee exit management?

Employee exit management is the process of handling someone who leaves: recording the resignation, agreeing the last day, collecting equipment and handing over work, issuing letters and paying what is owed. Flowyana keeps all of it on the employee’s record in HR.

How do I record a resignation in Flowyana?

Create a resignation for the employee with the resignation date, notice period, last working day and reason. It is pending until approved or rejected, and can later be withdrawn or completed.

Can resignations go through approval?

Yes. Someone allowed to approve resignations decides it, or your approval workflow routes it to the right people.

Is there an employee exit checklist?

Yes. Build exit checklist templates with steps, owners and due days counted from the last working day, and apply one to each leaver. Owners are notified and tick off their own steps.

Can Flowyana generate a relieving letter?

Yes. Generate a relieving letter or an experience letter from the resignation on your own branded template. The letter is filed in the employee’s documents, where it stays with their record.

Does Flowyana calculate final settlement for leavers?

Yes. From the approved resignation it works out unpaid salary, leave encashment, notice pay or recovery and open employee advances, then you approve, post and pay it. See final settlement for the detail.

What happens to a former employee’s record?

Once the settlement is paid, or when you set their status by hand, they move to an exit status such as resigned or terminated. The record stays, with its history and documents, but they no longer count as staff in headcount or against your plan’s employee allowance.

Is payroll stopped after someone leaves?

Yes. Payroll pays only the days up to the termination date, and skips anyone who left before the period began. Days after the last payslip are paid in the final settlement.

Does it calculate end-of-service gratuity?

No. As of October 2026 there is no gratuity or end-of-service benefit calculation. Add any gratuity you owe as your own line on the final settlement.

Which plans include resignations and exit checklists?

HR & Payroll Growth and Business include them; the Starter plan does not. On other plans, add HR & Payroll together with the Shifts, onboarding & exits add-on.
