Payroll & payslips

Run payroll for the whole team in a few clicks.

Build a salary structure for each employee, generate the month’s payslips from attendance and leave, confirm them, mark them paid and let every employee read their own payslip. Salary lands in your books as it is approved, and the payment when you mark it paid.

  • Salary structures with formulas and tax tables
  • Payslips generated from attendance and paid leave
  • Confirm in bulk, then mark paid
  • Each employee sees only their own payslips

What is Payroll & payslips in Flowyana?

Flowyana payroll is HR and payroll software that turns salary structures, attendance and leave into payslips. You set up each employee’s salary as a basic amount plus earnings and deductions, generate the month’s payslips for everyone in a few steps, confirm them, pay them and let each employee read their own payslip. It suits small and mid-sized companies in India, the UAE, Saudi Arabia and elsewhere that run payroll in-house.

Payroll on spreadsheets means copying attendance by hand, recalculating deductions for every absence and keeping each version of the file. Flowyana does the arithmetic from the same attendance and leave records your team already uses, so a day of unpaid absence reduces basic pay and a day of paid leave does not.

Every payslip moves through clear stages: draft, confirmed, paid. Draft payslips can be reviewed and corrected before anything is final. Approved payslips are posted to your books, so salary cost and what you owe staff appear in your accounts without a separate entry, and cancelling a payslip voids that posting. Marking payslips paid records the date and payment method and posts one payment for the batch; cancelling one payslip later reverses only its share.

Flowyana does not produce statutory payroll files. As of October 2026 there is no PF, ESI or TDS return, no WPS salary file for UAE banks, and no GOSI submission. Income tax is worked out from tax tables you enter, overtime and lateness follow your attendance policy, and there are no staff loans or end-of-service gratuity. It prepares payslips and pay records that you can use alongside those filings.

What it does

Payroll & payslips, in practice.

Salary structures

Build each employee’s pay from a basic salary plus components: earnings, deductions, reimbursements, taxes and employer contributions.

Five ways to calculate

Each component is a fixed amount, a percentage of basic, a percentage of gross, a formula, or income tax from a tax table.

Taxable flag

Mark each component as taxable or not, and reorder components to match your payslip.

Duplicate a structure

Copy a structure to start the next employee from it.

Generate payroll in three steps

Pick the period and pay cycle, choose all employees or some, review, and create the payslips.

Pay that follows attendance and leave

Pay every working day except unpaid leave, or only days attended plus paid leave, as your payroll policy says. Overtime, lateness and paid-out leave appear as their own lines.

Skips with reasons

Anyone with no active salary structure, or a payslip already for the period, is skipped and listed with the reason.

Confirm and pay in bulk

Confirm many payslips at once, then mark them paid with a payment date and method, which posts one payment for the batch.

Approval workflows

Route payslips through an approval workflow when you want a second pair of eyes before they are confirmed.

Payslips for employees

Employees open My Payslips to view and download their own, and see only their own.

How it works

Payroll & payslips, step by step.

  1. 1

    Build salary structures

For each employee, set the basic salary and add components: allowances, deductions, reimbursements, taxes and employer contributions, each fixed, a percentage, a formula or from a tax table.

  2. 2

    Generate payroll

Pick the period start and end and the pay cycle, choose all employees or a selection, review, and generate. Skipped employees are listed with the reason.

  3. 3

    Review the drafts

Open any draft payslip to check days worked, leave and the component breakdown, and correct it before confirming.

  4. 4

    Confirm

Confirm payslips one by one or in bulk, or let your approval workflow decide.

  5. 5

    Mark paid

Choose a payment date and method and mark the confirmed payslips as paid. Employees can then download them under My Payslips.

In depth

A closer look.

Salary structures that match how you pay

A salary structure is the recipe for one employee’s pay: a basic salary and a list of components. Each component is an earning, a deduction, a reimbursement, a tax or an employer contribution, and each is calculated as a fixed amount, a percentage of basic, a percentage of gross, a formula you write, or from a tax table of income-tax bands. The net pay on the structure is worked out as you build it. Components can be marked taxable and reordered, and a structure can be duplicated to start the next one.

  • Earnings, deductions, reimbursements, taxes and employer contributions
  • Fixed, percentage, formula or tax table
  • Taxable flag and component order
  • Duplicate a structure

Payslips from attendance and leave

Generating payroll counts the working days in the period and each employee’s paid days. Under the payroll policy, either every working day is paid except unpaid leave, or only days attended plus paid leave. Unpaid days reduce basic pay in proportion, and each component follows if it is set to pro-rate. Overtime and lateness from the attendance policy, and leave being paid out, are added as their own lines. Each payslip keeps its breakdown of working days, attended days, paid leave and unpaid absence, so an employee can see how the figure was reached.

  • Pay all working days or only days attended
  • Overtime, lateness and leave encashment lines
  • The day counts are saved on the payslip
  • A payslip is never created twice for the same period

Confirm, approve and pay

Payslips start as drafts. Confirm them in bulk, or send them through an approval workflow if your company wants sign-off. Payslips awaiting a workflow are skipped by bulk actions and listed with the reason. Mark confirmed payslips as paid with a date and a payment method, and one payment is posted for the batch. Approved payslips are posted to your books, and the payroll stats show total paid, pending payments and total deductions.

  • Bulk confirm and bulk mark paid
  • Optional approval workflow before confirmation
  • Salary cost posted to the books when approved
  • Payment posted when marked paid; cancelling a payslip reverses its share

Payslips employees can open themselves

Each employee has a My Payslips page showing their payslips and the year’s total, and can view and download them. A person sees only their own payslips unless their role lets them manage payroll for their branch. Payslips are also a printable document with your branding.

  • My Payslips with a yearly total
  • View and download
  • Others’ payslips visible only with the right role
  • Printable and branded

Questions

Asked about payroll & payslips.

What is payroll software?

Payroll software works out what each employee is paid for a period, produces their payslips and records the payments. In Flowyana it is part of the HR module and uses the same attendance and leave records.

How do I run payroll in Flowyana?

Give each employee a salary structure, then use Run Payroll to pick the period and employees, review, and generate payslips. Confirm them, then mark them paid.

Does payroll use attendance and leave?

Yes. Unpaid leave always reduces pay, and with the payroll policy set to days attended, a working day with neither attendance nor paid leave is unpaid too. Overtime and lateness come from attendance. The day counts are kept on each payslip.

Can I use formulas in a salary structure?

Yes. A component can be a fixed amount, a percentage of basic or gross, a formula, or tax from a tax table. Formulas can read basic, gross, paid days, working days, overtime hours and late minutes.

Can payslips go through an approval?

Yes. You can route payslips through an approval workflow, and bulk confirmation skips any that are still waiting on it.

Does it handle arrears or back pay?

No. There is no arrears feature. You can add a manual payroll entry or adjust a draft payslip before it is confirmed.

Does Flowyana create PF, ESI, TDS, WPS or GOSI files?

No. There are no statutory payroll files, returns or bank salary files. Flowyana prepares payslips and pay records that you can use for those filings.

Does it work out overtime pay or late deductions?

Yes, when the attendance policy turns them on. Overtime hours are paid at the rate you set, on basic or gross, optionally only once approved, and lateness is deducted by the minute or as half a day of basic for every set number of late arrivals.

Does it work out income tax from tax tables?

Yes. Enter your tax bands and yearly tax-free amount as a tax table and use it in a tax component. Tax is worked out on the year’s taxable pay and spread across the pay periods. Flowyana does not supply the bands for any country.

Is there payroll software for small businesses in the UAE or India?

Yes. Flowyana payroll produces payslips and books salary cost for companies in India, the UAE, Saudi Arabia and elsewhere, in your own currency, without the statutory filings.

Which days does payroll count as working days?

Every day except your weekly days off and public holidays. Choose the weekly days off in the attendance policy, for example Friday and Saturday. Payroll counts working days from those days and your holiday list, so neither is ever counted as an absence.

Can employees see their own payslips?

Yes, under My Payslips. They see only their own unless their role allows more.
