What is Employee documents & expiry in Flowyana?

Flowyana employee document management is a register of staff passports, visas, permits and IDs with document expiry reminders, for businesses with staff whose papers must stay current. It keeps every passport, visa, residence permit, labour card, ID and similar document in one list, with its number, issuing country, issue date and expiry date. It shows which are valid, which are expiring soon and which have already expired, and tells the right people in time to renew. It is for any business with staff whose papers must stay current, especially teams with many expatriate employees in the UAE, Saudi Arabia and elsewhere in the Gulf.

An expired visa or work permit is usually discovered too late, by the employee at the airport or by an inspector. Spreadsheets do not warn anyone. In Flowyana each document has its own reminder window, 30 days by default, and when it enters that window it appears in a morning digest to the people who look after employee documents at that employee’s branch.

Documents that have already expired do not drop out after one reminder. They are listed again every Monday until someone records the renewal. Document numbers stay private: only people allowed to see employee pay details can read them, and they never go into an email.

The same documents sit on each employee’s record, so HR can open one person and see all their papers at once.

What it does

Employee documents & expiry, in practice.

Ten document types

Passport, visa, residence permit, national ID, labour card or work permit, driving licence, tax ID, social security, health insurance and other.

Dates that matter

Record the document number, issuing country, issue date and expiry date, with a copy of the document attached and notes.

Expiry dates where they count

Passports, visas, residence permits and labour cards always need an expiry date, and an expiry can never be before the issue date.

Your own reminder window

Each document says how many days before expiry to start warning, from 0 to 365. The default is 30.

Expiry state at a glance

Every document shows as expired, expiring soon, valid or no expiry, and the list filters by that state.

Morning digest

Each morning, people who can see employee documents at that branch get one digest of documents entering their reminder window.

Expired ones keep coming back

Documents past their expiry are listed again every Monday until they are renewed, so they are not forgotten after one email.

On the employee record

Each employee has a Documents tab, so HR sees one person’s papers in one place.

Numbers kept private

Document numbers are shown only to people allowed to see employee pay details, and never appear in a reminder email.

On the calendar

Expiry dates appear on the calendar, so renewals can be planned alongside everything else.

In depth

A closer look.

Employee document management with every date

A document belongs to an employee and has a type, a number, the issuing country, an issue date, an expiry date, a reminder window, an attached copy and notes. Passports, visas, residence permits and labour cards must have an expiry date, and no expiry can come before its issue date. Ten types are ready to use, from passport to health insurance, with Other for anything else.

  • Ten ready-made document types
  • Number, issuing country, issue and expiry dates
  • Attached copy and notes
  • Expiry required where it always exists

Expiry states and the list

Each document is in one of four states: expired, expiring soon (inside its reminder window), valid, or no expiry. The Employee documents page shows the state beside the expiry date and filters by it, so the expiring and expired documents can be worked through as a list. Expiry dates also appear on the calendar.

  • Expired, expiring soon, valid or no expiry
  • Filter the list by state
  • Reminder window per document, 0 to 365 days
  • Expiry dates on the calendar

Visa and passport expiry reminders as a morning digest

Early every morning, in your own time zone, Flowyana checks which documents have entered their reminder window. People whose role lets them see employee documents at that employee’s branch receive one digest listing them, earliest expiry first. Each document is announced once for its expiry date, and a renewal with a new date is a new reminder. Expired documents are listed again every Monday until renewed.

  • One digest, not an email per document
  • Sent to the employee’s branch
  • Earliest expiry first
  • Expired documents repeated each Monday

Private by default

Document numbers are personal data. Flowyana shows them only to people allowed to see employee pay details; everyone else sees the document type and dates. Numbers are never placed in a digest or reminder. Who can view, add or change employee documents at all is set by role, like the rest of HR.

  • Numbers hidden from most roles
  • Never included in emails
  • Access controlled by role and branch
  • Every change in the audit log

Questions

Asked about employee documents & expiry.

What is employee document management?

Employee document management means keeping each employee’s identity and work documents, such as passports, visas, permits and IDs, in one place with their dates, so you know what is valid and what needs renewing. In Flowyana it is part of HR.

Which documents can I track?

Passports, visas, residence permits, national IDs, labour cards or work permits, driving licences, tax IDs, social security, health insurance, and any other document under Other.

Does Flowyana remind me before a visa expires?

Yes. Each document has a reminder window, 30 days by default and up to 365. When a document enters that window, it is included in a morning digest to the people who look after employee documents at that branch.

What happens after a document expires?

It shows as expired, and it is listed again in the digest every Monday until you record the renewed document.

Who receives the reminders?

People whose role lets them see employee documents, at the branch the employee belongs to. They come as one digest rather than an email per document.

How do I record a renewal?

Update the document with its new number and expiry date, or add the new one and keep the old for reference. A new expiry date starts a fresh reminder.

Can I attach a copy of the document?

Yes. Each document can hold an attached copy, with notes.

Who can see document numbers?

Only people whose role allows them to see employee pay details. Others see the document and its dates, but not the number. Numbers are never included in reminder emails.

What is the best way to track employee visa expiry in the UAE or Saudi Arabia?

Record each visa, residence permit and labour card with its expiry date and a reminder window, so HR is warned before it lapses. Flowyana does this for teams with many expatriate staff in the Gulf, as well as companies in India and elsewhere.

Does Flowyana renew visas or file with the authorities?

No. It records documents and reminds you before they expire. Renewals and government filings are done outside Flowyana.

Can I see all expiring documents in one list?

Yes. The Employee documents page lists every document with its expiry, and you can filter it to expired, expiring soon, valid or no expiry.
