What is Leave management in Flowyana?

Flowyana leave management software is a leave tracker for annual leave, sick leave and any other time off, built into HR for small and mid-sized businesses. It keeps track of what each employee is entitled to, what they have asked for and what they have left. You define your leave types and their rules, staff apply from My Leaves, managers approve, and balances update as it happens. It suits companies of any size in India, the UAE, Saudi Arabia and elsewhere that want leave handled in the same place as attendance and payroll.

Most leave trouble comes from rules nobody wrote down: how many days a new joiner gets, whether Friday counts, what happens to the twelve days someone did not take. In Flowyana each leave type carries its own answers. It says how days accrue, whether weekends and holidays inside a leave are counted, how many days may carry into the next year, and whether days over the limit lapse or are paid out.

Approval follows the reporting line. A request goes to the employee’s manager, or to anyone whose role lets them approve leave, and nobody can approve their own. Approved leave counts as paid or unpaid days when payroll is generated, so the payslip matches the leave record without anyone copying figures across.

At year end, the carry-forward runs by itself on the first day of the new leave year, or by hand, and you see every balance before anything changes.

What it does

Leave management, in practice.

Leave types

Annual, sick, unpaid or any type you name, each paid or unpaid, with days per year, a colour and whether it needs approval.

Accrual your way

Credit the year’s days at once, monthly or quarterly, or not at all. Joiners and leavers get a share pro-rated by their months in service.

Leave year in any month

Run the leave year January to December, April to March or any other span. The start month is fixed once leave has been taken.

Half days

Employees can apply for the first or second half of a day as well as full days.

Weekends and holidays

By default, weekends and public holidays inside a leave are not counted. Turn that on per type when a leave should count every calendar day.

Approvals

A request goes to the employee’s reporting manager or anyone allowed to approve leave. Nobody approves their own. Approve or reject in bulk with a reason.

Balances you can read

For each person and type: entitlement, accrued so far, carried in, used, pending, paid out and expired, with what is available.

Carry-forward rules

Carry a limited number of days or all of them, let carried days expire after some months, cap the yearly balance, and limit carrying to staff past probation.

Paid out, not lost

Days over the carry limit can lapse or be paid out. Paid-out days are added to the employee’s next payslip at their daily rate.

Public holidays

Load a year of public holidays for your country in one step, or add your own, and see who is away on the leave calendar.

How it works

Leave management, step by step.

  1. 1

    Set the leave policy

Choose the month your leave year starts and whether year-end carry-forward runs by itself.

  2. 2

    Create leave types

For each type set days per year, paid or unpaid, the accrual method, approval and carry-forward rules.

  3. 3

    Load public holidays

Load your country’s holidays for the year and add any of your own.

  4. 4

    Staff apply

Employees open My Leaves, pick a type and dates, full or half days, and submit.

  5. 5

    Approve and review

Managers approve or reject from Leave Approvals, and HR watches balances and the leave calendar.

In depth

A closer look.

Leave management software built on leave types

A leave type is a set of rules. It is paid or unpaid, has a number of days per year, and accrues in one of four ways: the whole year at once, monthly, quarterly, or not at all. Joiners and leavers get a share for the months they are in service. A type can need approval or not, and can count or skip the weekends and public holidays that fall inside a leave. Each has a colour, so the calendar is easy to read.

  • Paid or unpaid, with days per year
  • Annual, monthly, quarterly or no accrual
  • Pro-rated for joiners and leavers
  • Weekends and holidays counted or skipped

Requests, approvals and balances

Employees apply from My Leaves for full days or the first or second half of a day, and can cancel a request. It goes to their reporting manager or anyone allowed to approve leave, who approves or rejects it, in bulk if needed, with a reason. With an approval workflow, the workflow decides. The Leave Balances page shows each person’s entitlement, what has accrued so far, days carried in, used, pending, paid out and expired, and what is available.

  • Full or half-day requests
  • Manager or approver decides, never the requester
  • Bulk approve or reject with a reason
  • Balances with every movement shown

Year end: carry, expire or pay out

At the start of each leave year, unused days are dealt with by each type’s rules. A type can carry a set number of days or all of them, let carried days expire a number of months into the new year, and cap the total balance a year can hold. Days that the limit or cap cuts off either lapse or are paid out. You can also carry days only for employees whose probation has ended. The run happens on the first day of the leave year or when you start it, and shows a preview first.

  • Carry limit per type, or unlimited
  • Carried days that expire after set months
  • Yearly balance cap
  • Excess days lapse or are paid out

Leave that payroll understands

When payroll is generated, approved paid leave counts as paid days and unpaid leave reduces pay. Days to be paid out at year end are added to the employee’s next payslip as leave encashment, at a daily rate taken from the payroll policy, and cancelling that payslip releases them again. Public holidays and weekly days off are never counted as absence.

  • Paid and unpaid leave reach the payslip
  • Leave encashment on the next payslip
  • Daily rate from your payroll policy
  • Holidays and days off never counted as absence

Questions

Asked about leave management.

What is leave management software?

Leave management software keeps track of the time off each employee is entitled to, the leave they request and take, and what is left. In Flowyana it is part of HR and feeds attendance and payroll.

Can I set up different leave types in Flowyana?

Yes. Create as many as you need, such as annual, sick, maternity or unpaid. Each has its own days per year, paid or unpaid status, accrual method, carry-forward rules and approval setting.

How does leave accrual work?

Each leave type credits its days once a year, monthly or quarterly, or not at all. Someone who joins or leaves during the year gets a share for the months they are in service, counting a month if they joined by the 15th.

How do I start the leave year in April?

Yes. Choose any start month under the leave policy. It can be changed until leave has been taken, after which it stays fixed so balances remain consistent.

Who approves a leave request?

The employee’s reporting manager, or anyone whose role allows them to approve leave. Nobody can approve their own leave. If you use approval workflows, the workflow decides who signs off.

Can staff apply for half a day?

Yes. A request can be for the first or second half of a day.

Are weekends counted in a leave?

Not by default. Weekly days off and public holidays inside the leave are skipped. You can switch a leave type to count every calendar day.

What happens to unused leave at year end?

Each type decides. Days carry forward up to a limit or without one, carried days can expire some months into the new year, a cap can limit the yearly balance, and days over the limit lapse or are paid out. You see a preview before anything changes.

How is leave encashment paid?

Days marked to be paid out are added to the employee’s next payslip, at a daily rate worked out from the payroll policy: the month’s working days, its calendar days or a fixed number of days.

Can employees check their own leave balance and time off?

Yes. My Leaves shows each leave type’s balance, used and pending days, and their requests, and lets them apply or cancel a request.

Which countries’ public holidays are included?

You can load a year of public holidays for countries including the UAE, Saudi Arabia, India, Egypt, the UK, the US and several others, then add your own. Check the dates against your official calendar.

Does leave work across branches?

Yes. Leave and leave balances stay with the employee’s main branch, so a person who works at several branches has one balance.
