WhatsApp CRM

Turn WhatsApp chats into won deals.

Your customers already message you on WhatsApp. Flowyana puts that number in a shared team inbox and connects it to a real CRM: chats become leads, leads move through your pipeline, follow-ups get an owner and a date, and won deals become quotations and invoices on the same platform.

  • A shared WhatsApp inbox for the whole sales team
  • Chat to CRM lead in one step, source recorded
  • Follow-up dates, owners and pipeline boards
  • Template broadcasts whose replies become leads

What is WhatsApp CRM in Flowyana?

Flowyana’s WhatsApp CRM connects your WhatsApp Business number to a shared team inbox and a full sales pipeline. It is for sales teams in the UAE, Saudi Arabia and the wider GCC that win most of their business in WhatsApp chats. Any chat can become a lead with an owner and a follow-up date, and every won deal becomes a quotation and an invoice on the same platform.

In many Gulf businesses the sales pipeline lives on a phone. Leads sit in one salesperson’s WhatsApp, follow-ups depend on memory, and when that person is on leave nobody knows who was promised which price. A shared WhatsApp inbox for business, with a CRM behind it, makes those chats company property.

Many WhatsApp CRM tools are an inbox with a lead list attached. Flowyana works the other way round: a complete business platform (CRM, quotations, invoicing, stock and accounting) with WhatsApp built in. The client you chat with is the client you quote, invoice and collect from.

You need a number on Meta’s official WhatsApp Business Platform, connected from your own Meta business account. Instagram, Messenger, Telegram, email and website chat can join the same inbox whenever you are ready.

What it does

WhatsApp CRM, in practice.

Shared WhatsApp inbox

Connect your WhatsApp Business number once. Every salesperson answers from their own login, and each chat shows who owns it.

Chat to lead, without retyping

Create a lead from the conversation in one step. Flowyana looks for an existing client or contact and links to it instead of making a duplicate.

Source on every lead

Leads from chats record the channel they came from (WhatsApp, Instagram, Facebook or your website), so you can see which channel brings business.

Follow-ups that survive the week

Each lead has a follow-up date and time, an owner, a status and notes, plus a score and temperature to sort hot from cold.

Pipeline boards

Leads and deals move across stages you define. One pipeline on Starter; as many as you need on Growth and Business.

Broadcasts that feed the pipeline

Send an approved template to a contact list. Anyone who replies within 30 days becomes a lead automatically.

Deals that mark themselves won

Link quotations, orders and invoices to the deal, and Flowyana marks it won when the order is confirmed, the invoice is posted or the invoice is paid: your choice.

Ad leads on the same board

Leads from Meta Lead Ads and LinkedIn Lead Gen forms land in the same pipeline, given to one person or shared out in turn.

WhatsApp from automations

Automation rules can send a WhatsApp message from your own number when a record is created or changes.

How you get it

The WhatsApp CRM comes with CRM Growth and CRM Business: the pipeline, the shared inbox, Integrations for your WhatsApp number and templates, with broadcasts on CRM Business. CRM Starter has the pipeline without the inbox. On other plans, add CRM and the omnichannel inbox; WhatsApp needs a plan with Integrations.

How it works

WhatsApp CRM, step by step.

  1. 1

    Connect your number

Link your WhatsApp Business number from your Meta business account. Write the templates you need and submit them to Meta from Flowyana.

  2. 2

    Shape your pipeline

Set the stages your deals really go through, the lead sources you track, and who on the team owns follow-ups.

  3. 3

    Work chats as leads

When a chat is a real enquiry, create a lead from it in one step. Set the next follow-up, add a note, and the lead appears on the board.

  4. 4

    Close and invoice

Convert the lead into a deal and a client, send the quotation, confirm the order and raise the invoice, with a payment link if you take card payments online.

In depth

A closer look.

What is a WhatsApp CRM, and what makes Flowyana’s different?

A WhatsApp CRM joins two things most businesses keep apart: the WhatsApp chats where customers ask questions, and the customer records where sales are tracked. Flowyana adds a third: the operations that follow a sale. The same platform runs quotations, invoices, stock, the books and, if you have a shop, the till. So the WhatsApp CRM is not another tool to connect. It is the front door of the system you already run the business on.

  • One client record for chats, deals, quotations and invoices
  • Comments with @mentions, notes and files on every lead and deal
  • An activity timeline that shows what happened and who did it

From WhatsApp chat to CRM lead

Open a conversation, choose “create lead”, pick the pipeline and stage, and you’re done. Flowyana checks whether the person is already a client or contact and links the lead to them rather than creating a duplicate. The lead records WhatsApp as its source, and the conversation keeps a link to the lead, so anyone opening the chat later can see it is already being worked.

  • Pipeline and stage chosen as you create the lead
  • Matched to existing clients and contacts
  • Source set from the channel the chat came in on
  • Lead score and temperature for sorting hot from cold

Follow-ups and pipeline boards

A lead without a next step is a lost lead. Every lead in Flowyana carries a follow-up date and time, a follow-up owner, a follow-up status and notes, and the date of last contact. Tasks can be attached to the lead with a due date, and the owner is reminded before the deadline. Managers read the whole picture on pipeline boards, dragging leads and deals from stage to stage, with dashboard tiles for open leads, pipeline value and deals by stage.

  • Follow-up date, time, owner and status on every lead
  • Tasks on the lead with deadline reminders
  • Boards with stages you define
  • Leads, deals and clients reports

WhatsApp broadcasts that fill the pipeline

A broadcast sends one Meta-approved template to a contact list, now or at a time you schedule, with the template’s fields filled per person or with a default. Flowyana tracks each recipient as sent, delivered, read, replied or failed. The part most tools miss: when someone replies within 30 days, Flowyana creates a lead for them automatically, so an Eid offer or a new-stock announcement turns straight into pipeline you can follow up.

  • Templates written in Flowyana and approved by Meta
  • Contact lists added by hand or imported from a spreadsheet
  • Send now or on a schedule
  • Replies become leads without anyone copying numbers

From won deal to paid invoice

Convert a qualified lead into a deal, a client and a contact, with its history carried along. Quotations, sales orders and invoices can be linked to the deal. In your CRM settings you choose when a deal counts as won: when the order is confirmed, when the invoice is posted, when it is paid, or only when you mark it by hand. The won amount comes from the documents, not a guess typed into the deal. Invoices can be shared by WhatsApp or email as a link with a card-payment option.

  • Lead converts to deal, client and contact in one step
  • Deal won automatically on the trigger you choose
  • Quotations and invoices shared as a WhatsApp link
  • Every sale posts to your books with its VAT

WhatsApp CRM in the UAE and Saudi Arabia

Gulf customers buy over WhatsApp, often in Arabic. Each Flowyana user picks their own workspace language, including Arabic laid out right to left. Quotations and invoices print with Arabic and English labels side by side, and tax is applied at your country’s VAT rate. As of October 2026 the UAE and Saudi Arabia charge 5% and 15% VAT respectively, and Flowyana sets both up; e-invoice submission to the tax authorities is not part of Flowyana.

  • Workspace in English, Arabic and four other languages, per user
  • Arabic–English quotations and invoices
  • Country VAT rates on every quotation and invoice

More channels and lead sources, same pipeline

WhatsApp is usually the busiest channel, not the only one. Instagram, Facebook Messenger, Telegram, email and website live chat can join the same inbox, and their chats become leads the same way. Leads from Meta Lead Ads and LinkedIn Lead Gen forms arrive on their own and can be shared out across the team in turn. Old lists come in from a spreadsheet import, so you start with your whole pipeline, not an empty board.

  • Instagram, Messenger, Telegram, email and website chat in one inbox
  • Meta Lead Ads and LinkedIn Lead Gen capture
  • Spreadsheet import for existing leads

Who it’s for

Businesses that run on WhatsApp CRM.

Real estate agencies

Buyers and tenants ask about units on WhatsApp. Every serious enquiry becomes a lead with an agent and a follow-up date, so no viewing request is forgotten.

Trading and distribution

Retailers send orders and price checks by WhatsApp. Turn the chat into a deal, quote from your price list, and invoice against the same client.

Car and equipment rental

Rental enquiries arrive by WhatsApp at all hours. The team shares one number, and confirmed customers move on to the rental and its invoices.

Clinics, salons and training centres

Broadcast a new course or seasonal offer to past customers, and every reply lands as a lead for the front desk to call.

Contractors and fit-out companies

Site visits and quotations start in WhatsApp. Track each job from first message through quotation to a deal marked won when the order is confirmed.

Travel and tour agencies

Package questions come in on WhatsApp and Instagram. Leads carry their source, so you learn which channel and which broadcast produces bookings.

Questions

Asked about whatsapp crm.

What is a WhatsApp CRM?

A WhatsApp CRM connects your business WhatsApp number to a customer database and sales pipeline, so chats become leads with owners, follow-ups and history instead of staying on one person’s phone. Flowyana adds the rest of the business: the lead you win is quoted, invoiced and paid on the same platform.

Is Flowyana a WhatsApp CRM for small businesses in the UAE?

Yes. Flowyana suits small and mid-sized teams in the UAE, Saudi Arabia and the wider GCC that sell over WhatsApp. It runs in English or Arabic per user, prints quotations and invoices in Arabic and English, and applies your country’s VAT rates.

Can several salespeople use one WhatsApp number?

Yes. One WhatsApp Business number is shared by the whole team in Flowyana’s inbox. Each person signs in with their own login, conversations are assigned by hand, and the full history stays with the company when someone leaves.

Do I need the WhatsApp Business API?

Yes. Flowyana connects to a number on Meta’s official WhatsApp Business Platform, often called the WhatsApp Business API, through your own Meta business account. Flowyana doesn’t resell WhatsApp messages; any charges Meta makes are billed by Meta.

Does every WhatsApp chat become a lead automatically?

Replies to your broadcasts do. Other chats become a lead when someone on your team decides they are a real enquiry, in one step from the conversation, so your pipeline isn’t filled with “thank you” messages.

Can leads be assigned to salespeople automatically?

Leads captured from Meta Lead Ads and LinkedIn Lead Gen forms can go to one fixed person or be shared out in turn. WhatsApp conversations themselves are assigned by hand.

Can I send bulk WhatsApp messages from the CRM?

Yes, as broadcasts. Choose a template Meta has approved and a contact list, then send now or schedule it. Each recipient shows as sent, delivered, read, replied or failed, and replies become leads.

Does the WhatsApp CRM connect to invoicing and accounting?

Yes, because they are the same platform. A lead converts into a deal, a client and a contact; the deal’s quotation becomes an order and an invoice, and the invoice posts to your books with its VAT.

Which Flowyana plan includes the WhatsApp CRM?

CRM Growth and CRM Business include the pipeline, the shared inbox, WhatsApp through Integrations and templates, and CRM Business adds broadcasts. CRM Starter has the pipeline without the inbox. Other plans can add CRM and the omnichannel inbox; WhatsApp needs a plan with Integrations.
