Work orders

Work orders that remember every machine.

Open a work order for any equipment, split it into job cards for your technicians, draw parts from stock, log labour, and invoice from the same record. Next time the machine comes back, its whole history is one search away.

  • Equipment, serial and reported issue on every work order
  • Job cards with technician, parts and labour
  • Parts out of stock, with warranty per part
  • Advance, invoice and payment from the work order

What is Work orders in Flowyana?

Flowyana work order software records every maintenance and repair job against the equipment it was done on. Each work order holds the customer, the equipment, the reported issue and the service address. Job cards assign the work to technicians, parts come out of your real stock, labour is logged by time, and the invoice is generated from the same record. It suits maintenance companies, workshops and repair centres in the UAE and across the Gulf.

Paper job cards and spreadsheets lose the one thing a maintenance business sells: knowledge of the machine. When a chiller, generator or vehicle comes back, the technician needs to know what was done last time, which parts were fitted and whether they are still under warranty. In Flowyana that history is a search away, because every work order is tied to the equipment number and the customer.

Work orders are part of the Service Jobs module and run on the same platform as inventory, sales and accounting. That is the difference from a stand-alone job card app: the parts a technician fits leave the stock you count, the invoice is a real VAT invoice, and the payment lands in your books without anyone typing it twice.

What it does

Work orders, in practice.

Any equipment, your words

Equipment number, description, serial and service address are labels you can rename — vehicle, unit, device, machine — and your printed work order uses them.

History by machine and by customer

Search work orders by equipment number, customer, QR or work order number, and every earlier job on that equipment is there.

Serials fill themselves in

Link a work order to a serial number you sold and the equipment description and customer come from that sale.

Job cards per technician

Several job cards per work order, each with its own technician, estimate, stage and costs, moving across a board.

Parts from real stock

Shop-supplied parts leave the chosen warehouse and return if unused; customer-supplied parts are recorded without a stock move.

Labour by time

Each technician’s labour is logged with a start, an end, minutes and an hourly rate, so the job’s true cost is visible.

Status from the work

The work order moves to in progress and completed as its job cards move, so the front desk always sees where a job stands.

Invoice and payments

Take an advance, generate the invoice from the work order with VAT, record the balance, and reverse a payment with a reason if needed.

How it works

Work orders, step by step.

  1. 1

    Book the equipment in

Create the work order with the customer, the equipment number and description, the serial if you sold it, the service address and the reported issue. Set the scheduled date, the promised date and the service advisor.

  2. 2

    Plan the job cards

Split the work into job cards — diagnose, repair, test — and assign each to a technician with an estimated time. The job cards appear on a board for the workshop or field team.

  3. 3

    Fit parts and log labour

Add parts from stock, or record parts the customer supplied, with warranty where it applies. Log each technician’s time. Costs and the customer total update as you work.

  4. 4

    Invoice and hand back

Record any advance, generate the invoice from the work order, and take the balance before releasing the equipment. The work order keeps the full record for next time.

In depth

A closer look.

Maintenance work order software for UAE service companies

Maintenance companies in the UAE juggle villas, towers, fit-outs and industrial sites, often with the same customer across many units. A Flowyana work order names the customer, the equipment number and description, the site or service address, and the issue the customer reported. Scheduled and promised dates set the expectation, and a service advisor owns the customer conversation. The invoice carries UAE VAT at your rate, and the work order can print with Arabic and English labels side by side.

  • Equipment number, description and serial on every work order
  • Service address for work done on site
  • Scheduled date, promised date and service advisor
  • Printed work order on your template, bilingual if you want

Equipment history: every job on every machine

The fastest repair is the one where the technician already knows the machine. Work orders are searchable by equipment number, so a chiller tag, a generator number or a vehicle plate brings up every earlier job: the reported issue, the job cards, the parts fitted and the notes. When the equipment is a product you sold with a serial number, link the work order to that serial. Flowyana fills in the equipment description and the customer from the sale, and refuses a serial your business never registered.

  • Search by equipment number, customer, QR or work order number
  • Work orders linked to registered serial numbers
  • Equipment and customer taken from the original sale
  • Search by customer to see every work order you have done for them

Job card software for technicians and workshops

A job card is one technician’s piece of the work. A single work order can hold several: one for diagnosis, one for the repair, one for testing. Each job card has a title, a description, an assigned technician, estimated and actual minutes, and a stage on the job card board. Parts cost, labour cost and the total are worked out per job card. When every live job card is finished, the work order is complete. A dropped job card stops counting, so one abandoned task does not hold up the whole job.

  • Several job cards per work order
  • Technician, estimate and actual time per job card
  • Parts, labour and total cost per job card
  • A board for the workshop floor or the field team

Parts, stock and warranty

A part fitted and not billed is money lost; a part billed and not deducted is stock that does not exist. When you add a shop-supplied part to a job card, it leaves the chosen warehouse at its cost and joins the customer total at its price, with tax. Batches are respected where you track them. If the part is not used, return it with a reason and the stock movement is reversed. Customer-supplied parts are recorded on the job card without touching stock. Any part can carry its own warranty: months, start and end date, serial number and notes.

  • Shop-supplied and customer-supplied parts
  • Stock out on fitting, back in on return, with a reason
  • Warranty months, dates and serial per part
  • Cost and selling price on each line

Labour, invoicing and payment

Labour is logged per technician with a start and end time, the minutes worked and an hourly rate, so every job card shows its real labour cost. Charges you bill, such as a call-out or labour fee, go on the job card as service lines. Before work starts you can record an advance. When the work is done, generate the invoice from the work order in one step, with its lines and VAT. Record further payments until it is settled; reverse a payment with a reason if you must. The payment status reads pending, partial, paid, overpaid or refunded.

  • Technician time with start, end and hourly rate
  • Advance payments before work starts
  • One-step VAT invoice from the work order
  • Cancel with a reason; draft invoices are cancelled with it

Who it’s for

Businesses that run on Work orders.

HVAC and chiller maintenance

Every chiller, split unit and AHU tracked by tag number, with each service visit, part and refrigerant charge on its history.

Generator and plant servicing

Generators you sold come back by serial; past jobs, parts and warranties are on screen before the technician starts.

Vehicle and fleet workshops

Rename equipment to vehicle, record the plate, and run job cards per bay with parts from the store and labour by mechanic.

Facilities and MEP contractors

Work orders per building and service address, plumbing and electrical on separate job cards, one invoice at the end.

Electronics and appliance repair

Devices booked in by serial, customer-supplied parts recorded, warranty on every part fitted, and the balance taken at collection.

Equipment dealers with after-sales service

Sell the machine, register its serial, and service it for years with the full history tied to the original sale.

Questions

Asked about work orders.

What is work order software?

Work order software records each maintenance or repair job: the customer, the equipment, the issue, who did the work, which parts and hours went in, and what was billed. Flowyana adds stock, invoicing and accounting to that record, so nothing is re-typed.

Is this maintenance work order software for the UAE?

Yes. Invoices carry UAE VAT at your rate, documents print with Arabic and English labels if you want, and amounts follow your currency. It works the same way in Saudi Arabia, Oman, Bahrain and beyond.

What is the difference between a work order and a job card?

The work order is the whole job for one customer and one piece of equipment. Job cards are the tasks inside it, each with its own technician, parts, labour and stage.

Can I see the full history of a machine?

Yes. Search work orders by equipment number or serial and every earlier job on that machine appears, with its parts, job cards and notes.

Do parts used on a work order come out of inventory?

Shop-supplied parts leave the chosen warehouse when added and return if unused. Customer-supplied parts are recorded without a stock movement.

Can I take an advance before starting the work?

Yes. Record an advance on the work order. When you generate the invoice, the amount already paid is counted and only the balance remains.

Does it schedule preventive maintenance?

Not today. Each work order has a scheduled date and a promised date, but Flowyana does not create recurring maintenance visits on its own.

Can I rename “equipment” to “vehicle” or “device”?

Yes. The equipment fields are labels you can rename, and screens and printed work orders use your words.

Do technicians need a separate app?

No. Technicians use the same Flowyana workspace in a browser, and roles and permissions control what each one can see.
