What is Attendance, shifts & leave in Flowyana?

Flowyana attendance and shift management is HR software for scheduling people and recording when they work. You define shifts, assign them on a roster, let staff clock in and out, and handle leave requests, balances and public holidays. It suits shops, restaurants, clinics, offices and small factories in India, the UAE, Saudi Arabia and elsewhere.

Attendance usually lives in three places: a paper register, a messaging group for leave requests and a spreadsheet for the roster. Nobody can answer quickly who is in, who is on leave tomorrow or how many days of leave someone has left. In Flowyana the shift, the clock-in, the leave request and the holiday are linked records.

Clock-in records are worked out for you. Late arrival is measured against the shift and its grace period, a short day becomes a half day by your threshold, and hours beyond the shift are recorded as overtime. Leave balances reduce as requests are approved and show pending days while they wait.

The same attendance and paid-leave records feed payroll, so a day of unpaid absence reduces basic pay when payslips are generated. Flowyana runs on the web; there is no phone app for staff to clock in with. They use a browser on their phone or at a desk.

What it does

Attendance, shifts & leave, in practice.

Shifts

Create shifts with a start and end time, a break, working hours, grace periods, working days and a colour.

Roster

See who works which shift in a weekly or monthly view, click a day to assign a shift, or bulk-assign a shift to many employees over a date range.

Clock in and out

Staff clock in and out from the browser, and today’s shift is shown to them. The record notes late arrival, early leaving and overtime hours, at the branch where they worked.

Location check

Optionally allow clocking only within a set distance of a point you choose.

Attendance policy

Set the late grace period, the hours below which a day counts as a half day, the overtime rate and your weekend days.

My Attendance

Employees see their own present days, late days and hours, and can request a correction.

Leave types and balances

Define leave types as paid or unpaid with days per year, accrual, carry-forward rules and whether approval is needed. Balances show accrued, carried, used, pending, paid out and expired days.

Leave year and carry-forward

Start the leave year in any month, such as April. At year end unused days carry forward within each type’s limit, expire after a set number of months, or are lost or paid out, with a preview before the run.

Leave requests and approvals

Employees apply, including half days, managers approve or reject in bulk with a reason, and employees can cancel.

Leave calendar

See who is away on a calendar as well as a list.

Public holidays

Load a country’s public holidays for a year in one step, or add your own, including recurring ones.

In depth

A closer look.

Shifts and the roster

A shift has a name, a code, start and end times, a break, working hours and grace periods before and after, and can be limited to certain days of the week. The roster shows employees against days in a weekly or monthly view. Click a cell to assign a shift, remove it again, or use bulk assign to give a shift to many employees across a date range, on the days of the week you choose. Holidays show on the roster.

  • Start, end, break and working hours
  • Weekly and monthly views
  • Bulk assign by employees, dates and weekdays
  • Holidays shown on the roster

Clocking in and out

Employees clock in and out from the browser and see today’s shift. Each record keeps the check-in and check-out times, hours worked, late minutes, early leaving and overtime hours, and a status such as present, late or half day. If you turn on the location check, clocking is allowed only within the distance you set around a point you choose. Employees can ask for a correction on a record.

  • Late measured against shift and grace period
  • Half day below your hours threshold
  • Overtime hours recorded
  • Optional location check and correction requests

Leave types, balances and approvals

Define each type of leave: paid or unpaid, days per year, how it accrues (once a year, monthly or quarterly, pro-rated for joiners and leavers), the carry-forward rules and whether it needs approval. Your leave year can start in any month, for example April to March. At year end, unused days carry forward within each type’s limit (or with no limit), can expire a set number of months into the new year, are held under a yearly cap, and days over the limit are lost or paid out; you can allow carry-forward only after probation. The run happens by itself on the first day of the leave year, or by hand, with a preview first. Each employee’s balance shows accrued, carried, used, pending, paid out and expired days. Requests can be half days, and the employee’s manager approves or rejects them, even from another branch; a rejection needs a reason. Employees can cancel a request they no longer need.

  • Paid and unpaid leave types
  • Leave year starting in any month, with carry-forward, expiry and caps
  • Used and pending days on every balance
  • Bulk approve and reject, with a reason

Public holidays for your country

Load a year of public holidays for a country in one step, add your own company holidays, and mark any as recurring. Ready-made lists cover several countries, including India, the UAE and Saudi Arabia. Because dates for religious holidays vary, check a loaded list against your official calendar.

  • One-step import by country and year
  • Your own holidays, recurring if needed
  • Shown on the roster
  • Weekend days set in the attendance policy

Questions

Asked about attendance, shifts & leave.

What is shift management software?

Shift management software defines the shifts a business runs and assigns employees to them. In Flowyana it is part of HR, connected to attendance, leave and payroll.

Can employees clock in from their phone?

They can clock in from a browser on their phone, tablet or computer. There is no separate phone app for clocking in.

Can I restrict clock-in to the workplace?

Yes. Turn on the location check in the attendance policy and set a point and a distance. Clocking in or out from outside it is refused.

Does it track late arrivals and overtime?

Yes. Late arrival is measured against the shift and grace period, and hours beyond the shift’s working hours are recorded as overtime. When the attendance policy turns them on, payroll pays overtime at your rate and deducts lateness.

How do leave requests work?

An employee applies for a leave type, optionally for half a day, and the request waits for approval if the type needs it. Managers approve or reject, in bulk if needed, and balances update.

Can I set up different kinds of leave?

Yes. Create leave types such as annual, sick or unpaid, mark them paid or unpaid, set days per year, how they accrue and their carry-forward rules.

What happens to unused leave at year end?

Each leave type decides: days carry forward up to a limit or without one, carried days can expire some months into the new year, a cap limits the yearly balance, and days over the limit are lost or paid out. The run happens on the first day of your leave year, or by hand, with a preview first.

Where is attendance recorded for staff who work at several branches?

At the branch where they worked that day. Leave and leave balances stay with the employee’s main branch.

Does it include public holidays for the UAE, Saudi Arabia and India?

Yes. You can load a year of public holidays for those countries and several others in one step, then add your own. Check the dates against your official calendar.

Does attendance feed payroll?

Yes. Payroll counts attended days and paid leave, and reduces basic pay for unpaid absence when it generates payslips.

Does it work with a fingerprint or face-recognition device?

No. Attendance is recorded by clocking in from the browser or entered by staff with permission. There is no biometric device connection.

Can I set Friday and Saturday as the weekend?

Yes. Choose the weekly days off in the attendance policy, for example Friday and Saturday. Payroll counts working days from those days and your holiday list, so neither is ever counted as an absence.

Can employees see their own attendance and leave?

Yes. My Attendance and My Leaves show their own records and balances, and let them request corrections and apply for leave.
