What is Stock transfers in Flowyana?

Flowyana stock transfer software moves goods between your locations: from the warehouse to a shop, from the store room to the shop floor, or from one branch to another. Each transfer lists the products sent and what arrived, and stock moves when the transfer is completed. It is for retailers, distributors, restaurants and anyone holding stock in more than one place, in India, the Gulf and beyond.

Moving stock, whether a warehouse transfer or an inter-branch transfer, is where counts usually drift. A carton leaves the warehouse, two units break on the way, and nobody writes it down. Flowyana records the quantity sent and the quantity received on every line, so the shortfall is visible and the destination shows only what really arrived.

Transfers across branches keep each branch’s books honest. The goods arrive at the value they left at, and both branches record the stock moving between them. Batches, expiry dates and serial numbers travel with the units.

When a whole location needs to move, such as a store closing or a store room being merged, Move all stock empties it into another location in one action and tells you exactly what it moved and what it left.

What it does

Stock transfers, in practice.

Any location to any location

Pick a source and a destination location. They can sit in the same branch, such as a store room and the shop floor, or in two different branches.

Many products on one transfer

Add as many lines as you need, each with a product, its variant and a quantity, and print the transfer as a document to travel with the goods.

Sent and received quantities

Record what was sent and what actually arrived. Received can be less than sent, never more, and the difference is treated as lost in transit.

A clear status

Each transfer is Pending, In transit, Completed or Cancelled. Stock moves only when it is completed, so a draft never changes what you hold.

Batches and serial numbers travel

Batch-tracked stock keeps its batch and expiry at the destination, and serial-tracked units keep their serial numbers.

Value moves with the stock

Goods arrive at the cost they left at. Between branches, both branches record the stock and its value, so each branch’s books stay true.

Checked against your stock rules

The sending side is checked against your negative-stock policy, so you cannot send stock a location does not hold unless you allow it.

Approval when you want it

Turn on an approval workflow for stock transfers and a transfer waits for sign-off before it can move stock.

Cancel and amend

A completed transfer can be cancelled, which reverses both sides, or amended into a fresh draft with the same lines.

Move all stock

Empty a location into another in one action. Every item with stock moves as a set of transfers, with progress you can watch and a list of anything left behind.

How it works

Stock transfers, step by step.

  1. 1

    Create the transfer

Choose the location sending the goods and the one receiving them, the date, and add the products and quantities.

  2. 2

    Dispatch it

Mark the transfer In transit and print it to travel with the goods, with barcode labels if the destination needs them.

  3. 3

    Receive and check

At the destination, enter the quantity that arrived on each line. Anything short is recorded as lost in transit.

  4. 4

    Complete it

Completing the transfer moves the stock: out of the source, into the destination, with batches and serials carried across.

  5. 5

    Review the movements

Open the stock movements behind any transfer to see what moved, where, when and who did it.

In depth

A closer look.

Stock transfer software for every location and branch

A transfer has a source location, a destination location, a date and its lines. The two locations must be different, and they can sit in the same branch or in different branches. A transfer belongs to the branch it sends from, so staff limited to one branch can only send that branch’s stock. When goods cross branches, the receiving branch sees the stock it received and both branches record it, so each one’s stock and books agree.

  • Inside a branch or between branches
  • Filed under the sending branch
  • Receiving branch sees what arrived
  • Printable stock transfer document

Sent, received and lost in transit

Each line carries the quantity sent and, once the goods arrive, the quantity received. Received can be zero or anything up to what was sent, never more, because extra stock cannot appear from nowhere. On completion the source loses what was sent, the destination gains what was received, and the gap is the value lost on the way. Batch-tracked stock arrives in the batches that left first, up to what actually arrived.

  • Received never above sent
  • Shortfall recorded as transit loss
  • Batches and expiry carried across
  • Serial numbers carried across

Status, approval and corrections

Transfers are Pending, In transit, Completed or Cancelled, and only a completed transfer has moved stock. If your business wants a second pair of eyes, an approval workflow can govern stock transfers. Once completed, the lines and locations are locked. To fix a mistake, cancel the transfer, which reverses both sides, or amend it, which cancels it and opens a new draft with the same lines.

  • Stock moves on Completed only
  • Optional approval workflow
  • Completed transfers are locked
  • Cancel or amend to correct

Move all stock out of a location

From a location’s page, Move all stock sends every item with stock to the location you choose, as stock transfers of up to 200 items each. You can watch it progress, retry it if it stops, and open the transfers it created. Stock reserved for open sales orders stays put, and the result lists anything else left behind, such as items received during the move. Where stock transfers need approval, bulk moves are switched off and stock moves one approved transfer at a time.

  • One action for a whole location
  • Live progress and retry
  • Reserved stock stays
  • A list of anything left behind

Questions

Asked about stock transfers.

What is a stock transfer?

A record that moves stock from one location to another, such as from a warehouse to a shop or between two branches. It lists the products and quantities sent, and in Flowyana the quantities received.

Can I do an inter-branch stock transfer in Flowyana?

Yes. Pick a location in one branch as the source and a location in another as the destination. The transfer belongs to the sending branch, and the receiving branch sees what it received.

When does the stock actually move?

When the transfer is completed. Pending and In transit are working stages, so you can prepare and dispatch a transfer without changing stock until it is confirmed.

What if less arrives than was sent?

Enter the received quantity on each line. The destination gets what arrived, the source loses what was sent, and the difference is the loss in transit. Received can never be more than sent.

Do batches and expiry dates carry over?

Yes. Batch-tracked stock arrives at the destination in the same batches with the same expiry dates, and serial-tracked units keep their serial numbers.

Can a transfer need approval?

Yes. With an approval workflow on stock transfers, a transfer waits for an approver before it can be completed.

Can I undo a completed transfer?

Yes. Cancelling a completed transfer reverses both sides. Amend cancels it and opens a fresh draft with the same lines, so you can correct it and complete it again.

How do I move all stock from one warehouse to another?

Open the location and choose Move all stock. Pick the destination and Flowyana moves every item with stock as transfers of up to 200 items each, showing progress as it goes.

Is anything left behind by Move all stock?

Stock reserved for open sales orders stays where it is, along with a few cases that need a person, such as units missing serial numbers. The result lists each case so you can deal with it.

Can I print a stock transfer?

Yes. Stock transfer is one of the printable document types, so the goods can travel with a printed transfer. Barcode labels can also be printed from a transfer.

What is the best stock transfer software for small retail chains in the UAE or India?

One that records both what was sent and what arrived, and keeps each branch’s stock and books true. Flowyana stock transfers work for retailers, distributors and restaurants with more than one location in the Gulf, India and elsewhere, in any currency.
